FOLLOW UP LETTERS TIPS     Use formal business letter style. Send or drop off within 1-2 business days. Remember to sign your name. Proofread the letter carefully and have someone else check for mistakes as well. PARAGRAPH ONE ☺ 2-3 sentences long. ☺ Purpose is to say thank you for each interviewer‘s time. ☺ Mention something about the interview that might jog their memory as to who you are. CONTENT PARAGRAPH ☺ Re-state interest in the company and position. ☺ Re-state your most relevant skills and how you can contribute. ☺ If there is something you forgot to mention in the interview, this is the place to say it…tactfully. CLOSING PARAGRAPH ☺ Final thank you and let them know how much you are looking forward to hearing from them. ☺ If you have made plans to follow-up (with a phone call or personal visit) be sure to remind them that you plan to do so as agreed upon. SAMPLE FOLLOW-UP LETTER YOUR NAME And contact information (using same header as resume, references and cover letter) Date: Mr./Ms. Interviewer Position Title (optional) Business / Organization Name Street Address City, Province Postal Code Dear Ms. Interviewer, Thank you for taking the time to discuss the position of sales clerk with me yesterday. It was a pleasure meeting you and learning more about Zellers. I enjoyed hearing about your commitment to the community and as we discussed share the same values about volunteering in community events. During our meeting you mentioned that one of the major responsibilities of the job would be maintaining a positive attitude with difficult customers. This was also a major focus of my previous position as sales clerk in a busy retail store. One of my strategies for addressing this issue was to listen to their concerns in a respectful manner. 95% of the time I was able to address the issues quickly so that the flow of sales was not affected and the challenging customer left the store satisfied. Thank you again for your consideration. I look forward to hearing from you and the possibility of joining your staff. As agreed upon in the interview, I will be contacting you by Friday, August 1, 2003 to see how the process is going and answer any additional questions you may have. Sincerely, Me
