ATTENTION ABC MAGAZINE MEMBER: Nth Selection for Your Upcoming Audit
Our records indicate that your publication is scheduled for an audit for the period ending Month year During the audit process an ABC auditor will review the record keeping system in relation to mailed subscriptions. More specifically--at the time of audit, the auditor will review a sample of mail subscriptions, which is pre-determined by ABC based on your entire mail file. Your current Nth selection can be obtained by completing the form below and sending/faxing it back to ABC. We strongly recommend this selection be made prior to the auditor's arrival to reduce audit time.
POINTS TO KEEP IN MIND WHEN REQUESTING YOUR NTH SELECTION SAMPLE SIZE:
A recent change has occurred in the assignment of the Nth request for magazine audits. We will no longer require you to select a validated or non-validated Nth selection, and the Nth selection you now receive will automatically allow you to have your galley validated once the audit is completed. Some time after the audit is completed, you will be sent notification allowing the disposal of original source documents for the subscriptions selected represented by names on the file. If applicable, provide the GROSS (including credit cancels, etc.) Paid subscription order count for the Analyzed issue on the form below. If applicable, provide the GROSS Analyzed Non-Paid subscription order count for the Analyzed issue on the form below. DO NOT include Single-Copy Sales in the count. DO provide the number of records on file; do NOT provide the label count/total number of copies served. It is highly recommended that the mail galley be run in ZIP Code/Alphabetical order for timelier processing by the auditor. Normally, only one sample needs to be pulled per year (audit period), not for each six-month (Publisher’s Statement) period. The states and provinces to be tested in connection with the geographic analysis can also be selected in advance. Typically, this occurs for publications with circulation of 100,000 or more.
POINTS TO KEEP IN MIND WHEN SELECTING YOUR SAMPLE FOR AUDIT:
All selections pulled from the mail galley should be sequentially numbered. Both the mail galley and the nth selections should be provided to the auditor in the same order from which the selections were pulled. At the time of audit, original subscription documentation and proof of payment (where applicable) for all selected subscribers should be supplied to the auditor for review. This includes orders processed both directly by the publisher and by outside subscription selling organizations (i.e. third-party agents). If your publication reports demographic data, this information should also be provided for each selected subscriber. The order documentation provided to the auditor should be the order that entitles the subscriber to the analyzed issue. If subsequent new/renewal order(s) have occurred and extend the expiration date or issue beyond the original term covering the analyzed issue, order and payment documentation should be supplied to the auditor for those subsequent orders as well.
The form below should be completed and faxed to the attention of TRRP at (847) 605-0483.

**NOTE: Upon receipt of the below form, a random sample to apply to your file will be determined by ABC. A letter will then be sent informing your publication of the sample. The letter will also include information regarding the total number of orders to be pulled for the auditor's review as well as the starting point and every selection thereafter.
