2008/2009 Yearbook Calendar Ad Sale and Letter Writing Campaign
Mel Hi Crew Parents Association and The Brevard Schools Foundation
Why?: Mel Hi Crew needs to continually replace, repair and add new equipment due to continued wear and tear and
growth of the team. A 4 is approximately $14,000 and an 8 is approximately $28,000. Oars are $450 each. Boats and
oars are purchased through fundraising. Melbourne High School and Brevard Public Schools do not fund Mel Hi Crew.
What is the 2008/2009 Yearbook Calendar?:
A 2009 Calendar with pictures of the rowers in and around practice and regattas. Ads will be offered in full, half, quarter
and eighth pages, along with a list of “Friends” and dispersed through the calendar. There will also be a section for those
donating to the Boat Fund at different levels. Those donating $500 or more will receive a half page ad. Alumni will also
have a section to advertise in. Straight donations will have names placed on boat – see website for a picture –
To give rower families an opportunity to offset their assessments and to raise dollars for equipment and regatta expenses.
If this objective is met no additional fundraisers other than the ones specified in the budget will be needed this year. A
projection of approximately $20,000 in ad sales and donations has been made to meet all the needs of this fundraiser. 40
rower families soliciting $500 in ads and donations each will meet our goal. If you make your $500 goal you will pay for
$250 of the $600 in rower assessment. IT CAN BE DONE WITH EVERYONES PARTICIPATION!!!
How it works:
Each rower family will receive a Name Address Form requiring names and addresses of twelve or more people who might
be interested in buying an ad or making a donation to our team plus 15 letters. These will have to be distributed at practice
since we are behind schedule this year. The forms will also be e-mailed. Return the completed form and signed letters
on or before Tuesday, October 17th . Please add any personal notes to your letter by hand.
A committee will mail letters and ad/donation form to those addresses along with personal notes. Rower’s name will be
listed on the form so they receive proper credit for the sale. Please add your rower’s name to the form if you mail the
forms yourself or personally solicit ads and donations.
Rower families may choose to personally solicit ads using letter and Ad Sale Form. Please remember to sign your letter
and keep track of who you go to. Follow-up always helps with the sale.
Ads and donations are asked to be returned by October 31st on the Ad Sale Form that will accompany the letter.
A committee is also going to mail letters to alumni, friends and businesses who are not listed on any rower’s sheet.
Rowers will be credited on a 50/50 split on their rower assessment for any ads/donations received from the names on their
rower/family list. (A $100 ad/donation is $50 credit towards assessment and $50 towards fundraiser). Rower families
may choose to waive 50/50 split with all sales and donations going towards the fundraiser
Every rower family, advertiser, and donor will receive a copy of the 2008/2009 Yearbook Calendar.
Rower Assessment Guidelines:
Your amount due for the Rower Assessment to be paid Saturday, November 1st (at the Rummage Sale) will be credited
with the assessment portion of the 50/50 split for all ads and donations received with your rower’s name on the form on or
before November 1st. If there is still a credit due this will be put towards the spring semester fees and the Fall Rowing
Regatta where bus travel is required. If ads and donations come in after the 1st with your rower’s name on the form the
credit will go to the spring assessment or fall trip as you choose.
Again a rower family may choose to waive 50/50 split with all sales and donations going towards the fundraiser.
This kind of generosity helps us meet our budget for the year and cover any unexpected expenses.
Participation is requested of all rower families. Fundraising and rower assessments keep Mel Hi Crew financially on the
water. We all must do our share. What is your share? $500 in ads and donations. Please turn your names and addresses
in. Ask your friends, family and colleagues.
