Phoenix Recruitment On-line is a powerful on-line system. It is your best link to UW-Green Bay students
and alumni. PRO will allow your organization to post job listings, search for qualified candidates in an on-
line resume database, review campus interview schedules on-line and retrieve application materials from
applicants on-line. Take the time today to complete YOUR PERSONAL CONTACT PROFILE AND YOUR
COMPANY PROFILE in PRO!!
The staff in Career Services is dedicated to providing quality assistance to students and employers. Our
goal is to connect you with our students and graduates so that your hiring needs are always fulfilled by UW-

Access to Phoenix Recruitment On-line
1. Navigate to UW-Green Bay Career Services' website at http://www.uwgb.edu/careers. Click on
"Employers”. Click on “Access PRO”. Click on “Log in to Access PRO”. OR
2. Navigate to UW-Green Bay's website at http://www.uwgb.edu. Click on "Visitors”. Click on
“Phoenix Recruitment On-line”. Click on “Log in to Access PRO”.
3. The staff in Career Services has assigned your username and password for PRO. If you have
questions or have forgotten your username/password, please contact our office.
How can Career Services help my organization?
1. Refer you to student organizations that may have interest in a speaker for their organizations.
2. Establish contacts with faculty and assist in developing outreach efforts to faculty.
3. Email all students registered with PRO about your opportunities and upcoming events. A
completed email message must be submitted and approved.
4. Inform you of special events and programs that may assist your organization in meeting
recruitment needs.
5. Increase the year round visibility of your organization on the UW-Green Bay campus through
development of corporate sponsorships.

Employer Feature Overview
Phoenix Recruitment On-line or PRO is UW-Green Bay’s comprehensive candidate management system.
You can use it to review candidate resumes on-line, to post jobs and internships, to manage your on-
campus recruitment program and to remain up to date about current career events at UW-Green Bay.
The main features of PRO include:
HOME
View announcements from Career Services. Get a quick look at the current events calendar. Perform
quick saved searches of students and review any new student referrals/on-line applications. Access a
comprehensive Resource Library targeted for recruitment and HR professionals.
MY PROFILE
Edit your personal contact & company information. Ensure that applicants can contact you and that your
organization is presented accurately.
STUDENT SEARCH
Search for students by major, date of graduation, type of position/internship students seek, language skills,
teaching certification and by keyword of student resumes to generate resume packets. Email students
individually as well to invite for interviews.
RESUME BOOKS
Access a specific group of students. Review resumes and contact individual students directly.
MY JOBS
Create job & internship listings to post to UW-Green Bay students and alumni. Review applicants on-line
for these openings as well.
CAMPUS INTERVIEWS
Manage on-campus visits and interviews. Track activity.
CAREER EVENTS
View upcoming career center events and review campus academic calendar. Register on-line for career
and job fairs!

Posting a Job at UW-Green Bay
PRO enables you to post jobs and internships on-line for students and alumni to view on-line.
To post a new position:
1. Click My Jobs on the main navigation bar and select the New Job link.
2. Enter basic information as noted and required. Fields marked with an Asterisk are required
fields and must be completed.
3. Please note that the contact information is pre-populated with your contact information. If you
would prefer that applicants contact another individual with your organization, please make that
change.
4. Please note that for positions for graduates, select Position Type of POST-GRADUATE and
Period of Employment as POST-GRADUATE. Select INTERNSHIP as appropriate for
internships.
5. Applicants are able to apply on-line for positions if you desire. This is recommended as a way
to streamline the process for you. To allow applicants to apply on-line through PRO, answer
YES to Allow On-line Referrals.
6. Click the Save button at the bottom of the page. Positions are not immediately available for
review by students, but are placed in a holding bin for 24 hours and will be reviewed for
accuracy by our staff.
To re-post a former job or internship:
1. Click My Jobs on the main navigation bar and select Job List.
2. Click on the Job you wish to report. Click on COPY JOB (best for record keeping and history).
3. Edit the sections of the job as needed. Save each section when completed.
4. Be sure to edit the Date Posted field and the Apply By field.
A job is filled and you need to remove the listing:
1. Click My Jobs on the main navigation bar and select Job List.
2. Click on the Job you wish to report. Click on CLOSE JOB.
Searching for Candidates
Students and alumni at UW-Green Bay can post resumes on-line in a variety of resume books. As an
employer recruiting on-campus or with PRO Access, you can review resumes on-line and contact any
candidates of interest directly. All resumes on-line are viewed as PDF documents. You can search for
candidates in two ways.
To search for candidates and review resumes:
1. Click on Student Search on the main navigation bar.
2. Enter a keyword to search the content on all resumes directly. Enter/Select specific criteria by
academic major, date of graduation, teacher certification, job interest or other criteria. The
search will review all students that want their information viewable to employers. Click on
Search to reveal a list of candidates meeting your search criteria.

3. To select a specific student, click on the hyper link for each student name. At the top of each
student profile, a View Resume link appears. Click on View Resume to review the resume in
PDF format. You can print an individual resume by selecting the printer icon in Adobe.
4. From the search results page, you can create a resume packet by clicking the box next to the
name of the student of interest or click on Select All. Click on Create Packets. You can have
the packet emailed to your account as a PDF attachment as well. A secondary window opens
with a list of all students in the packet and accompanying resumes using a document viewer.
5. Click on Print/View All to produce a PDF document to save or print all resumes in Adobe
(PDF format).
6. Click on the name of the individual student in the left box to view an individual student resume.
You can print the individual student resume by clicking on the printer icon in Adobe.
7. Click on Download All to be able to create zip files in PDF format for ease of use.
8. You can also email candidates directly from each individual student profile from the search
results.

To create a saved candidate search and/or resume book search to use in the future:
1. Enter the criteria for your search. Click on Search.
2. When the search results page appears, click on Save Search on the top right of the search
results area.
3. A secondary window will open asking you to name the search. Enter a name in the Saved
Search Name field and click on Save.
4. Saved searches are accessible from your Home page. Click on Home on the main navigation
bar. Scroll down to Quick Links and click on Saved Searches.

Managing Applicants for Your Openings
Once a position is posted on-line, students and alumni may choose to apply. If applications were set to
receive on-line referrals when the position was posted, you can see all those applications as the employer.
You can also make any appropriate decisions that may or may not be related to on-campus interviews.
To check applications for a specific position:
1. Click on My Jobs on the main navigation bar and select the Job List link.
2. Positions with a bolded R in the activity column have received applications. Click on the R for
a quick access to the activity section.
3. Select the job from the list of active jobs and click on the Job Id Number and/or Job Title for
the position.
4. Review the status of all applications by clicking on View Activity at the top of the position
listing.
5. From this screen you see a list of all applicants. Click on VIEW next to each applicant to be
able to review any message provided by the applicant and to respond directly to the applicant.
6. To respond to applicants, select an appropriate category from the Employer Response drop-
down list and enter text in the Employer Message text box. Click on Save for the message to
be sent to the applicant.
7. To review resumes of all applicants, click on Select All or select each individual check box
next to an applicant name. Click on Create Packets. You can have the packet emailed to
your account as a PDF attachment as well. A secondary window opens with a list of all
students in the packet and accompanying resumes. Click on the printer icon in Adobe to print
the packet.
Managing Your On-campus Interview Schedule
Once an interview schedule is created for you by our staff, you will be able to monitor student applications
and sign-ups. Each interview has a TIMELINE with dates that control when certain activity can be
performed on your interview schedule – student activity and employer activity. The functions of each date
are noted below.
To review your interview schedule(s):
1. Click on Campus Interviews on the main navigation bar.
2. A search results of all interview schedules is returned. Icon Flags indicate which interview
schedules require your attention with selection and submission of picks for interviews for
all non-open interview schedules.
3. Click on the ID number for the specific interview schedule/interview date of interest.
4. Scroll down to see Interview Date link. Click on the link.
5. All applicants on your interview schedule appear. You can see how full your schedule is
and how many openings remain. Click on the Adobe Icon next to each applicant name to
view the applicant’s resume.
6. To create a packet of all resumes of applicants on your interview schedule, click on Create
Packet. You can have the packet emailed to your account as a PDF attachment as well.
If you do not wish to receive an email, a secondary window opens with a list of all students
in the packet and accompanying resumes. Click on the printer icon in Adobe to print the
packet.

7. If you wanted to email the packet to your email account, navigate to your email outside the
PRO system, and look for a recent email from Careers@uwgb.edu. A link to the email
resume packet will be in the email.
8. If your interview schedule is OPEN, refer to the TIMELINE section on the main interview
schedule screen for when activity can occur. The date noted as OPEN reflects when
students can begin to select interview timeslots. The date noted as CLOSED reflects
when all activity on your interview schedule ends.
9. If your interview schedule is a Pre-select Schedule, you will need to review and select
candidates for interviews. You will not be able to accept students for interviews UNTIL the
Preselect Activity is closed.
10. Refer to the TIMELINE section on the main interview schedule screen. The PRS-OPEN
date refers to when students can begin to submit resumes for consideration. The PRS
Closed date indicates when you are able to accept/not accept students for interviews.
11. All interview decisions must be made prior to the date noted in the timeline as the
PRS FCFS date.
12. Scroll down to Preselect Activity and click on Manage List. A list of students that have
requested interviews appears. Click on the Adobe Icon next to each applicant name to
view the applicant’s resume.
13. To create a packet of all resumes of applicants requesting an interview, click on Create
Packet. You can have the packet emailed to your account as a PDF attachment as well.
If you do not wish to receive an email, a secondary window opens with a list of all students
in the packet and accompanying resumes. Click on the printer icon in Adobe to print the
packet.
14. You will need to accept students or not accept them for interviews. Click on the
appropriate radio button to Accept Student, Not Accept Student or designate student as an
Alternate. When picks are made on students on the Preselect Activity list, click on
SUBMIT to save changes.
15. Once you make decisions, students will be able to select interview timeslots on the date
noted in the interview timeline as PRS FCFS. Any students that you designate as an
alternate can take a timeslot on the date noted in the Timeline as PRS FCFS-ALT.
16. Waitlists can be managed on an Open or Preselect interview schedule. Click on
MANAGE LIST next to Waiting List. Student names, email addresses and resumes are
viewable. Click on the appropriate hyperlink to view the resume, email the student or see
profile information.
Managing Your Account and Contact Information
You can manage information that users of PRO see at UW-Green Bay. This includes critical contact
information as well as information about your organization.
To edit account information:
1. Click on MY PROFILE on the main navigation bar. Click on Edit for each section to
provide information about your organization and your contact information. Click on Save
when edits and changes are complete
2. Please note that Majors that your organization would normally hire or recruit can be
identified as well as an on-line application web address.

Viewing and Registering for Career Events at UW-Green Bay
You can view all upcoming related events at UW-Green Bay, review academic calendar information and
register for career/job fairs on-line.
To view Events:
1. Click on Career Events on the main navigation bar. Scroll down to find the event of
interest. Events might be office closings, important academic calendar notations like the
first day or class as well as annual career and job fairs.
2. Click on the name of the event of interest to review details about the event.
To register for Events:
1. Click on Career Events on the main navigation bar. Scroll down to find the event of interest or
search by appropriate fields. Three fairs are held each year on the UW-Green Bay campus.
Our Fall Job & Internship Fair is held the first Wednesday in October. Our Graduate and
Professional School Fair is held the third week of October. Lastly our Spring Job & Internship
Fair is held the first Wednesday in March.
2. Click on the name of the event of interest to review details about the event.
3. To register for a specific event, click on Register under the Action Column next to the name of
the event of interest.
4. Complete all the necessary fields. You can even print your own invoice to facilitate payment.
5. If students are allowed to submit resumes in advance for an event, resumes submitted will be
listed as well. To view these resumes, click on Dropped Resumes in the Activity column.
