Guidance for the Use of the IMI On-line Certification Claims Facility The On-line claims facility enables centres to register a certificate claim with the IMI electronically. The IMI will then produce and send the certificates in the normal way. It will only be possible to claim certificates for candidates who have been registered by your centre and who have either completed their UPK tests using the IMI’s on-line testing system or where proxies are being used when the IMI has been notified prior to the claim enabling us to update our records The system will make the following automatic checks: • • • • Has the candidate been registered on the Qualification for 10 weeks? (where relevant) Has the candidate completed all required external tests? Do the Assessor/IV hold the required qualifications? Are they vocationally competent? Does the centre hold direct claims for this qualification? It is possible to register a claim where direct claims are not held, however additional checks will need to be made by the IMI prior to production of the certificate. Should you experience any problems using the system you can contact the IMI on 01992 511521 and speak to a Qualification Services Officer who will be able to help. Before you begin To access the online system you will need an internet connection and to be using Internet Explorer 5.5 or above. You will also need to download the Citrex client and to obtain a PIN from the IMI. If you are not currently registered with the Institute please contact Eleanor Rose who will arrange for you to be issued with a number. Details of how to load the Citrex Client can be found in Annex A. If you require assistance downloading the Citrex Client you are advised to contact your IT Department. You will need to download the Citrex Client on all machines you wish to use for on-line certification claims. Centres already using the online registration system will be required to register with the IMI before using the on-line certification claims system. Preparation for Each Session. Even after you are set up, you will need the following information each time that you wish to register candidates and qualifications. • • • Your log-on ID (4 digit pin number) and password and centre number. This ensures only authorised personnel can access the site and that certificates are only issued to the centre who registered the candidate. A valid email address to enable us to confirm receipt of your registrations and amendments. Candidate number and the PIN numbers of the assessor(s) and IV(s) and the date which the course was completed. 01-05-06 Logging on to the system The on-line certification claims system is accessed via www.motor.org.uk. Click on IMI Centres and select online registration and certification claims. Enter your IMI PIN number provided by the IMI in the top box and your password in the bottom box. The first time your password will be your family name. You are strongly recommended to change this initial password to a password that is difficult to guess. Once your IMI PIN number has been authenticated you will be passed through to the IMI and see the screen below. 01-05-06 Click on Centre Input programme (Test). A login box will appear. All boxes must be completed and the surname box IS case sensitive. Click . 01-05-06 You will now be presented with the following screen. You can choose to claim either a whole qualification or unit qualification. Whole qualification claims Enter the candidate number in the top box and click enter. 01-05-06 The candidate’s details (name, DOB etc) will appear in the top box. Details of qualifications for which the candidate is registered will appear in the middle box. Qualifications not yet registered for 10 weeks will NOT appear. Select the qualification you wish to claim by double clicking on it. Unit details will appear in the left hand box. Core units will be automatically assigned in the right hand box. To select the optional units for which you want to claim double click on them in the left hand box. The number of optional units required is given. You will only be able to select from optional units for which the candidate has been registered and any external testing requirement completed. Once the optional units have been selected click Process Claim. 01-05-06 At the next screen enter the assessor/IV IMI PIN numbers and click submit. If the assessor does not hold the required D/A & V units an error message will appear and you will be unable to proceed with the certification. Additionally both Assessor and IV will need to be registered as vocationally competent with the IMI to enable you to continue your claim. You will be asked whether you wish to use these assessor/verifier details to update all units. Where the answer is no an additional screen will appear. Double click each unit and enter Assessor/IV details on a unit by unit basis. 01-05-06 Once assessor and IV details have been added for all units the qualification will appear in the bottom box. Click submit claim request. You will be asked to enter the completion date for the qualification. Your claim will then be submitted to the IMI for final checks and production of the certificate. 01-05-06 Unit Certification Claims Enter the candidate number. The candidates details (name, DOB etc) will appear in the top, box. Details of units for which the candidate is registered will appear in the second, box Double click on the unit you wish to claim for and click submit claim. At the next screen enter the assessor/IV IMI PIN numbers and click submit. If the assessor does not hold the required D/A & V units an error message will appear and you will be unable to proceed with the certification. Additionally both Assessor and IV will need to be registered as vocationally competent with the IMI to enable you to continue your claim. Enter the assessor and IV numbers. 01-05-06 The unit will move to the bottom box Enter the unit completion date and submit. Your claim will then be submitted to the IMI for final checks and production of the certificate. Prior to dispatch of the certificates an email will be sent to the relevant EV and the designated centre contact. 01-05-06 Annex A - Downloading the Citrix Client If you have not used this system before you will need to download the Citrix Client to your computer. You do this by clicking on the line “Citrix ICA Web Client for 32-bit Windows” in the screen above. You will be asked if you wish to download this file. Download it to a suitable folder on your computer. Once it has down loaded, locate it using Explorer or using “start”, “Run” and Browse to locate the file. Running this file “ica32.exe” will install the web client for you. You will have to do this on every computer used for online registration or certificate claims. If you have several networked computers you can copy this file to each computer which will be quicker than down loading the file each time. 01-05-06
