IBM Software Demos Lotus Forms and IBM Content Manager IBM Workplace Forms and DB2 Content Manager demo <00:00> IBM Workplace Forms and IBM DB2 Content Manager combine to deliver a complete electronic forms and content & records management solution. It leverages market-leading XML forms technology to provide scalable, enterprisegrade content services. In this demonstration we will see how a bank completes a wire transfer using the document processing capabilities of DB2 Content Manager, and highlight key services that help organizations store and manage electronic forms. <0:00> First, a bank teller works with a customer to fill in the wire transfer request form. Integrated business rules are used to format and validate the form input – for example, the Account Number must be a numeric value with the correct number of digits, in order to be accepted. <0:00> The wire fee is calculated automatically, based on the Wire Amount entered. <0:00> The form status in the upper right shows that the form is “pending an account lookup”. This illustrates how the form itself guides the request process, and ensures that the correct steps are being followed. Workplace Forms maintains these process states within the form, ensuring accurate information and enabling offline processing. <0:00> A web service is used to perform the Account Lookup and confirm that sufficient funds are available to process the request. When this action is complete, the status is dynamically updated to show that the form is now waiting for the client’s signature. <0:00> Next, the form is updated with information about the bank account that will receive the wired funds. <0:00> As the customer attempts to sign the form, a message appears, indicating that he must view the mandatory disclosure information before signing. This ensures compliance with applicable procedures and regulations. In this case he uses a simple click-and-accept procedure, but the bank could also have provided a digital signature pad to capture the customer’s actual signature. <0:00> Finally, the bank teller signs the form and submits it to DB2 Content Manager. Content Manager will automatically store the form and initiate the associated workflow process. <0:00> (back to video: WPLCFormsAndCMDR.avi)> A message is displayed to confirm that the form was successfully submitted to Content Manager. The form now moves to the next state in the workflow process, where it waits for management approval. <0:00> Using the Content Manager Client for Windows, the bank manager can see all of the worklists associated with this workflow process. Content Manager uses the concept of worklists to help manage the routing of documents. In the “Manager Approval” worklist, she sees one item awaiting approval. <0:00> Clicking on this item launches the Workplace Forms viewer and displays the wire transfer request form. The fields have been locked down and made tamperproof with the application of the Customer and Teller signatures. The status has also been updated to show that the form is awaiting a manager’s signature. The ability to store the knowledge of the wire transfer process within the form allows it to be e-mailed or used offline prior to submitting and uploading it back into Content Manager. <0:00> The manager authorizes the wire transfer using a digital click-wrap signature based on a simple acceptance procedure. As she signs the form, she is notified that a bank officer’s signature is not required for wire transfers under $10,000. Although she is doing this manually, it could also be done automatically in Content Manager by applying rules to the content within the form. In addition, the manager can reject or continue the wire transfer, invoking a complete override of the approval process if she has sufficient authorization. <0:00> Later, the bank’s collection agent uses the Content Manager Client to view the “Collection” worklist, where there is one item pending. He can select this item, open the form, and complete the wire transfer. <0:00> Solutions based on IBM Workplace Forms and IBM DB2 Content Manager deliver higher business value by combining Content Manager’s documentrouting, worklist, and approval flexibility with Workplace Forms’ intelligent electronic forms capability, resulting in more efficient document-centric business processes.
