Instructions for ADADESG (Gift Designation Form).
This is the ADADESG screen. From the main menu, go to ADADESG. If you know the
designation you would like to look at, and then type it in. If not, you can do a search by
hitting Shift+F6.
This is the search screen, ADCDESG. You can execute a search (F7 and then F8) on
title, Type, College Code, Department Code, etc. Be sure to use the wild cards—% in
your search parameters. Once you have found a designation, hit F9 to bring it forward.
The designation report (available through Dan Noble, Trust and Investment Office,
online at http://www.uidaho.edu/tio/designation_reports.htm) is helpful for a list of the
designations for your department and/or college.
Once you select a designation, type it in or hit F9 from the query screen to pull it forward.
Then hit page down. The initial form will tell you the name of the designation, the
College, Type, VSE Code, and Department.
The Type has to
do with whether
the designation
is one of the
following:
If you hit “Finance Information from Main Window” tab it will tell you the FOAPAL
(Fund, Organization, Account, Program, Activity and Location Code) associated with this
particular gift designation. The Program code is the UI Chart of Account Budget and/or
area that is associated with the gift designation. For this example, gift designation
MF001 is associated with UI Budget DBN200.
With the new Banner 7.0, you have to use the options menu as follows:
Conversely, you can also “Right-Click” on your mouse for the options menu:
Under the “Giving Information” box, you have several
options to look at information.
Gifts: Gives all gifts for the gift designation all
time. You can query based on the amount of the
gift. This information is real-time, so any gifts that
have been processed recently will show up.
Pledges: Gives a listing of all pledges that exist for
a particular gift designation. You can look further
into information for a pledge from that screen
Summary: Gives you the fiscal year summaries for the gift designation. This
tells you the Fiscal Year, Pledges, Pledges Paid, Pledge Balance, Gifts Received
and Total for the Year.
The Gifts Screen will give you the following:
You can also look at a particular gift by scrolling through the menu and hitting the “drop-
down” icon when you see a gift number.
This will take you to the information that is included with every gift receipt that is
processed by Gift Administration Office. If you hit the drop-down icon on the Gift
number, it will give you this information:
If you right click your mouse (or go to the options menu), there are several areas of gift
information that will be accessible. It has pledges, addresses, gift associated id’s
(comments for any particular gift, i.e. “for the xxx scholarship” or “for the xxx
department/college):
If you hit Designation Financial Aid Funds, it will give you a screen that has all of the
Financial Aid Fund Codes (alphabetical) associated with a given designation.
If you right click (or go to options menu), hit Designation Financial Aid Awards.
If this is a scholarship designation, you can select the “Designation Financial Aid
Awards.” This will take you to a screen that has all the scholarships associated with a
particular designation. Typically, scholarship designations are a one-to-many
relationship, which is to state that there is one scholarship designation for multiple
scholarships for a department and/or college.
The screen that it takes you to (ADIAWRD) is the Designation Financial Aid Query.
Here, you can look at the awards given by term (200610 for Fall 2006 and 200620 for
Spring 2007), including the history of awards. You can also query on a specific award to
see the recipients for that award only. It also shows you the amount offered and
accepted. It also has links to the biographical information (address, e-mail, etc.).
Any questions please let me know. Thanks—
