									            ARMY CAREERS COURSES IN U.K. FOR PUPILS
        PROCEDURE FOR EDUCATION DEPARTMENT APPROVAL

Arrangements

1. The Education Department (ACT & H&SO) will agree with the Army Careers
   (ACALK Dorset& Wiltshire Officer I/C) the procedure to be followed for these visits
   and the approved travel arrangements.

2. The Education Department (ACT) will arrange an information meeting at the start of
   the school year for all teachers, pupils and parents. This will inform everyone regarding
   the detail, content and scope of the courses that are offered.

3. The ACT will circulate the programme of courses to all secondary schools.

4. The Education Department (H&SO) will manage the approval system for these visits.

5. The ‘Look at Life’ courses are normally to be offered to pupils in Year 10 (aged 14 –
   15 years).

6. The travel arrangements are by flight to Southampton and then collection by Army
   Personnel from the airport unless otherwise notified by the Army.

The Approval Procedure for pupils attending courses unsupervised by a teacher is as
follows:

1. The Careers Teacher informs all appropriate pupils of the available dates for Army
   Careers Courses and the information meeting.

2. The pupil applies to the Army for a place on a course.

3. The Careers Teacher is informed by the Army that a place have been offered to a
   named pupil on a course with dates supplied.

4. The Careers Teacher consults EVC /Head regarding the approval for:
      • appropriate course for the pupil,
      • appropriate dates out of school for the pupil,
      • the acceptable combination of pupils (where there is more than 1) attending the
         same course with no teacher supervision.

5. The Careers Teacher starts the approval procedure by sending the OA4 (Army) form to
   the parents of each pupil.
   N.B. Point 6 (2nd page) may need completing before issueing the form with reference to
   other pupils attending the same course.

6. OA1Army and OA4 (1 copy per pupil) is submitted to the school EVC and Head for
   approval.
   A copy of this application is retained by the school.

7. OA1 Army and OA4 forms are submitted to the Education Department for approval.

   8. Education Department (H&S Officer and Deputy Director) sign approval or consult
      with Head / EVC.
   9. Copies of the approval are sent to the Head / EVC and to the ACT.

   10. H&SO informs the Army by email that approval is given and that the travel
       arrangements may be booked.

   11. H&SO sends a copy of AO1 Army to the Administration Officer to arrange Journey
       Insurance.

   12. Head / EVC / Careers Teacher support the preparation for the course with the pupil.

   13. Head / EVC / Careers Teacher ensure that the emergency contact system (as required
       on the approval confirmation form) is arranged and confirmed with the pupil.

   14. Head / EVC / Careers Teacher complete a follow-up with the pupil on return and report
       any issues arising to the Advisory Careers Teacher.

   The Approval Procedure for pupils attending courses supervised by a teacher is as
   follows:

   1. The Teacher/ Group Leader follows the Category C Visits Apporoval procedure working
   with the Careers Teacher, EVC and Head in the usual system within the school.

   2. The Teacher/ Group Leader contacts the Army Careers to check availability and the
      application system to be followed.

   3. The Teacher / Group Leader applies for Initial Approval with the Head/EVC and
      Education Department.

   4. The Teacher / Group Leader arranges the travel etc. with the Army.

   5. The Teacher / Group Leader arranges Journey Insurance.

   6. The Teacher / Group Leader applies for Final Approval with the Head/EVC and
      Education Department.
