HOW TO CREATE CHRISTMAS CARD LABELS USING WORD AND EXCEL 1. Create an address database in Excel. Use the top row for column descriptions. Save it, name it and close it. (Maybe name it “labels.xls.”) 2. Open a new document in Word. Click on Tools, Letters and Mailings, Mail Merge… (Don’t use Envelopes and Labels… because that is used to make just one label at a time.) 3. On the right top select “labels”. On the right bottom click “Next: Start document”. 4. On the right top select “Change document layout”. On the right middle click on “Labels options”. 5. On the pop-up, choose the options for the type of labels you want and then click “OK”. (We used the default Avery 8160.) 6. On the right bottom click “Next: Select Recipients”. On the right middle click “Browse”. 7. On the next pop-up, find and open to the address database that you created in step 1. (Maybe “labels.xls”) 8. On the next pop-up select “Sheet1$” and click “OK”. 9. On the next pop-up click on “Select All” and then click on “OK”. 10. On the right bottom click “Next: Arrange your labels”. 11. On the right top select “More items…”. 12. This step is tricky. Select a field and click “Insert”. Repeat for all the fields. It doesn’t matter what order you insert them because you will format in the next step. Click “Close” on the pop-up when you are done. 13. Now you can rearrange the fields, add a comma between City and State, add spaces and format it they way you want such as change the font size, make the name bold, use italics or change the color. For example, highlight the name and click on Format, Font from the top menu. You only need to format the first label. All of the others will become formatted automatically in the next step. 14. When the first label is formatted the way you want, click on the “Update all labels” on the right middle”. Then on the right bottom, click on “Next: Preview your labels”. Next, on the right bottom, click on “Next: Complete the merge”. Finally, on the right middle, click on “Print”. 15. You can save the file and edit it.
