Creating Christmas Card Labels Digital Survival specialises in one-on-one computer training for beginners through to advanced users in their own home or office. Digital Survival has trained over 400 people within metropolitan Melbourne. The training focuses on a variety of different applications and operating systems (both Windows and Mac OS), including Microsoft Office, MYOB and Filemaker Save yourself time this year and look professional by learning how to print address labels With Christmas only four weeks away, now’s the time to send Christmas cards. This will save you valuable time, and what’s even better is that you can save the addresses and print out labels every year. To print labels on your computer, just follow these easy steps after you have bought labels from any stationery store or newsagent. The first step is creating an address list. If you are using Microsoft Outlook for your email you can use your personal address book, otherwise you will need to create an address list and save it either as a Microsoft Excel worksheet, or a Microsoft Word table. All email or Personal Information Management (PIM) Programs will let you export your address list Once you have the list of address, creating labels is easy. Follow these steps: 1. Open Microsoft Word. If Microsoft Word is installed on your computer you should find it in the Start menu under Programs. 2. In a new document (File menu, New), go to the Tools menu and select Mail Merge. 3. Press the Create button and select Mailing Labels 4. Select New Main Document. 5. The next step is to get data. Here is where you’ll need to either use your address book or the file you exported from your PIM. 6. Word will now ask you to set up your Main Document. You need to specify the type of labels (ie. Avery L6128 depending on the type of labels you have) 7. Now set out your label. The ‘Insert Merge Field’ will let you add the relevant pieces of information (fields) to your label. Once done click OK. 8. Then select Merge and then click Merge in the new dialogue. This will create a Document with all of your addresses neatly ordered on the page. 9. Now, insert your blank labels sheet into your printer and select Print from the File menu. 10. Print the labels and you’re done! 11. You can now save this file (perhaps make a folder called ‘Christmas’) so you can re-use it next year. You can also update your address list during the year when your family or friends move, saving you time at the end of the year when you need to print labels. The best part is you’ll impress your friends with your professionalism. You’ll also save yourself lots of time, which means you won’t be as stressed because you can use that extra time to do more shopping for their presents! Next week we’ll look at Microsoft Excel, and how you can budget for all of your Christmas expenses.
