									Creating Value Lists and Restrictions in FileMaker Pro
Value Lists – are only used in the Data Entry Layout. We have four options:
    Checkboxes - used when you want to be able to select more than one option
    Radio Buttons - can only select one – used for a list of 2 or 3 options
    Pop-Up Menus - can only select one – used for a list of 3 to 8 options (no scroll bar) – can
       include other
    Pop-Up List – can only select one – used for long lists because it contains a scroll bar – can not
       include other

To create a value list …
    1. Go to Layout Mode for your Data
        Entry Layout.
    2. Select the field you want to make a
        value list.
    3. Format  Field Format.
    4. Select the type of value list you want
        from the options.
    5. Click on Define Value List from the
        second box.




To Define your Value List ….

    1. In the Define Values Lists for Screen … Click the New Button at the bottom of the box.




    2. Give the Value List a Name …. same as the field that you are creating it for.
    3. Type the options for your list in the box.
       (Pressing Enter in between each option)..
    4. Click OK.
    5. Now, you see the previous dialog box again
       .. and you click Done.
    6. Now, back in the field format dialog box,
       click OK.
Restrictions - are created in the Define Fields dialog box.

    1. Select the field you want to
       add a restriction to.
    2. Click the Options button.
    3. Make sure you are on the
       Validations tab.
    4. Select the restriction(s) you
       want to apply.
    5. Click OK.




Not Empty – an error message will appear if the user tries to leave the field empty before doing
something else.

Unique – the entry for this field must be different for every record in the database.

Existing – You can only use values that are already in the database for this field.

In Range – Only used with number fields – an error message will display if the user tries to enter
something outside of the acceptable values.

Maximum Number of Characters – only allows the entries to be a certain length, an error message will
display if the entered data exceeds the allowable length.
