Bellwork • How many organization or businesses hold your personal details on file. – List at least 3 Databases and Data Capture What is a Database • DEFINITION: A database is a collection of data or information which is held together in an organized or logical way. • How many of you have ever kept details of your friends or families birthdays in a birthday book? • How many of you have written your friend's addresses into an address book? • How many of you have a copy of the Yellow Pages at home? What is a Database • These examples were of paper-based databases. However, when we use the term 'database' we generally think of a computerised database Computerized Databases • Example of computerized databases include – School Records – Patient Records (Doctors, Dentist, Hospital, etc) – In order to find the right web sites for you,. Search engines need a vast computerised database which they search using your entered keywords – Police use vast databases to keep track of crimes and solve crimes. – Video store keeps track of customers and movies. Can you think of any other examples • Pair up and think of at least two other examples of computerized databases and describe what they are used for. Why use a computer database? • Hold vast amounts of Information. • Fast search to find specific information. • Easy to analyze data (Best selling etc). • Records can be changed or updated easily. • Database can be easily copied. • Database can be accessed from more than one location. Data Capture • Any database or information system needs data entered into it, in order for it to be of any use. • There are many methods which can be used to collect and enter data, some manual, some automatic. • We will be studying these over the next few days Manual Data Capture • Paper-based data capture forms • This is the most commonly used method of collecting or capturing data. • People are given a form to fill in with their personal details, e.g. name, address, telephone number, date of birth etc. • Once the form is completed, it is given to a member of staff who will enter the data from it, into a database or information system Example of Data Capture Forms • http://www.teach- ict.com/gcse/software/datacapture/miniweb/ pg4.htm Your Turn Design a data capture form on paper for one of the following: • A new patient at a doctor's surgery • A customer who wants to receive information about the latest computer games being released • Someone who wants to apply for a job • A music fan who wants to join their favorite bands fan club. • Think about the questions that would be relevant to the scenario you have chosen. • Once you are happy with your hand drawn draft version, create your form using the computer.
