Quick Reference Guides Creating Charts in PowerPoint 2003 Charts are a graphical representation of data and are generally used in presentations and reports to help viewers understand simple or complex data. The data used to create the chart can either be entered manually or imported from an existing data file, such as a spreadsheet or text file. Charts are a brilliant way to add meaning to data. The guide below will show you how to create and edit a chart in PowerPoint 2003. 1. Creating a Chart Charts are created in PowerPoint using an application called MS Graph, which is also available in the other main MS programs. This has been automatically installed, so will appear when you being to create a chart. You can do this in one of 3 ways: Menu Toolbar Slide Layout 1. From the menu, select Insert → Chart 1. Click the Insert Chart icon on the standard toolbar 1. 2. From the menu, select Insert → New Slide From the Task Pane → select Title and Content → click the Insert Chart icon 2. Selecting the Data Once you have activated MS Graph, you will be shown the datasheet, which contains sample data so you can preview the chart. Use Datasheet Import File 1. 1. 2. 3. Once the datasheet has been displayed, click into any cell Begin to overwrite the datasheet with your data Once complete, click the X to close the datasheet 2. 3. 4. Once the datasheet has been displayed, click the X to close Click the Import File icon in the toolbar Browse to the excel spreadsheet or text file and Open Either enter the cell range or select entire sheet to use 2. Editing the Chart You can now make some basic changes to the chart e.g. updating data, changing data source or adjusting the chart type. Update Data Change Data Source Adjust Chart Type 1. 1. 2. Click the Datasheet icon on the toolbar Update your data as required 2. 3.
