Banner Course Catalog and Schedule Q/A Session
Carol Malmgren, Assistant Director of Timetable cemalm@uiuc.edu, 244-4056 Mark Netter, Director Facility Management and Scheduling mnetter@uiuc.edu, 244-4048
November 13 and 14, 2003
Topics covered:
How the Banner Catalog and Timetable are integrated Catalog and Timetable production timelines Departmental review of FALL 2004 Timetable copy Training opportunities and timelines Classroom assignments Cross-listed courses Linking and Packaging class sections Reporting available, specific to Catalog and Schedule
―Catalog‖ vs. ―Schedule‖
Not separate documents—integrated within the Banner system Schedule derived initially from the Banner Catalog when sections are built-- dual data maintenance from that point forward Must coordinate maintenance activity with term roll process, and remember to update Schedule for EACH term roll for every Catalog change All approved cross-list courses and sections are maintained independently--no automatic ―shadowing‖ of information to cross-list partners Independent Study sections have been built and term rolled as a separate group of sections so that the CRN (call number) will be the same from term to term
Course Catalog Production Timeline
November 13 Catalog copy is sent to colleges which then distribute to departments December 15 Updated copy is returned to colleges by departments January 16 Copy is returned by colleges to Provost's office, which sends grad-level courses to Graduate College for review Beginning of March Fall 2004 Courses Catalog available on the web
Summer Session
Registration and Timetable production has been advanced by two weeks February 5, Proof copy due from departments at 5:00 p.m. February 13, Timetable available on web March 1, published Timetable available March 15, Summer registration begins
Fall 2004 Timetable Production Timeline

Training Opportunities
Initial wave of Schedule Maintenance training Nov 17-Dec 16 Training invitations have been sent to 100 staffers TRAINEES: PLEASE REGISTER TODAY IF YOU HAVE NOT DONE SO! Be sure to COMPLETE on-line web courses as prerequisites, this is very important! If you have not received the training invitation, call Carol M. at 244-4056
Training Required for ―Schedule Maintainers‖
On-line course prerequisites
Banner Overview & Navigation (SARR101) Student Overview (SARR 100) General Person/General Student (SARR 102, available Dec) Academic Structure (SAAS 101, available Dec) Create/Maintain the Schedule (SACS 102) Linking/Packaging (SACS 203)
Instructor–led courses over a several day period
Building the Schedule
Define linking and packaging In Banner, courses taught with multiple schedule types set-up primarily by ―linking‖ Students will enroll in multiple, yet linked, CRN’s (call numbers). Packaging sections has serious downfalls so will be used only in rare cases.
Cross-listed courses and their maintenance
Banner ―cross-list‖ is any section that meets in same room at same time. We have broadened scope to include UIUC approved cross-listed courses by re-purposing some Banner fields. Banner definition includes: ―meets with‖ sections, concurrent sections, and many other sections that have different populations of students meeting in the same room at the same time Each section in cross-list will have a code called the ―cross-list identifier‖ that can be obtained from FMS New: Maintenance is by staff in controlling (primary) department No shadowing—each cross-listed section must be maintained individually by controlling department If change made at Catalog after sections are built, then each section and cross-listed section must be independently maintained
Reporting available
Some ―reports‖ are really queries that can be seen in production Banner Other collective or batch report-- FMS has anticipated the need of most departments and have created reports that can be viewed in Eddie or View Direct Most staff need reports that include registration data and these are not available until April 2004 Until the final format is decided (and data is available), training is not needed Separately, a few individuals (i.e., college administrators) may need direct access to the Data Warehouse to create custom analytical reports or large batch reports on Catalog or Schedule data. Departments do not need this training.
Classroom assignments
No traditional classroom allocations Timetable Copy starts with Fall 2003 classroom assignments All room assignments to be maintained by Timetable office using Banner only until February or March 2004 New room scheduling software to be used after that Program will include capabilities of batch scheduling classes into rooms
