Using Microsoft Word 97 for Web Publishing

Overview
Microsoft Word 97 allows you to save your documents in an HTML format. These files then need
only be uploaded to a web server for delivery over the Internet. Follow the steps below to publish
your syllabus, class lectures, and assignments on the Web.
Obtain server space for your class.
To delivery your course over the Internet, you will need an account and drive space on aWorld
Wide Web server. This is freely available to all ASU faculty on the ASU General web server.

Obtain and install FTP software.
To upload your documents to your server space, you need some type of File TransferProtocol
(FTP) software. WS-FTP (PC/Windows) and Fetch (Macintosh) are both freely available.
To download the WS-FTP (Windows) software access the ftp://ftp.asu.edu/pub/pc/win95-nt/utils/
ws_ftp32.exe URL.
To download the Fetch (Macintosh) software access the ftp://ftp.asu.edu/pub/mac/utils/fetch303.hqx
URL.
Create your syllabus in Microsoft Word.
Using Microsoft Word 97, create your syllabus as you would normally.
Tips: To create a new line within a paragraph, use a soft return (Ctrl + Enter). To add a hyperlink,
select the text to be linked, and then choose "Hyperlink" from the Insert menu. In the corresponding
dialog box, enter the URL for the site/page you want to link to.
If the link is to another page (document) you will create for this class (such as an assignment or
lecture page), enter the filename of the document and place a check in the "Use relative path for
hyperlink" box in the bottom of the window. URLs and filename references are case sensitive.
Save your document as an HTML File.
When you have the syllabus complete, save it as an HTML file by choosing the "Save as
HTML" option under the File menu. Name the syllabus file "index.html" (The main file of
site is usually named index.html and does not require the end user to specify which HTML docu-
ment to load).
View the document in a web browser.
In Netscape, choose "Open page..." from the File menu. Click the "Choose File" button to
view the contents of your drive and find the file you just created. Click the "OK" button.
Your HTML file will be served locally from the hard drive. Verify the formatting is as you want it.
Check any links you added by clicking on them to make sure they work. (If you are using Microsoft's
Internet Explorer as your browser, choose "My Computer" from the Go menu and select the appro-
priate folder(s) till you locate your file and open it.) Make any necessary changes in the formatting,
URLs, etc. from Microsoft Word andre-save, then reload the file in your browser.
Create any additional pages (lectures, assignments).
Repeat steps 3 through 5 for any additional pages. Save each file as an HTML file. Remem-
ber that to link to another document within your site, select the link title, choose "Hyperlink"
from the Insert menu, enter the filename of the document (e.g. "index.html") and place a check in
the "Use relative path for hyperlink" box in the bottom of the window.
Tip: It is wise to add a link back to the syllabus from your additional documents.
Upload the HTML pages to your web space.
Use either the WS-FTP or Fetch programs to load the files you created to your directory on
the web server. Verify that the files are named the same on the server (i.e. have the correct
case). If not, rename the files on the server to as they were on your local drive. (In WS-FTP, select
the remote system file and click the "Rename" button. With Fetch, select the file and then choose
"Rename" from the Remote menu.)
Tip: If you imported any graphics into your documents, Word saves the graphics as separate files
within the same directory. They will be named imagen.gif, with n is being a sequential integer in
each filename. You must upload these files as well.
View the web site with your browser.
Verify that the web site looks as you intended and that all links work. Make any necessary
changes in Word and upload the revised file(s).
