IMPORTANT INFO FROM THE PAYROLL DEPARTMENT
TIMESHEET GUIDELINES / DEADLINES
Timesheets for hourly employees and supplemental pay are DUE to the payroll office by Noon on the Tuesday after a pay
Friday. Upcoming timesheet deadlines are:
• Tuesday, October 6 for dates worked Sept. 21 through Oct. 2
• Tuesday, October 20 for dates worked Oct. 5 through Oct. 16
• Tuesday, November 3 for dates worked Oct. 19 through Oct. 30
Timesheets MUST be signed by a supervisor and include the following information:
ü Employee Name and Employee Number;
ü Dates and Times Worked – columns should be totaled and accurately reflect the hours worked; and
ü ASN for supplemental pay.
Timesheets SHOULD BE SCANNED to firstname.lastname@example.org or sent to the payroll office via inter-office mail. They must
arrive in the payroll office by the due date. Late timesheets and/or incomplete forms may not be processed until the
following pay period.
Blank timesheets are available on the KCSD website. Click on District Information and then click on Forms.
If you have any timesheet questions, please call or email Ann Marie Hunsinger, Payroll Secretary, at 893-4900, option 1,

If you have changes to your payroll information, such as:
§ a new address; § updated banking information;
§ updated W-4 information; § additions, deletions or other deduction changes;
the new information MUST be received by the Friday before a pay day in order to have the change take effect
that pay day. For example, changes for the Friday, October 16 pay must be received in the payroll office by
Friday, October 9!
SEPARATE CHECKS FOR SUPPLEMENTAL PAY
Payroll policy is that supplemental earnings over $500 should be issued on a separate check. If you do NOT
want to have this done, you must notify payroll in writing (firstname.lastname@example.org). Earnings issued on a separate
check typically have less federal tax withheld, and voluntary deductions such as union dues, annuity
contributions, medical insurance, etc. are not withheld a second time. Please note: if you have your direct
deposit set up to send a portion of your check to one account and the remainder to a second account, any
separate checks issued will be deposited the same way.
If you are someone who regularly receives supplemental pay (i.e. 21st Century, EAP Tutoring, etc.) and you wish to
always have these earnings issued on a separate check, you may submit that request in writing to the payroll office
PLEASE CHECK YOUR CHECK’S DATE BEFORE CASHING!
If you receive a “live” check that you take to the bank to cash, please remember that checks are not to be cashed BEFORE
the date that is printed on them! Checks are mailed out on Wednesdays and distributed to employees in most buildings on
Thursdays as a courtesy to make sure employees have them by pay day, which is always Friday. Checks are always dated
for Friday and should not be cashed before then.

If you may be retiring this school year and have submitted a purchase of service form that has not yet been
processed, please notify the Benefits Office as early as possible. Occasionally, it is necessary to request a
social security statement to verify wages.
Student Certification Notices for Dependents Ages 19 to 23
October is the month when Blue Cross Highmark and United Concordia mail Student Certification
Forms to employees with college age dependents. If your child is currently attending college full-time,
please complete and return the forms to maintain their insurance. To be eligible, undergraduate students
must be enrolled in 12 credit hours and graduate students must be enrolled in 9 credit hours.
