City of Austin Request for Proposal RFP No. MSO0024 APPENDIX A VENDOR RESPONSE ACCESS DATABASE INSTRUCTIONS Appendix A Page 1 City of Austin Request for Proposal RFP No. MSO0024 VENDOR RESPONSE ACCESS DATABASE INSTRUCTIONS Vendors are required to complete the Microsoft Access databases and return on CD with the final proposal package. Vendors may response to either the Bid and Solicitation or Construction Requirements databases or they may response to both. Technical requirements for each proposed solution must be completed even it the proposed solution is a single integrated package. The databases are distributed as Access MDE files and can either be downloaded from the City of Austin’s website or a CD containing the database can be obtained from: Mick Osborne 124 W. 8th Street, Room 308 Austin, TX 78701 – 2302 To download the database, go to the City of Austin’s web site at www.ci.austin.tx.us. At the “Select a Service” pull-down window select “Purchasing Notices”. From this location you can retrieve the solicitation. Once you have found the solicitation, select “Attachment A” to download the databases. Appendix A Page 2 City of Austin Request for Proposal RFP No. MSO0024 Use the databases to respond to all of the Functional and Technical requirements included in the RFP. Open the database MDE file and use the built-in form to complete the database responses. The “Response” pull-down window provides three selections: “Base Functionality,” “Customization” and “Not Available.” All Responses from the pull down window that are either Base Functionality or Customization must have explanations in the “Response and Description of Customization if Applicable” memo field. For Customization responses be sure to include a description of the type and level of customization. The database form is divided into two sections: The top half of the form is read-only data from the database. Fields Shown Are:      “Req #” “Requirement Type” “Category ID” “Priority” “Requirement Description” You may conduct searches by any read-only field in the top half of the form, but you cannot modify the data. Instructions for searching the read-only fields in the top half of the form are as follows: Place the cursor in the desired field. Click the mouse to select the field. Click on the binoculars icon in the tool bar at the top of the screen. Fill in the search text in the “Find What:” field. Click on the “Find First” or “Find Next” button. Click the “Close” button to finish. The lower half of the form contains the fields that must be filled in by the vendor. Fields shown include:  “Response”  Vendor must choose one of the three available values from the pull-down list: Base Functionality Indicates that this functionality is part of the basic application without any additional customization or modification needed to meet the requirement. If this value is chosen, put your description of how the basic application can meet the requirement in the “Response and Description of Customization if Applicable” field. Appendix A Page 3 City of Austin Request for Proposal RFP No. MSO0024  Customization Indicates that this functionality can be provided with some amount of customization or modification to the application or supporting modules. If this value is chosen, enter an explanation of customization or modification in the “Vendor Response Description” and the “Estimated Customization Cost” fields.  Not Available Indicates that Vendor cannot meet or satisfy this requirement, or is not proposing to provide a solution for the requirement. If this value is chosen, it is not necessary to enter any information in the “Response and Description of Customization if Applicable” field.  “Customization Cost” A dollar figure must be entered in the “Customization Cost” field when the “Response” field is assigned a value of “Customization.”  “Vendor Response Description” Use this comment field to respond to the “Required Response” field and to provide a summary explanation of the customization/modification (if required) that must be made to the product to meet the requirement. When complete, save the final file to CD as yourcompanyname.mde. The completed database(s) should be saved to a CD and must be included in your final proposal package. Appendix A Page 4
