Shared Calendaring & Contacts Service
The ability to share diaries and contact lists is one of the most requested services in the University. It enables efficiency gains through a simple yet important improvement in team communications and project management. pass this saving on to you. Making use of the popular Microsoft Exchange Server product, a full list of shareable features are available, including Calendars, Contacts, Tasks, Journals and Notes. Access to each item can be finely tuned to meet your team structure, ensuring the appropriate level of privacy is in place. Most importantly for many users, you can access your account through a Web browser. This means that if you have the right Internet connectivity, you can access your shared information from anywhere in the world. Useful for those that travel on University business. With security in mind, when you log in to your shared folders through the Internet, your username and password are secured by use of strong encryption technologies. In addition to Web access, some users may wish to take advantage of the fuller feature set that is available when you connect your desktop copy of the Microsoft Outlook 2003 client to our Calendar Service. With the Outlook 2003 interface you can fine tune access rights on items in your group’s Public Folders as well those in your personal Exchange Mailbox. Also included in Outlook 2003 access mode is the ability to synchronise your personal items with certain models of PDA, both over GPRS and 3G services (i.e. wirelessly) as well as directly through an intermediate Windows PC. The Calendar Service also allows hot desking: that is, when you connect to the Exchange Server from another PC, your personal data in your Exchange mailbox is readily accessible. There are many commercial products available to choose from, both open and closed-source, but unfortunately many of these are complex and can be expensive to implement. The NSMS team has responded to the requests for such a service and is now offering its own Exchange 2003 based shared calendaring system. This is available to any department, college or faculty within the University of Oxford. By sharing this service with many users, we can cut the total cost of implementation and management, and

Shared Diaries and Remote Access? No Problem
The NSMS Calendaring Service allows its users to access their data from home or, indeed, from anywhere in the world! All you need is a machine connected to the Internet. Used in conjunction with the OUCS Herald email service, you can be in contact with your office and you will know where to be and when! You can change your itinerary and let your colleagues know, with speed and ease. Your diary view is interchangeable between day, week or month in a single click and recurring appointments are simple to set up. New diaries can be created with no more than a few clicks and are available immediately to your colleagues. For all users of the Outlook 2003 interface, deleted items can still be recovered.
