Notes on the EnhanceFitness Sample Budget
Personnel
EnhanceFitness Instructor – The class is held three times per week, an hour each
session. There is some setup and takedown of equipment so an additional hour is added
for a total of four instructor hours per week per site class. There are at least three different
ways to budget an instructor:
1. The instructor may be an Independent Contractor. The organization determines
the salary of their instructor based on typical ranges for their geographic area. A
personal service contract is negotiated with a certified fitness instructor. See the
American Council on Exercise’s web site for current salary information
(www.acefitness.org). (The sample budget uses $25/hour, the current average fee
in Seattle.)
2. The instructor may be a volunteer. Be sure to budget for fitness certification
training if the instructor is not already a fitness professional.
3. The instructor may be a current employee who teaches the class as part of their
job.
Project Coordinator or Manager – This is typically a current employee of the
organization who oversees class scheduling, marketing, and training coordination. (Either
the coordinator or the instructor may handle the paperwork and data collection.) Their
EnhanceFitness responsibilities are typically a piece of their job and are therefore already
budgeted through another source. However, if an organization has multiple sites, it may
want to hire a Program Manager to oversee these sites or, if the organization has a Master
Trainer, the Master Trainer could also be the Manager and be responsible for program
management, instructor training and instructor monitoring.
EnhanceFitness Master Trainer – The Master Trainer will train other instructors, may
also teach classes, and will monitor new and ongoing instructor’s classes for quality
assurance.
Fringe Benefits – Calculate fringe benefits at your organizational rate for each benefit.
Travel – This should include hotel, mileage, and meal expenses for:
a. travel to and from sites for class monitoring by Master Trainer
b. travel for trainees to EnhanceFitness New Instructor Training
c. travel to continuing education trainings, including the annual Instructor Workshop
and/or Annual Master Trainer Workshop in Seattle.

Supplies –
a. Weights – adjustable wrist and ankle weights should be purchased for each class.
Weights can be ordered through Project Enhance and delivered to the site.
Weights with shipping and handling included are approximately $800.
b. Consumable supplies – paper, pens, etc. needed for EnhanceFitness staff
c. Copying – expenses for copying required data collection forms (demographic,
attendance, outcomes measures)
d. Cart for weights – a rolling cart for weights is necessary to easily move the
weights in and out of a locked storage area.
e. Stopwatch – used for performance measurement testing
f. CD player – to play music during the class
g. Music – music requested by participants to exercise with
Contractual
Senior Services manages EnhanceFitness and would be a contractual agency.
EnhanceFitness provides several training options for organizations, depending on their
need and number of sites.
Basic EnhanceFitness License: First Site (required)
This fee includes one EnhanceFitness site, 1.5 day (12 hours) New Instructor Training,
EnhanceFitness Instructor Manual and Participant Guide, EnhanceFitness Instructor
Video, connection to the EnhanceFitness listserv, listing on the Project Enhance website,
data collection forms, reports, Annual Instructor Workshop, and marketing materials.
Per Additional Site Fee
This fee is for additional organizational EnhanceFitness sites beyond the first site.
Renewal Fees
Sites pay renewal fees each succeeding year to receive items included in initial licensing
fee. The renewal fee for the first site is $300; additional sites are $100 per site.
YMCA Certification Training
If sites do not have or cannot find nationally certified fitness instructors, EnhanceFitness
can provide YMCA Certification Training to potential instructors. This training is
1.5 days and has a per participant fee of $125. Exercise for Older Adults: ACE’s Guide
for Fitness Professionals is required for the Active Older Adult session of the
certification.
EnhanceFitness Master Trainer Training
This training is 1.5 days and is for large organizations with a capacity for multiple
EnhanceFitness sites. This enables the organization to train EnhanceFitness instructors as
needed without having to bring in an out-of-state T-Trainer. The Master Trainer must be
certified by a nationally recognized certification organization and have a background in
teaching fitness classes, preferably to older adults.

Travel Expenses for T-Trainer
Travel expenses for the EnhanceFitness T-Trainer (Trainer of Trainers) include airfare
and/or mileage, meals, and lodging to and from the training site. If your Master Trainer
candidate will be traveling to Seattle, Washington, be sure to budget for these travel
expenses.
Other
Other costs may include:
Postage – for mailing of forms, letters, etc.
Facilities – if rent is charged for any space usage and not provided as in-kind
Printing – printing of program materials, forms
Transportation – mileage for local meetings
Phone – for calls related to EnhanceFitness
Please note that the Excel budget document has made assumptions about your
expenses related to EnhanceFitness.
Be sure to change formulas in cells to correspond to your actual expenses, e.g.
personnel, hourly rate of personnel, fringe benefits, travel, supplies, number of sites,
training and certification needed, and other costs.
