                Employee Incentive Award Program

PURPOSE: Recognition awards are designed to encourage and recognize outstanding
customer service, improved quality control and other opportunities where the employee has
demonstrated behaviors that serve the internal or external customer’s needs and/or contribute
to the overall excellence of the organization. Incentive awards are designed to reward
employee’s ideas, suggestions and solutions that result in cost savings and/or generate
revenue.

    Examples would include but are not limited to the following:

                  Suggestions resulting in proven cost savings
                  Innovative solutions to a difficult work problem/process
                  New ideas for improving processes, systems and/or quality of product
                  Behaviors that exemplify outstanding customer service, team
                   participation and quality control
                  Outstanding examples of leadership


RECOGNITION/INCENTIVE AWARD (RIA) COMMITTEE

The RIA committee will consist of six rotating representatives – four employees and two
managers and or supervisors. The committee will meet once a month. The term of service for
committee members will be six months. The XXX HR representative will serve as a regular,
ongoing committee member/advisor to ensure continuity of the program.

The RIA committee will be responsible for reviewing, analyzing and evaluating submitted
recognition nominations and Ideas at Work. The committee will submit recommendations for
each submitted nomination and/or idea to the manager/supervisor team for final approval.

The HR representative will be responsible for tracking all awards, maintaining receipts and
expenditures, and providing a monthly/quarterly detail report to the Business Manager.

FUNDING

An annual budget of $XXXX.XX will be set aside to fund the recognition/incentive program.

MEASURES/FEEDBACK OF PERFORMANCE OF PROGRAM

Feedback from staff via an annual survey will provide ideas and suggestions on maintaining and
improving program.

                        Incentive Plan (Ideas at Work)
PURPOSE:

Incentive awards are designed to award employees for ideas on improving processes that result
in the reduction of expenses and/or result in the increase of revenues for XXX.

                                  IDEAS AT WORK
WHAT IS AN IDEA AT WORK?
Ideas at Work is a program that employees of XXX can participate in by submitting ideas
designed to benefit the department. An idea should either result in savings in cost or an
increase in revenue for XXX.

ELIGIBILITY
All employees, excluding the director, are eligible to submit ideas. Managers and
supervisors are not eligible for ideas submitted for their own area of responsibility.

HOW TO SUBMIT AN IDEA?
Idea forms are available on the bulletin boards, from your supervisor or from XXX Business
Office. Rules for the Ideas at Work program are located on the back of the Idea Form. An
Idea at Work should be delivered to your supervisor or Business Office representative.
Incomplete Idea Forms will be returned to the employee. If the Idea has already been
suggested, the employee will be notified.

WHO EVALUATES MY IDEA?
When the employee’s idea is received by their manager, it is submitted to the Business
Office representative, recorded and assigned a number. The RIA Committee evaluates
each Idea. The results of the evaluation process will be recorded on the Idea at Work
evaluation form and forwarded to the manager/supervisor team for final approval.

AWARDS
Cash awards are for ideas that result in a savings in cost or for ideas that generate new
revenue. Tangible Idea – the award will be based upon 10% of the projected twelve month
savings minus implementation costs – not to exceed $500 net. New Revenue – The award
will be based upon 5% of the first six-month’s new revenue minus implementation costs –
not to exceed $500 net. Awards for new revenue are paid after revenues have been
collected. Awards are in the form of a check. NOTE: Per policy, awards cannot exceed
$500 net.

                          RULES FOR THE IDEAS AT WORK PROGRAM
Ideas at Work is a program that employees can participate in by submitting ideas designed to benefit XXX. An
idea should either result in a savings in cost or an increase in revenue for XXX.

Eligibility
All employees, excluding the director, are eligible to submit ideas. Managers/supervisors are not eligible for
ideas submitted for their area of responsibility.

How to Submit an Idea
An employee or a team of employees may submit an idea to their manager/supervisor and/or Business Office
representative, in writing. The Ideas at Work form should be used and must be signed by the employee who
submitted the idea. No anonymous submissions will be considered.

Evaluating Ideas
When the employee’s idea is received, it is recorded and assigned a number. The Incentive/Recognition
committee will evaluate each idea and make recommendations for award and approval. The results of the
evaluation process will be recorded on the Idea at Work evaluation form and forwarded to the
manager/supervisor team for final review and approval.

Awards
Cash awards are distributed at quarterly all-staff meetings and are not to exceed $500 net. A recognition
plaque will be given to the employee at the quarterly all-staff meeting and a memo/acknowledgement of the
employee’s accomplishment/behavior will also be placed in the employee’s personnel file. Value of awards
cannot exceed university policy and procedures governing recognition/incentive programs.

Duplicate Ideas
When two or more employees submit the same or similar idea, the first idea to be received is the one eligible for
an award.

contact their manager, supervisor or Business Office representative if they have any questions or need
assistance.
