We are looking for reliable and dependable people to join our staff bank to enable the
provision of supplementary staffing to cover periods of staffing shortfalls to support
wards, departments and clinics throughout NHS Forth Valley. Work would be
allocated on an “as and when required” basis with a variety of different shift patterns
available until July 2011.

Bank Porter
Band 1 £13,653 to £14,364 per annum pro rata
To provide efficient portering services within hospitals with a focus on patent care
escorting to and from wards and departments. Duties may include collection and
delivery of laundry, linen, specimens, medical gasses, sorting and delivery of mail and
the safe collection and disposal of waste.

1. JOB IDENTIFICATION

Job Title:                          Bank Telephonist/Switchboard Operator

2. JOB PURPOSE
The switchboard services are part of Forth Valley Facilities unit, which consists of a multi-skilled
team within hotel services. The department is responsible for providing an effective and efficient
communications system Forth Valley wide. The switchboard operates over a seven day, twenty
four hour service.


3. DIMENSIONS
The Bank Telephonist/ Switchboard Operator is expected to provide cover during periods of absence or
vacancy. This requires adaptability and the knowledge and skills to carry out tasks to maintain the
smooth running of the service/ department.

The specific requirements will vary between services/ departments but the type and level of duties and
tasks will be commensurate to the level of the post.

The post holder is responsible to manager/ Co-ordinator while on duty. The post holder is line managed
by the Bank Staff Manager and professionally accountable to the Hotel Services Manager/Domestic
Services Coordinator.
5. ROLE OF DEPARTMENT

To provide a supplementary staffing service to clinical areas across NHS Forth Valley.


6.   KEY RESULT AREAS


All Switchboard staff during their daily duties will be required to:

    Operate the switchboard in an efficient, pleasant manner following all organisational policies
     and procedures and ensuring at all times customers receive a helpful and informative
     service.
    Call handling - answering enquiries forwarding traffic to requested locations.
    Operating internal/external call systems,
    Operating the internal paging system
    Operating the external Paging system and keeping associated records.
    Following all organisational policies and procedures in the event of emergencies or alarm
     calls being made (e.g. Cardiac Arrest calls, fire alarms, medical gas alarms, major incidents
     and Massive haemorrhages’, maintain accurate records of incidents.)
    Reporting any faults in the switchboard, internal/external call systems, paging systems and
     any alarm system connected to the hospital telephone exchange when required.
    Issuing of internal pagers to staff authorised to carry a page.
    Issue and replacing batteries when necessary and programming Multitone internal paging
     system.
    Point of contact for collection of keys in relation to accommodation Organising contract taxi
     transport for authorised personnel, patients or visitors, and recording appropriately.
    Maintenance of records as may be required to enable adequate service to be provided
     including co-ordinating and updating on-call records for all hospital/medical staff.
    Issuing of all internal pagers to Junior Doctors on arrival on site.
    Updating the electronic telephone numbers as personnel change (duty may be specific to
     site and/or carried out with supervision).


7a. EQUIPMENT AND MACHINERY
Operation of telephone exchange system in order to carry out duties effectively:
      - Use of either headset or hand phone for above.
      - Use of computerised switchboard.

    Cardiac Arrest system & Perri Arrest
    Fire alarm System
    Medical Gas alarm system
      Blood Fridge Alarm
      Major Incident Procedure
      Reporting of any system failures
      Major infrastructure
      Fast Paging
      Boiler Alarms
      Massive Heam
      Pharmacy Alarm
      Lab Alarms
      Generator
      Gladstone Place
      Childhealth




8. ASSIGNMENT AND REVIEW OF WORK
The Domestic and Switchboard Coordinator generate work to the post holder by the service
users.

The post holder will be expected to work on his or her own initiative but with support and advice
readily available from the Domestic and Switchboard Co-ordinator

The post holder has little requirement to review work as the Senior Telephonist and the
Domestic services co-ordinator will meet on a regular basis to review workload and tasks.


9. MOST CHALLENGING/DIFFICULT PARTS OF THE JOB
Being required to work, often at short notice, in a range of clinical areas / locations / community
bases, often at times of increased activity or staff shortage and integrating and establishing
credibility within the team.

In order to carry out their duties, operators will be required to develop and maintain good
working relationship with the following personnel.

11. PHYSICAL, MENTAL, EMOTIONAL AND ENVIRONMENTAL DEMANDS OF THE JOB
   Physical Skills:
   Physical skills normally obtained through practice over a period of time, including operation
   of switchboard keyboard and equipment.

   Physical Demands:
   Requirement to exert light physical effort for short periods/frequent requirement for sitting in
   restricted position for a substantial proportion of working time
   Input telephone/extension numbers 75% of time.

   Mental Demands:
   Maintain level of general awareness during working day. Frequent requirement for
   concentration where the work pattern is predictable. Concentration required for continuous
   input of numbers. Balance conflicting priorities of call traffic demands. Having to work with
   constant interruptions to answer the door, and other NHS staff working in our working space.
   Being able to work as part of a team and also using own initiative

   Emotional Demands:
   Occasional exposure to distressing or emotional circumstances – may handle calls from
   distressed relatives

   Working Conditions:
   Noise exposure from alarms – several of which do not mute
   Lone worker for hours out of hours 6am-8am, 5.30pm -8am
   Verbal abuse from callers and staff regarding accommodation.


12. KNOWLEDGE, TRAINING AND EXPERIENCE REQUIRED TO DO THE JOB
No formal qualifications are required prior to employment, as formal training will be given.
However any relevant experience in a similar environment may be an advantage – e.g. working
under pressure, customer services and team working.

Knowledge of policies and procedures in risk management, health and safety would also be an
advantage although training will be provided.
