REHEARSALS: Thursday evening’s and Friday morning’s rehearsals will be at Covington
High School. Friday afternoon and evening and Saturday morning
rehearsals will be at the Homestead. The final performance will be at the

HOTELS/MEALS: Please note: All rooms will accommodate four students.
Meals include: Thursday - Dinner and snack
Friday – Breakfast, Lunch and Dinner Saturday – Breakfast and Lunch
All members of the Honors Choir, regardless of where they live,
are required to stay at the Compare Inn in Covington
DIRECTOR Getting students to Honors Choir and back is the responsibility of
RESPONSIBILITIES: each director. Directors will register their own students for the event and
accompany them during the Honors Choir event. Directors, you may not
register your students and then return home. If a director positively
cannot attend the conference, a person designated and approved by the
school principal in writing (on school stationary) must assume
responsibility for his/her student(s). Notices regarding chaperones
signed by the principal must be returned with the registration forms.
DIRECTOR HOUSING: Directors must make their own hotel reservations. Make reservations
immediately! If you wait, you run the risk of not getting a room.
NIGHT CHAPERONES If you are interested in serving as a night room/floor chaperone, please

GENERAL INFORMATION
REHEARSAL and MEAL In order to allow the directors to attend as many conference sessions as
MONITORS and possible, we are attempting to have official parent chaperones serve as
CHAPERONES BUS rehearsal and meal monitors and bus chaperones. Of course you are
invited and encouraged to attend and observe as many rehearsals as
you wish. You will not be able to eat with your students but you may
visit during their dinner.

STUDENT Rehearsal – Regular school clothes. PLEASE NO HATS!
DRESS: Teachers: Please emphasize to your students that appropriate clothing is
necessary while guests at CHS and at The Homestead.
CONCERT Please do not wear cologne, perfume, body sprays, or perfumed lotions.
ATTIRE: Jewelry should be kept to a minimum. Please maintain a uniform look,
this is not the time to make personal fashion statements. No corsages.
Ladies: Black Dress Skirt, (Knee length or longer) Long Sleeve, Pressed Dress
Style White Blouse, Black or nude Pantyhose, Dressy black shoes. NO sandals
or flip-flops. Please keep heel height to 2‖ or less
.
Gentlemen: Dress Style Black Pants, Long Sleeve, Pressed Dress Style Solid White Shirt
Dark color tie, and Dressy black shoes and black socks.
Please bring a black folder for the concert

GENERAL INFORMATION
RECORDING: Recording CD order forms will be available in the
registration packet and at the concert.
REGISTERING AT Please go to the Honors Choir registration table in front of the auditorium
THE COVINGTON: at CHS.
The students will leave their luggage in the auditorium. Student rooms and room key
will be issued at a specific time.
All directors must show a ―current‖ MENC card. DIRECTORS, YOU ARE STRONGLY
ENCOURAGED NOW TO GET THE PROPER MENC MEMBERSHIP VERIFICATION.
WE ARE NOT GOING TO BE ON-SITE AND IF WE CANNOT VERIFY YOUR
MEMBERSHIP, YOUR STUDENT(S) WILL NOT BE ALLOWED TO
PARTICIPATE AND WILL BE SENT HOME.
Please be advised that students will not be allowed to go off with parents, directors, relatives, or
friends to go to lunch or visit colleges. It is mandatory for students to attend all rehearsals. Their time will
be very structured.
FEES AND MUSIC: The registration fee is $234.00 per singer and includes six meals, lodging and
sight reading music.
Teachers, you must order all of the music except for the sight reading music for your students.

to order the music ASAP! The music will be approximately $9.50 per packet, plus shipping.
You will need to download and copy Ecco Mormorar L’Onde by Claudio Monteverdi from

REHEARSAL : We have rehearsal music that you can download from
MUSIC http://www.vcda.net/honorschoir.htm. You must use the passcode HC 10-23
(The deadline for mailing everything)
Please download and burn rehearsal CDs for all of your HC singers.
The music this year is difficult. All singers should be FULLY PREPARED on their
music when they arrive on Thursday.
Parents, The Virginia Music Educators Association has arranged with The Homestead for you to be
able to eat lunch at the Homestead on Saturday (app. $25 per person) and/or to stay Saturday night
at the Homestead for the VMEA group rate. The single rate is $192.37 total per night and the double
rate is $133.62 per person.

2009 VMEA Honors Choir
Student Rules and Regulations
Congratulations! You have been selected to participate in the 2009 VMEA Honors Choir. You have displayed
an exceptional level of musical talent and maturity through your successful audition for Honors Choir. During
the event, you are expected to reflect the high standards of behavior and discipline you have already
demonstrated.
Please carefully read the rules listed below:
Students are expected to follow the same rules and regulations in regard to prescription drugs
as dictated by their home school. The consumption or possession of alcoholic beverages,
tobacco products, and the use or possession of illegal drugs are NOT permitted.
Students will show respect to their fellow students and those in authority at the event.
Each student will know the music to be performed prior to arrival at the VMEA
Conference. All students are expected to be on time for each rehearsal with music and pencil in
hand.
All students must be in their assigned rooms by curfew and remain there until 6:30 a.m. No
visitors are allowed after curfew, this includes directors and pizza delivery.
Once assigned, no room assignment will be changed.
Long distance telephone calls are NOT to be made from the hotel rooms. All long distance
calls are to be made only from pay phones or cell phones. There is a hotel surcharge for all local
calls. Students within their rooms will be responsible for paying any hotel surcharges. The use of
personal cell phones will be permitted. Please be aware that you may incur roaming charges that
could be very expensive.
All students are required to attend every rehearsal in its entirety. Absence from a
rehearsal or part of a rehearsal may result in expulsion from the VMEA Honors Choir. The Honors
Choir Committee will determine whether an absence or partial absence from a rehearsal is
excused or unexcused. Students will not be allowed to go off with parents, directors, relatives, or
friends to go to lunch or visit colleges. Again, it is mandatory for students to attend all rehearsals.
Breaks will be granted at the discretion of the guest conductor.
Food and beverages are NOT permitted in the rehearsal room. WATER BOTTLES THAT
CAN BE CLOSED ARE PERMITTED. ALSO, ALL CELL PHONES, BEEPERS, DIGITAL
WATCHES, PDA ALARMS, ETC. ARE TO BE TURNED OFF DURING ALL REHEARSALS AND
THE CONCERT. HATS ARE NOT PERMITTED IN REHEARSALS.
Students in the choir are guests of Covington High School and The Homestead, and
representatives of the Virginia Music Educators Association. Each student is expected to respect
the management of each of these organizations and comply with their requests concerning the
use and care of the property.
Co-ed visitation—there must be at least four people in the room and the door must be fully
open. Failure to comply with this restriction can be grounds for dismissal from the choir.
All students are required to perform in the concert on Saturday, November 21, 2009.
The Concert Dress Code must be strictly followed.
