NIHR CRN Registration Policy for Training Courses
Information and Guidelines

Eligibility

NIHR CRN staff and public and patient representatives working on or associated with
the NIHR CRN portfolio of studies.

Course costs

NIHR CRN courses are offered free of charge to all staff and public and patient
representatives working on or associated with the NIHR CRN portfolio of studies.
However, failure to take up a pre-booked, confirmed place without giving the necessary
notice will incur a charge to cover part of the NIHR CRN Coordinating Centre’s costs.
(See non-attendance and late cancellation details below).

Delegates are expected to meet their own travel and accommodation expenses except
where explicitly included. Delegates should claim these costs back according to local
procedure.

It is the responsibility of delegates to arrange their own accommodation if required
where it is not provided by the NIHR CRN Coordinating Centre as part of the course.

Delegates who leave courses early will not receive their certificate of attendance and
may be liable for this charge. The NIHR CRN holds the authorising
network/organisation responsible for the charge, which currently stands at £75.00.
However, depending upon local arrangements, it is possible for this charge to be
passed on to the delegate or their employer by the authorising network/organisation.

By accepting enrolment on this course, the NIHR CRN will determine that you are fully
aware of the booking and cancellation/non-completion policies, and agree to the terms
and conditions contained within these documents. These can be downloaded from the
‘Instructions’ section of the LMS system (you will need to sign in). The link is provided

working on or associated with the NIHR CRN portfolio of studies. Failure to complete
this course within three months of registration date will incur a charge (this currently
stands at £75) to cover NIHR CRN’s costs. This also includes cancellation of enrolment
on the course following the NIHR CRN’s purchase of a delegate licence. The NIHR
CRN holds the authorising network/organisation responsible for the charge. However,
depending upon local arrangements, it is possible for this charge to be passed on to the

Registration

Delegates should in the first instance liaise with their Line Manager, Topic Specific
Clinical Research Network (TCRN) Training Authorising Manager or Accredited Clinical
Trials Unit (CTU) training nominee, to ensure that they attend training courses
appropriate to their own training needs.

Line Managers and Network Training Links have a responsibility to ensure that their
NIHR CRN staff, and colleagues working on NIHR CRN trials, attend appropriate
training courses.

It is essential that all delegates are aware of their appropriate network group prior to
registration and booking a course on the NIHR CRN Learning Management System
(LMS) online booking system. This will ensure that the booking procedure is a simple
procedure for all concerned.

For instructions on how to register on the LMS system and booking on a course, please
click on the following link http://www.crncc.nihr.ac.uk and choose the Training option
from the top menu bar. Once on the initial training page, click on the ‘Course
availability and booking’ option from the green left hand menu, and then on Download
‘How to book on a course’ instructions.

There are four steps to complete this:

   1. Register and activate your LMS account
   2. Select your course/courses via the Course Directory
   3. Request authorisation for your choice of course and date or
   4. Request authorisation for your choice of online course and following approval
await further login details from the Training & Education team or course
        provider.

Confirmation of Place

An automated email will confirm that your course request has been approved.

With taught courses, there will be no further correspondence until 30 days before the
course date, when delegates will be sent a first reminder email which will include details
of the venue, directions, course programme and any other relevant papers (eg pre-
reading). Two weeks later, a second reminder email will be sent. The email address
provided on the registration form will be used.

Allocation of places

Places are allocated on a first come first served basis. Delegates wishing to book on a
course date that is already fully booked will be offered the chance to book on the
waiting list for that event, and will be contacted should a place become available.

Line Managers who wish to send new staff on a particular course should ensure that
the delegates register and book on the appropriate courses once they are in post.

Delegates who are unsuccessful in securing a place on their first choice date, will need
to book on the next available course. If cancelled places cannot be filled from the
waiting list, they will be offered more widely.

Attendance at courses

Delegates are expected to arrive promptly for the start of the course and be committed
to stay for the duration.

Attendance certificates will only be provided following course completion and receipt of
course evaluation documentation.
