Dear Secretary

The Darwin Horse and Pony Club (DHPC) cordially invite you to join us on Easter weekend for
two days of exciting competition. This year DHPC have a made changes to the traditional
program of events which we hope you will appreciate.

In response to feedback and participation rates last year, we will devote Saturday entirely to
mounted games and Sunday entirely to dressage.

Saturday 3rd April 2010
In conjunction with the Baker Shield which is the coveted prize for the Junior Prince Philip
Mounted Games Competition, we are very pleased to announce that this year older pony club
riders will be given the opportunity to take part in an inaugural Associate Mounted Games
Competition and vie for the Stevens Shield.

Sunday 4th April 2010
The dressage component has been revamped to add a little more fun into proceedings! Team
combinations will ride a regular EA dressage test based on their grading, but in addition they
will ride a Prix Caprilli. The combined results of these two tests will determine a Junior
Champion team who will win the Seipel Shield with an Associate Champion team winning the
Price Shield.

Separate to the above competitions we are hosting another inaugural event, the Quadrille
Competition! This is an exciting event where teams of four will ride a set dressage routine to
music of their choice, dressed in costumes of their choice. This is a fantastic spectator sport
and great fun for both horses and riders!

We hope that each and every club will enter into the spirit of this competition and nominate both
a Junior and Associate team in each of the events offered, and actively encourage their
membership to come along and support their representative teams.
Attached are the rules and entry forms for each of the three components. Please read them
carefully given the introduction of a number of important changes this year. Should you have

RULES:
The games will be conducted under Pony Club International Mounted Games (IMG)
Rules which can be found at; www.ponyclubaustralia.com.au

Please note that the equipment requirements in these rules are a guide only, therefore
some equipment may not conform exactly to the heights/sizes stipulated.

TEAMS:
1.  Teams to consist of not more than 5 riders and no less than 4 riders.
2.  A club may only enter one team per Shield competition.
3.  Age is taken as of 1st January 2010.

JUNIOR RIDERS:
4.   All riders competing in the Baker Shield must not have attained their 16th birthday
     by 1st January, i.e. they must be 15 years old or less as of the 1st January 2010.

ASSOCIATE RIDERS:
5.  Riders eligible to compete in the Stevens Shield must not have attained their 26th
    birthday as at the 1st January. Junior riders are permitted to “ride-up” into this
    level if their Club Coach considers them to be sufficiently competent. These
    riders may only compete in either the Junior or the Associate competition – not
    both.

6.    In the event of a nominated team rider being unable to compete due to illness, a
      substitution may be made prior to the commencement of the competition,
      provided that the replacement rider meets the age criteria and the organising
      committee is formally notified. Strict adherence to this rule is appreciated.

HORSES:
7.  If a horse is unable to compete due to lameness or illness, a team member may
    borrow a horse from a member of the club for which they are competing. Under
    no circumstance will a horse from outside of that club be eligible to compete.

8.    A horse that has been leased for a period of six months is deemed to be a formal
      lease and is considered to belong to the lessee’s club.
9.    Horse height and equipment are as per IMG rules. The rule applicable to ponies
      under 12.2hh stands, however riders will be permitted to compete on horses
      bigger than the IMG rules state. This is to enable children who do not have a
      horse/pony of the correct height the opportunity to compete.

DISPUTES:
10.  Any protest must be given in writing and be accompanied by a non-refundable
     $100 fee to the DHPC organising committee within 30 minutes of any alleged
     infringement. The organising committee’s decision will be final.

ATTIRE:
11.  Teams are to present in informal pony club uniform i.e. polo shirt, jodhpurs in a
     colour which is registered by the club and a current Australian Safety Standard
     helmet. Club Coaches are responsible for ensuring that representative riders’
     helmets meet the current standard. Helmets are compulsory and must not be
     removed whilst the rider is mounted.

STEWARDS:
12. Each competing club shall nominate two lane stewards. It is the responsibility of
    each club to supply their stewards with a copy of the rules governing the
    mounted games to ensure that they are fully conversant with them prior to the
    competition. (A link has been provided above.)

GEAR CHECK:
13. Prior to the March Past teams are to assemble on the grounds between the
    cross country and arena to be gear checked at 8.30am with Club Coach or Team
    Manager present. Nothing may be added, altered or changed on either horses or
    riders once this check has been completed. Unauthorised changes may result in
    disqualification.

MARCH PAST:
14. A March Past comprising both Junior and Associate teams will be conducted at
    9.00am and shall precede the games.


COMPETITION:
15. Junior teams will run each race first and once every Junior team has finished,
    they are to immediately move away from the field of play to a designated area.
    The games equipment will then be re-set to allow Associate teams to run the
    same race. Once finished, Associate teams will move to a separate, designated
    area whilst the next game is set up in preparation for the Junior team to compete
    and so on.

16.   Teams are to exercise caution and consideration. Coaches must ensure that
      teams do not obstruct or interfere with the field of play or they may risk
      elimination.


AWARDS:
17.   The champion Junior club team will be awarded the Baker Shield and the
      champion Associate club team will be awarded the Stevens Shield. These
      perpetual trophies are on loan to the winning club until next year’s competition.
      All Shields remain the property of the DHPC and are to be returned prior to the
      event in the following year.

18.   Champion ribbons will be presented to both the winning Junior and Associate
      Champion teams.

PAYMENT OF FEES:
19. Fees must accompany the entry form and must be paid in advance. NO LATE
    ENTRIES OR PAYMENTS PLEASE!

20.   Only in extenuating circumstances will a late entry be accepted after the due
      date - and only upon payment of an additional late fee of $100. Representative
      teams will not be permitted to take part in the competition if fees (plus the late
      entry fee) have not been paid prior to the gear check/March Past.

      By internet banking/direct deposit:
      Clubs are to adhere to the following rules;
         o All fees paid via internet banking/direct deposit must include a brief
             description in the reference details i.e. LHPC Jnr Games 2010
         o A copy of the transaction or receipt is to be attached with emailed entry
             forms, and must be received by the deadline for all entries and emailed to
             dhpc.inc@gmail.com

RULES:

This competition will be run in accordance with current PCANT and EA rules. The
dressage tests used are current EA tests and whilst we recommend that all tests be
ridden from memory, this year it is not compulsory for Junior riders.

TEAMS:
1.  Teams to consist of not more than 5 riders and no less than 4 riders.

    based on their grading, PLUS they must complete a Prix Caprilli test. The highest
    team average percentage of both tests will determine the champion Junior and
    Associate team.

10.   An inaugural Quadrille competition will be run for teams of four riders. They will
      ride a set dressage routine to music of their choice and in costume if they wish.
      The Quadrille will be judged separated to the Shield events.

MUSIC:
11.  To be in media player format (mp3) burnt onto a high quality CD or on a USB.
     We recommend that you bring along more than one copy of your music as a
     safeguard. Any special instructions regarding when music is to commence
     should be noted and provided to the organising committee on the morning of the
     competition, when music will be tested.

SCORING:
12. For the Seipel and Price Shields, the 4 highest scores will count towards the
    team total with the 5th lowest score being discarded.

13.   For the Quadrille the highest team percentage will determine the winning team. It
      will also include marks for harmony, music and costume.

DISPUTES:

    trophies are on loan to the winning club until next year’s competition. All Shields
    remain the property of the DHPC and are to be prior to the event in the following
    year.
