Convenience of the Royal Sonesta
Standing along the Charles River, the Royal Sonesta Hotel offers sweeping Boston
views, magnificent accommodations, choice dining and a luxurious health club
with spa services. The hotel's ideal location places guests in the midst of the area's
finest shops, museums, historic sites and restaurants. Just three miles from Logan
International Airport, the Royal Sonesta is minutes from downtown Boston's
financial district and the Boston Public Garden, with easy access to the historic
waterfront, Faneuil Hall and the Freedom Trail. MIT and Cambridge high-tech
centers are less than a mile away. The Royal Sonesta is directly across the street
from one of the city's finest waterfront shopping areas, the CambridgeSide

Boston gives history a breath of fresh air. You can walk the Freedom Trail or the
Black Heritage Trail, climb Bunker Hill, and explore the walkways of our nation's
first public park, the Boston Common. Visit the USS Constitution, go aboard the
Boston Tea Party Ship or ride the swan boats in the Public Gardens.

Theater and The Arts
Visitors can enjoy the symphony, Broadway shows, the opera, the ballet, a concert,
or a seasonal ice show. The theater district is located just 10 minutes by car from

                  MEETING INFORMATION

Banners and Signs
We have three areas in the hotel where all meetings are posted for your attendee’s
convenience. If you have special signage, we can provide easels for you. Banners may be
hung in your meeting space or meeting space foyer area only. An installation charge per
banner will apply.

Our Grand Ballroom of 6000 square feet can accommodate:
•   Up to 100, 6 foot tabletop exhibits
•   Up to 44, 8’ x 8’ exhibit booths
For a listing of exposition companies, please contact your Conference Planner.

Shipping and Receiving
The earliest we are able to receive boxes or materials will be 3 days prior to your meeting
start date. The loading docks hours of operation are Sunday - Saturday 7:00am - 3:00pm.
For "off hour" deliveries, 24 hour security is available to receive and sign for packages.
The first six packages will be received and stored with our compliments. For quantities
over six packages, there will be a $1.00 per box porterage fee, charged to your master
account or credit card.
Any delivery of large crates or boxes (over 100 Lbs. each) will need to be coordinated
with a conference manager prior to delivery and are subject to additional porterage fees.
NOTE: Vehicles cannot be left on the loading dock area.

Please list the following information on all boxes:

•   Your name - or name of person that will need materials once on site
•   Group meeting name
•   Date of conference
•   Function room assigned
•   Hotel Conference Planner’s name

We can also arrange for items to be shipped back to you post-conference. We ask that you
complete freight forwarding information form (provided by the Banquet department),
label and seal all boxes.

Unloading and Loading
Our receiving/loading dock has limited space for deliveries. All unloading and loading
of equipment will be coordinated with a time schedule when planning the details of your
conference. Vehicles cannot be left in the loading dock area.

The loading dock elevator can hold a maximum of 2500 lb. The dimensions of the
elevator are 6’9” x 4’3” x 8’. The elevator doors are 4’ x 7.5’.

We have unlimited resources available to you at competitive rates to enhance your
conference comfort and success.

good news for you. Sonesta has a subsidiary company, Training By Design, which
can assist you with just that, in the most creative way!

At Training By Design, they create programs and workshops that are interesting,
involving and unique to your company and its needs. Whether you are trying to
motivate a sales force, turn different groups into a team or help employees handle
job stress and change, Training By Design can help.

Their professional training team will meet with you, discuss your needs, and design
a program that will have your meeting attendees asking for more. It will be hands -
on and interactive, since that is how adults learn best. It will use humor to get
results as well as to have fun. Most important, it will make your job easier and your
meeting results more successful.

Training By Design offers a full range of custom-designed programs. Not limited

                          FOOD & BEVERAGE

With 22,000 square feet of banquet facilities, our food and beverage department has
a reputation for its outstanding service and attention to detail. All of our food and
beverage is prepared on-site, embracing the philosophy of using the freshest of
ingredients from local farms. This philosophy allows us to create new seasonal
menus, offering a unique culinary experience for each event.

Our menus, with current prices, will be sent to you at least 60 days prior to your
conference. Your Conference Planner will ask for your menu choices when planning
the details with you. We recommend finalizing the menus at least 20 days prior,
with final guarantees required 72 hours prior to your event. We are prepared to
serve 5% over your guaranteed numbers. We will accommodate all diet-related
restrictions and requests, including any medical and/or religious considerations,
with proper notification.

All food and beverage prices will be confirmed and guaranteed 60 days prior to
your event, and are subject to a 14% gratuity, 6% administrative surcharge and 5%

To enhance your experience, we will customize any meal menus to your exact
specifications. From custom designed menus, to box lunches to enjoy along the
river, to gala-themed evening events in our Grand Ballroom, we can make your
vision a reality.

To energize your event, we can recommend outside companies who will create a
specific atmosphere with linens and props. We also have recommendations for the
following for use during any portion of your conference:

Please request our extensive list of guestroom amenities that can be sent to your
VIP’s, available through your Conference Planner and on-line at

Upon receipt of your agreement, the Hotel provides a billing instruction form to
determine and clarify how the accommodations, food and beverage functions,
audiovisual, incidentals and miscellaneous charges are to be settled. The billing
instruction form provides an opportunity to specify exactly what charges are to be
billed to the master account and who is authorized to sign to this account.

If master account billing is requested and credit has not been previously established,
the Hotel requests that a credit application be completed. Your sales manager will
provide you with a credit application. All guest accounts are payable on departure.
The Hotel will accept travel vouchers or room charges only by pre-arranged credit
approval. One bank reference and three hotel references are required. Accounts are
due within 30 days and overdue accounts are assessed a one and one half- percent
finance charge.

Master account billing must be requested in writing and approved by our credit
office 60 days prior to the group’s arrival date. On approval, the master account
may then be billed directly after checkout and will be due when rendered. The
credit department may request a deposit.

If your group has tax exempt status in the state of Massachusetts, an ST2 and ST5
form needs to be forwarded to the credit department along with your credit
application, in order to receive exemption status.

While the conference is held at the hotel, every effort will be made to present food
and beverage function checks and all charges to an authorized person for signature
prior to posting to the master account. Our billing manager will be happy to meet
with you prior to the meeting to review billing instructions. The billing manager is
also available by appointment to review the master account prior to your group’s

Arrival and departure dates, names, number of guests, rate and address shall be
confirmed by the hotel in writing. All reservations must be confirmed at the time of
booking with a credit card or by deposit (check or money order) 7 days prior to

Pre-printed reservation cards are available and can be provided by your Sales
Manager. All pre-printed reservation cards state the name of the meeting, dates,
rates, and cut-off date and deposit request or credit card guarantee. Some groups
prefer to use their own registration card. However, for the group’s protection, these
cards must be approved by your Sales Manager prior to distribution.

All reservations must be received four weeks prior to your group’s arrival.
Reservations received after the cut-off date will be confirmed on a space and rate
available basis. All reservations received by a rooming list are considered
guaranteed, with no-shows charged to the group’s master account.

Reservation Policies

Check-in time: 3:00 p.m.
We will attempt to accommodate guests arriving earlier than 3:00 p.m. as quickly as
possible. If a guest requests an early morning arrival, early check-in can be
guaranteed by reserving the room from the prior evening and incurring an extra
night’s charge. If a group arrives together, the hotel will accommodate guests, as
rooms become available. Special arrangements can be made with your Sales
Manager or Conference Planner.

Check-out time: 12:00 Noon
The hotel enjoys a very high occupancy and must therefore adhere to a 12:00 noon
checkout time. Anyone checking out after 12:00 noon may incur a late checkout
charge. Anyone checking out between 2:00 p.m. - 6:00 p.m. may incur a half-day
charge. Anyone checking out after 6:00 p.m. may incur a full day charge. Your
departure date will be confirmed upon check-in. An unexpected early departure
will result in a $25.00 early departure fee.

Cancellation Policies
All cancelled reservations have to be made 24 hours before the day of arrival. If
cancellation occurs after 24 hours., the hotel reserves the right to charge one night’s
room and tax to the credit card.

During peak season and special event dates, a deposit may be required three weeks
prior to the arrival date. If the hotel has not received the deposit, we reserve the
right to cancel the reservation.

Credit Cards
American Express, Diners Club, VISA, MasterCard, Discover Card and JTB credit cards
are accepted as payment at the hotel. All credit cards can be used to guarantee room

Running and Rollerblading
A jogging and rollerblading path is conveniently located alongside the Royal
Sonesta. This path follows the Charles River and offers spectacular views of the
Boston skyline! Maps are available at Guest Services or at the health club. We also
have the distance measured for each route around the hotel for the serious runner
and for those who would like to start their training for the “Boston Marathon.”

The Royal Sonesta has one of the largest heated pools in the area available for your
enjoyment. The pool offers swimming lanes and a very generous area for less
strenuous pursuits. A retractable roof and sliding glass doors allow the New
England sun to surround you. In addition, there is a Jacuzzi that will allow you to
relax by the pool. And, in the summer months, we have a garden sun terrace for

Public Transportation
The Lechmere Green Line Subway Station is four blocks from the hotel (8 - 10 minute
walk). The “T”, as the subway system is called in Boston, runs a frequent schedule to
many area attractions including the Freedom Trail, the Italian North End, Government
Center, Faneuil Hall and Copley Square. You can also take the subway to the airport.

The Kendall Square Red Line Subway Station is also located only minutes from the
hotel (15 minute walk). Harvard Square and the JFK Library are some area attractions
accessible to the red line. You may take complimentary transportation provided by the
“Wave” Shuttle Bus from the subway station to the CambridgeSide Galleria Mall, which
is right across the street from the Royal Sonesta.

Parking is available in a covered garage accessible from the lobby of the Royal
Sonesta Hotel. The garage contains two hundred parking spaces including five
spaces, which are available for guests with physical challenges. Additional parking
is available at our second garage located at the CambridgeSide Galleria Mall,
including one hundred and fifty covered parking spaces and three spaces, which are

Take the main airport roadway (one-way) out of the airport and follow signs for
"Sumner Tunnel, Boston/Route 93 North." Go through the tunnel and follow signs
for Storrow Drive. Proceed onto Storrow Drive and take the left exit for
"Government Center." Turn right at the top of the ramp onto the Longfellow Bridge.
Proceed to the first traffic signal and turn right onto Third Street. Proceed to the first
traffic signal and turn right onto Binney Street and proceed to the end. At the traffic
signal, turn left onto Edwin Land Blvd. and the hotel entrance/garage are located on
the right at the next traffic signal, across from the CambridgeSide Galleria. The hotel
is approximately 3.5 miles from the airport.

From the West via the Massachusetts Turnpike (I-90 Toll Road):
While Eastbound, make left turn to Exit 18 following signs to Brighton/Cambridge;
stay in the right lane following signs to Cambridge/Somerville; cross over the
Charles River on the River Street Bridge (Cambridge Street) and turn right at the
traffic light onto Memorial Drive (Route #3). Follow Memorial Drive East (Route #3
South) using the "cars only" option twice, then stay in the extreme right lane, along
the Charles River, as Memorial Drive will become Edwin Land Boulevard. The hotel
is on the right at the second traffic signal, directly across from the CambridgeSide

From the West via Storrow Drive:
Proceed East on Storrow Drive to Leveritt Circle. Remain in the left or middle lane
to proceed left onto Route 28 North/Msgr O'Brien Highway. Pass the Museum of
Science on your left. Proceed to the second traffic light and turn left onto Edwin
Land Boulevard. The hotel is on the left at the next traffic signal, across from the
CambridgeSide Galleria.

From the South (Route 93N):
Take 93 North to Exit 26, "Storrow Drive/Cambridge." Stay in the left lane on the
exit ramp following the signs for North Station. Once you pass the Museum of
Science (which will be on your left-hand side) continue to the second set of lights.
Turn left onto Edwin Land Blvd. (there will be a sign pointing to Memorial Drive).
Once on Edwin Land Blvd., continue to the first set of traffic lights and the hotel
entrance/garage is located at the next set of lights on the left, across from the
CambridgeSide Galleria.

From the North (Route 93S):
Take Route 93 South to Exit 26 (not accessible from carpool lane), "Storrow
Drive/Cambridge/Route 28N/Route 3N." Stay to the right, moving to the middle
lane, following signs for "Route 28 North/Cambridge/North Station." At the traffic
signal, turn left onto Nashua Street. Take the first right onto Route 28 North/Msgr
O'Brien Highway. Pass the Museum of Science on your left. Proceed to the second
traffic light and turn left onto Edwin Land Boulevard. The hotel is on the left at the
next traffic signal, across from the CambridgeSide Galleria.

From the North (Route 1S - Toll Road):
Take Route 1 South over the Tobin Bridge. Once through the tollbooth, stay in the
far-left lane following signs for "Boston/93 North/Route 1 South." After 1/4 mile,
take the exit marked "Route 28N/Cambridge/North Station." Stay to the right at the

fork, moving to the middle lane, following signs for "Route 28
North/Cambridge/North Station." At the traffic signal, turn left onto Nashua Street.

of Science on your left. Proceed to the second traffic light and turn left onto Edwin

From the MBTA:
Green Line
Take the Green Line MBTA trolley/bus to Lechmere Station. Exit and follow signs to
Cambridge Street. Cross to First Street and walk along the CambridgeSide Galleria
to Charles Street/CambridgeSide Place. Turn left and the Hotel will be at the end of
the block.

Red Line
Take the Red Line to Kendall Square Station. Exit station and cross the street to the
MIT Coop. The 'Wave' Shuttle Service picks up at this location on a posted schedule
(Mon. -Sat. 9 a.m. -7 p.m., Sun. 12 - 7 p.m.). The shuttle bus will drop you off at the
