HISTORY VACATION STUDY GRANT – NOTES ON CLAIMS Note that you can claim only for days actually spent in record offices, etc. not for days spent working in your home or place of temporary residence. Refund for travel expenses will ONLY be paid if the visit takes place within the University vacation periods, or during the January examination period after your last exam: For the Winter vacation: 16 December – 13 January For the January exam period (MUST be after last exam): 14 – 25 January For the Semester 2 vacation: 15 March – 6 April COMPLETING THE FORM a) Institute visited, with dates Give name of institution, and exact dates visited, eg 10, 11, 12 January. NB Do not give Sundays or Bank Holidays. Give Saturday only if the institution was in fact open. ALL THESE DATES MUST BE IN THE PERIODS LISTED ABOVE b) Travel and Maintenance YOU MUST PROVIDE RECEIPTS FOR ANY EXPENSES – NO RECEIPTS, NO PAYMENT You can normally claim only one long distance journey per vacation. Work in Manchester must be done either at the beginning or the end of the vacation. Travel claims within Manchester are allowable. State what means of transport you used for each journey; if you used a car, state mileage and estimated cost of petrol. You must take advantage of any cheap fares on long-distance trains and weekly London Transport ticket with student rail card; long-distance coaches, etc. State the cost of each journey (or series of journeys), and the total. You can claim only for nights spent in paid accommodation. There are two rates: Up to £12.00 per night – away from home, but not in London Up to £15.00 per night – away from home, in London State the number of days claimed at each of the two rates, where necessary. State the total cost of maintenance. c) State total claim Supervisors should carefully check the contents of each student’s form (eg the dates, the need to travel and make maintenance claim in relation to location of material used for thesis). In the section headed Comments of supervisors, they should indicate whether they are satisfied that the research work has been done, and should comment on particularly large claims. Supervisors should sign the form and send on to Karen Charters. All students should receive clear guidance from tutors on research to be undertaken, but if you are in any doubt on any research work, consult your thesis supervisor.
