Three Steps for Producing MAP Report Packages Part One: Computer Readiness: Unzipping Compressed Files All of the reports that we “Order” from NWEA come in a compressed package, zipped. Because of that, your computer must have a means of decompressing the zipped files. Some computers refer to that as Extracting. If you are working on a Windows XP machine, it already has the capabilities to Extract Zipped Files. The files you order will look like a folder with a Zipper on it. Open that folder and look for the Extract All link on the left. Click it, if it is there. Some older computer models will also have a de-compression program called UnZip or WinZip. Both will work to extract zipped data. If you cannot Unzip the files, you must go download the free version of WinZip. Look on www.google.com and search for it. Version 9 is a free version. Go get it. Download it and install it. Then continue. Part Two: Downloading Crystal Reports Viewer You only need to do this step ONCE on your computer. Go to http://reports.nwea.org Login with your MAP Admin PW set. Scroll down and look on the left to find the link for Crystal Reports Viewer. Click there. The dialog box is asking if you want to Open or Save the file. Please click save. Direct the save to your desktop. Make a new folder, name it Crystal. Open that folder, click Save. When the download is done, click “Open the Folder”. Find the Zipped CRWRT.zip folder. Double click it… (Now you will find out if your computer can UnZip). Look on the left for “Extract All” or allow “WinZip” to unzip. Direct all saves to the Crystal folder. Now you must Setup (install) Crystal Reports Viewer. Look for the folder named CRWRT. Open that folder and look for the Setup Icon (blue). Double-click that setup icon. It will turn your screen blue when it is working… Click Next - next - next - finish. That is done. Now continue to Part Three. Part Three: Accessing the MAP Reports Site at http://reports.nwea.org The following steps you might be performing numerous times. A. Use your school‟s MAP Admin Password Sets to access the Reports Site and Login. These Logins are provided to those with legitimate educational interests in accessing the reports, for providing guidance for teachers, and for producing the Teacher Password Sets for each Testing Season. Each set of login‟s is specific to that school and will allow access to the MAP reports for that school building. The Teacher Passwords will access only those reports for that particular teacher. Please keep these password sets available for the teachers, as within every successive testing term, they will change. If anyone is „changing teacher passwords‟, please keep careful records….. Please do not change the MAP Admin PW‟s. Those have been shared with your Associate Superintendents, your Teacher Coaches, Learning Specialists and with Central Staff. Those Admin PW‟s need to stay as assigned. B. On the left side of the web page, look for “Order Reports”. Click there. C. Now you have a page with six purple boxes numbered 1 - 6 1. Click the most current term, even if it is marked incomplete, or select the term you are needing1. 2. Allow the check in box 2 to remain there. If it is empty, check it. 3. Special Groupings….. By gender or ethnicity. Select if desired. 4. Small group displays… If this school has classes with fewer than 10 students, click this box. 5. E-mail Notification… If you want to be personally notified when the reports are ready, click the box, erase the two default addresses and insert yours. NWEA will package your reports and e-mail you when they are ready to be retrieved. If you plan to wait for the report, leave #5 alone. 6. This box allows the ordering of reports. Control-Click to choose multiple selections.2 D. Click Submit. And see that you have a Confirmation Page telling you that reports are ordered. Close that Confirmation Window. E. Now you should be back to the page with the 6 purple boxes. Look on the left and find “Retrieve Reports”. Click there. F. This page shows the status of your Ordered Report Package. Look to see that is says “Order Placed”. Refresh the browser screen. (Refresh button at the top). Look for the Status to say “Ready”. When it says “Ready”, Click the word “READY” and it will download a zipped report package containing what you ordered. G. Click to “Save the File to a Disk”. Make a new folder (name it MAP Reports & date) to put your report package in. Allow it to save to that folder. H. Open that folder now, and double-click the Icon (looks like a vise or a zipper). This zipped document will extract into the MAP Reports that you ordered. If it asks if you want to save it in your „unzipped folder‟ Tell it NO, Click Next & “Select a Different Folder”. Find & select the new folder you created for that school‟s reports. Direct the save to the same folder you created for the download. I. Watch the progress of the save… Usually when the unzipping is finished, that folder will open, showing your ordered reports. Look for the Blue Icons titled: ClassReport_Alpha.exe lists each class, ordered by student last name. This report lists all previous test scores for students, if you select the current Term in box 1. If you select a previous term, only those scores will be reported. ClassReport_RIT.exe lists each class, ordered by student RIT Score. Keep in mind, that if you tested with the Survey, the RIT Reports are not available. Reports by RIT only are generated when the Goals/Survey is administered. * - GradeReport_Alpha.exe lists an entire grade level at that school. GradeReport_RIT.exe lists the grade level by RIT Score.* IndividualStudentProgress.exe produces a sheet(s) which is/are individual to each child. These can be shared with parents. ASG_ClassReport.exe produces target-growth data. This report is available only when the term is complete. Selecting the fall 2004 term will produce additional choices below box 6! See what is offered! Be sure to check the button for fall 2004 – Spring 2005. StudentGrowthSummary.exe will chart progress for individual students, in line graph form or test or both. Double-clicking any one of these Blue Icon reports will open Crystal Reports Viewer… J. Crystal Reports Viewer will open with a small window. In that window, Click Window Styles.. All boxes need checked. ! Then Click OK. Allow the top box to say, “Print the report to a Window”. Click Print. K. When the Viewing screen appears, maximize the screen. Notice if it appears as if the right-hand side is cut off. If so, you need to look for the Printer Setup Icon (a little printer with a wrench on it). Click the wrenched printer. Click Landscape, OK to correct the layout of the page ( if necessary ). Some MAP reports do not need this landscape step. L. The navigation arrows on the top-left will allow you to move to the end of the report, or back to the beginning, or to advance/regress page by page. Typically, each teacher will have pages showing Mathematics, Reading and then Language. In elementary buildings where teachers are listed in the pull-downs multiple times. . . . only one set of Reading, Language & Math Reports will need printing: the Math, the Reading and the Language. Save your paper! Use the navigation arrows to page through the report to see which pages to print. M. The report pages can be printed in their entirety, or only specific pages can be selected. On the left of the Crystal Viewer screen are some important navigation tools. If you click on the plus (+), the report title breaks down into each of the teacher‟s names. And furthermore, each teacher name can be broken down to show the individual students, like a Table of Contents. Then if you click once on a teacher name the report will jump directly to that teacher‟s pages. Similarly, by clicking on a student‟s name, the report jumps to that student‟s report pages. N. Another navigation feature that is useful is the Binocular Icon (Search for a specific student by name, by Perm Number, etc….) Special Notes:    1. For Achievement Status & Growth, you MUST Select Fall 2004 in box #1. 2. The more you order, the longer it will take to package and be READY. 3. To see the students‟ Fall and Winter scores together, select Winter 2005 in box #1 and Select “Class Report by Student Name” in box #6.
