Dean’s Office, Faculty of Medicine 3605 de la Montagne Montreal, Quebec, CANADA, H3G 2M1 IMMIGRATION/NEW WORK PERMIT INFORMATION Professors who are NOT medical doctors (MD’s) These steps outline the process for obtaining a Work Permit from Immigration Canada to enable you to work at McGill University. Please ensure that your passport is valid for at least the first year of your appointment. We advise you to carry a copy of your letter of offer from McGill University and your passport when dealing with the authorities on this matter. 1. 2. You receive a letter from the Chair of the Department at McGill University offering you a position. You confirm and accept th is offer by writing to the Chair. The Chair's office then submits your dossier to the Academic Affairs Office in the Faculty of Medicine for ratification and verification of financial aspects. Please complete the “Application form and Payment form (two separate payments of $175CDN each – one from employer and one from candidate) for a Certificate of Acceptance” (CAQ) and return them to our Immigration Coordinator at the address above. Your dossier is then given to the Faculty of Medicine’s Immigration Coordinator (see step 4). Please contact the Canadian Consulate closest to you to begin the application process for your Work Permit. A list of Canadian Consulates is available on the Canada Immigration and Citizenship (CIC) website: http://www.cic.gc.ca. The necessary forms for your application are available on the CIC website or from the Canadian Consulate processing your dossier. Please provide the Canadian Consulate with a copy of your letter of offer as proof of employment. If this is your first application for a Work Permit you may need to get medical clearance through the Canadian Consulate abroad. Please inquire with the Canadian Consulate at the time you apply for your Work Permit as to whether or not you require medical clearance, if so, please ask the Canadian Consulate to allow you to start this process immediately. You may be told that the Canadian Consulate requires the combined Job Validation/CAQ from Human Resources Development Canada (HRDC) and QIMM before they will open a dossier for you. Please tell the Consular officer that McGill University will be applying for this document on your behalf. If the Canadian Consulate will not allow you to proceed with your application then you will have to wait until McGill University has obtained the combined Job Validation/CAQ and sent this on to you so that you may complete your application for a Work Permit (see step 4). This process could take from 16-20 weeks. When our Immigration Coordinator has received your dossier, from either the Chair of your department or the Administrative Officer in the Faculty of Medicine, it will be sent to HRDC and QIMM for approval and to obtain the combined Job Validation/CAQ document. When the combined Job Validation/CAQ has been issued by HRDC and QIMM, McGill University will forward this document to you by fax/mail or email (as an Adobe Acrobat attachment). You must submit a copy of the combined Job Validation/CAQ to the Canadian Consulate to finalize your application for a Work Permit. At this point, if your file is complete with the Canadian Consulate, you will be issued the approval you require to come to Canada. This final step can take 4-6 weeks. When your request for a Work Permit has been approved please ensure that you have also obtained the necessary visitor’s visa for entry into Canada. The Work Permit is only valid for one entry into Canada. If you need to travel outside of Canada after your arrival at McGill University and you are coming from a country that requires a visitor’s visa to re-enter Canada please ensure that you have also obtained the necessary multiple entry visitor’s visa (http://www.cic.gc.ca/english/visit/visas.html) at the time your original Work Permit is issued by the Canadian Consulate/Embassy in your country. 3. 4. 5. It takes approximately five months (without having to obtain medical clearance) to attain the documentation to apply for a Work Permit. Remember that you alone are responsible for obtaining your Work Permit. To help you in this regard we will provide you with the necessary paperwork. Once we have obtained the combined Job Validation/CAQ on your behalf the process then becomes a personal matter between you and the Cana dian Immigration authorities. Please ensure that your passport is valid for at least the first year of the renewal of your appointment. Please remember that the Restrictive Permit is the central document in the Work Permit renewal process. 1) 2) The Chair’s office submits your file for renewal of your Work Permit to the Academic Affairs office in the Faculty of Medicine for ratification and verification of financial aspects. Your file is then given to our Immigration Coordinator. The Chair's office then submits your dossier to the Academic Affairs Office in the Faculty of Medicine for ratification and verification of financial aspects. When the Immigration Coordinator receives your documents and your file is complete it will be sent to Human Resources Development Canada (HRDC) and QIMM to obtain the combined Job Validation/CAQ. After your dossier has been approved and the combined Job Validation/CAQ has been issued by HRDC and QIMM, a copy is sent to the Immigration Coordinator who will notify you and your departmental Chair that this document has been received. When contacted you must refer to the Citizenship & Immigration Canada web site for information and appropriate application form to renew your work permit. Complete the renewal application form and submit it to Immigration Canada (by mail or courier service) along with the supporting documents and appropriate fee payment voucher (payments will be accepted by most Canadian financial institutions) for yourself and each member of your family (Work Permit and extension of visitor status). If you are submitt ing your request by courier service, please be sure to keep the receipt as proof that you have sent the package to the Immigration Canada offices in Vegreville, Alberta. It takes approximately four months to obtain a valid Work Permit. Please remember that the CMQ restrictive permit renewal letter is the central piece in this whole process. Once it has been issued, the other steps should follow automatically if you have submitted your papers as directed above, and continue to follow up with the appropriate people. Obtaining a Work Permit is a lengthy procedure, so beginning each step as early as possible is helpful.
