Instructions for obtaining a Police Background Record Check
    (may also be referred to as a Criminal Record Check by the police)

Step 1:
Persons applying for a ministry position that is rated as high risk must:
Go to the police station in person between 9 AM and 4 PM, Monday-Friday at:
        6 Victoria Street,
        Lindsay, Ontario
and take the following:
    ? 1 piece of government issued photo identification, or passport. If neither is available
        consult with the City of Kawartha Lakes Police Service at the number listed above
    ? $20 fee is charged to everyone for this search whether for either employment purposes or
        for volunteers. Note: This service is available to any who present themselves and follow this
        procedure no matter your place of residence.

Step 2:
    The person must complete and sign a search request form at the police station requesting that
        a police record check be done.
    Ask that the search include a search for vulnerable sector screening as there is more than one
        kind of police background record check. The required check includes a search for vulnerable
        sector screening, as the position, for which a search is being requested, has continued and
        direct exposure of a vulnerable group and requires a check of the Pardoned Sexual Offender
        Database. Therefore, as the position is responsible for the well-being of one or more
        children or vulnerable persons as defined in section 6.3(a) of the Criminal Records Act, you
        must request that the police department conduct a search pursuant to s.6.3 of the Act.
Step 3
    Return to the police station , in person, and pick up your copy of the police record search.
       Normally, it is completed within two business days.

Step 4
Please mail the following:
    ?   The original Police Record Check, with the embossed stamp
    ?   The Personal Information Form

      The Process:
      These forms will be reviewed and sent back to you with a confirmation letter. A copy of this
      confirmation letter will also go to the parish. If the record shows violations, incidents or
      criminal records, the individual will be contacted for further information. If it is decided,
      because of the information in the record, not to grant a positive confirmation letter, the
      individual will be given the opportunity to withdraw from the application process. The parish
      will not receive any information from the criminal record process unless the individual has given
      explicit consent to share that information with particular individuals within the parish.

The Diocesan Process:
 Once the Diocese receives the Personal Information Form and the original Police
  Record Check summary form (which, normally has an embossed stamp), it is
  reviewed in confidence, photocopied and the copy is filed.

 The Police Record Check summary shows no criminal history. The original Police
  Record Check summary, along with a confirmation letter is mailed to the person
  who is the subject of the search. The parish only receives the confirmation letter
  stating that the summary has been received, reviewed and there is no record. This
  is the signal to the church to continue with its screening process.

 The Police Record Check summary shows violations, incidents or criminal
  records. The individual will be contacted for further information. If it is decided,
  because of the information in the record, not to give a positive confirmation letter,
  the individual will be given the opportunity to withdraw from the application
  process. The parish will not receive any information from the police background
  check unless the individual has given explicit consent to share that information
  with particular individuals within the parish. The original copy of the Police
  Record Check summary form is returned to the person, who is the subject of the
  search.

 Please note that a Police Record Check summary that shows violations, incidents
    or criminal records does not automatically exclude an applicant from a ministry
    position. The Responsible Ministry: Screening In Faith Policy Section 3.1 states:
    “… An individual with a criminal history may be accepted into a ministry position so long as
    the convictions are not related to the tasks of that position.” In the same paragraph, the
    policy describes the automatic exclusions as follows: "Certain classes of convictions will
    automatically preclude an individual from filling a ministry position of trust with children or
    vulnerable adults (e.g. violent or sex-related crimes). In some cases the existence of an official
    Pardon will be taken into consideration."
