Consultation Manager
Function Keys
The following function keys on the keyboard can also be used as short-cuts:
      F1 Help
      F2 List Medical History
      F3 Select a patient (F3 can also be used at the READ Term for Characteristic window to
       display the READ dictionary screen)
      F4 List/Add New Acute Therapy
      F5 List/Add New Repeat Therapy
      F7 Start Consultation
      Shift-F7 Close Consultation
      F8 New Therapy
      F9 Print/Issue and Print Prescription - this can be used anywhere and does not require a
       Therapy window to be currently open
      F10 View Patient Record – Enlarge view
      Shift F12 Patient Reports
      Spacebar To select and asterisk from a Therapy Repeat list. Pressing again removes the
       asterisk.



Shortcut keys
      Underlined menu letters – press the Alt key then the underlined letter to drop down the
       menu
      Underlined letters in a menu – when a menu is open click the underlined letter on the
       keyboard.
      Ctrl keys – in the drop down menu’s maybe some Ctrl+? Shortcuts.
       With these shortcuts you don’t have to open a drop down menu, it will activate the
       command straight away.
      Ctrl+K – is the OK button
      Tab – moves through each selection on a form
      Ctrl+Left mouse click on each data line – Multiple selections
      Ctrl+Shift+Left mouse click once on the top line and bottom line – block selection.
      Esc or +/= key – switches on and off entity forms

      Hold Left mouse down on Data Line and move mouse – 6 Quick links on Floating drop
       target




       o ANOTHER (top left) - Make a copy of the selected entry with the same READ code
         or drug code, but with today's date, eg drag a blood pressure reading automatically to
         allow entry of a new reading
       o (top middle) - Make a referral using the same READ code as the selected entry
       o (top right) - Generate a recall using the same READ code as the selected entry
       o (bottom left) - If a Guideline is triggered by the READ code of the selected entry,
         display the guideline.
       o (bottom middle) - Make a repeat master for the selected acute prescription
         *** Warning!*** Always check the dosage information as it uses the system default
         dosage, which may not be the same as the one you have initially written.
       o (bottom right) - Copy selected entry or entries to Windows clipboard for pasting into
         letters or documents.



Tab Hot Keys
You can set up your own "hot" keys for tabs in Data View Options by placing an & before the
letter in the Tab title that you want to be the hot key, eg for the Filtered tab, change the tab title
to &Filtered, to create Filtered, so Ctrl+F reaches the Filtered tab.
Note that you must avoid Windows keys used already, such as Control C, Control V, Control A.



Status Bar
While a consultation is open, the status bar shows the GP or user, consultation type, start time
and the current time.




Changing the type of Consultation
      If you double click on the status bar, the Consultation Update screen is displayed which
       allows you to change the type of consultation, and the start and end times.
      A patient's drug check warnings of contra-indications, interactions or drug doubling

Right mouse click a data line
   List
    will display a filtered list of the data entry
   Graph
    will graph all items display in Examination findings and most test results.
   Check Condition
    on the right mouse menu allows checking for contra-indications, precautions and prescriber
    warnings. If you highlight a clinical line, for example, a medical history entry on a List screen,
    and click with the right mouse, selecting Check Condition, the system will check whether
    there are any associated warnings for this patient's clinical condition. – i.e. H/O Peptic Ulcer
    > Aspirin
   Reprint
    Therapy Only – to Reprint the script
   Copy
    Acute Therapy Only – creates another of the same drug.
   Source
    Pathology Linked Test results only – displays the actual path result from the lab.


Consultation Menu

Lock Patient from “Display only mode”

If someone else has a patient record open and you open the same record, a warning message
appears




Once you have discovered the user who has this patient record open, you ask them either to
come out of that patient, or to unlock the patient.
You then click on the Consultation menu and “Lock Patient”. (You don’t need to close or
reselect the patient again)

Updating Patient details quickly

If you have a patient currently selected and displayed on the title bar, select the Consultation
menu then Patient Registration which will take you to the Registration module so you can edit or
view registration details.

Start a second consultation for another patient

You may find that whilst in a consultation with one patient, you need to go into a second
patient's records without ending the current patient, for example, while taking a telephone call.
Two or more consultations can be run at once, but you are warned that it may become
confusing, and the system's memory will only cope with a limited number of open screens at a
time. This is because you are actually opening a second Consultation Manager module.
       From the Consultation menu, select New Consultation Manager

Opening Groups of patients

From Consultation - Select a Patient Group, you can display patient's records if they form part of
a group, which has previously been saved as the result of a search in the Search and Reports
module.
       From the Consultation menu, click on Select a Patient Group.
       Double click on a group name in the left-hand column (or highlight and press Enter) to
        display a list of the patients within that group in the middle column.
       Double click on a patient name in the middle column to display that patient's details in the
        right-hand column.
To resize the sections, place the cursor on one of the vertical dividing lines within the window until the icon
changes to two arrows - drag the line until the section is increased or decreased to the size you want. You can also
maximise or minimise the screen if you wish.


       With a patient name highlighted in the middle section, click on       Select The Group
        Patient at the top of the group screen just under the title Patient Groups (not the one on
        the main toolbar) in order to select that patient. This may open a new consultation, if
        selecting a patient automatically starts a new

       If you want to select the next patient in the group either click on     Next Group Patient
        to select the next patient in the group or select Next Group Patient from the Consultation
        menu or display a list of the patients within the group by clicking on Consultation - List
        Patient Group. Double click on a patient name to select that patient and open a
        consultation.

Changing your Consultation Options

Any changes or options set up in Consultation - Options - Setup only apply to the user
currently signed on when the changes are made. This means a user can customise many of the
display options and functions available on Consultation Manager.

Management tab
   Switching on Leaflets, Reports and Prodigy Guidelines
General tab
     Decide whether the patient's Age or Date of Birth, or both, are displayed on the title bar
      at the top of the screen.
Patient Record
      Swap between using the Vision 3 Patient view and the Classic Framework


Accessing the old Summary plans & views when in Vision 3 framework
Click on the Summary menu


Sorting data in a Patient view
Click on the page headers i.e.
Sorting Journal/Test/History etc… data

Setting up a Summary view on the Filtered tab
      Right mouse click the Initial Filter on the top of the MRO list (Far Left Top Window)
      Select “Show items with no data”
      Expand the MRO listed fields using the + sign and click on the SDA you wish to use. For
       multiple selections hold down the Ctrl key and left mouse click
      When all your choices are highlighted scroll back up to the top of the MRO and Right
       mouse click on Initial Filter and click “Save selection as Initial Filter”
      Right mouse click again and select “Show items with no data”


Creating the first default tab to show
Right mouse click on the tab you want choose View Options… and put a tick in “Initial tab”


Entering multiple Medical History data
Click the Another button instead of OK to record another history.


Correct way to enter data
Type in your text in the Read Term – Add screen and press the Return key on the keyboard
only (NO mouse) this will display a read coded entry, if correct you may now use the mouse, if
the read code is wrong, either scroll up or down using the keyboard arrows or F3.
Note: Using the keyboard to scroll read codes always uses the read formulary, regardless of
whether it is switched on or not for the user.


Using Priorities in Medical History’s
Vision is set up in reports to use
     Priority 1 – As all chronic diseases
     Priority 2 – As significant medical history events, you always wish to be made aware.


Create a hidden medical history entry
Use Priority 0 within a History entity


Displaying hidden or sensitive data medical history

Click on the …       button at the top of the consultation screen

Entering your own Keyword/s to create a Read Formulary for your practice
Keywords can only be entered in the Read Dictionary, which is activated when you press F3, or
double click in the Read term – Add screen or Text box.
When you have found the Read code you wish to use, highlight the line and right mouse click
on it and enter your own keyword by pressing the Add Keyword button.


Entering the CHD Risk score in the Journal
As the CHD risk score is calculated on current data, the risk changes accordingly. You may
need to record the patient’s current score, so that you can assess it over time.
In the alert area - double click on either of the following lines;
      Cardiovascular Risk
      CHD Risk %
      CVD Risk %
When the calculator is open, click on either of the Risk buttons under the Add Data column to
record CHD risk or CVD risk.


Calculating drug Quantities in Therapy - Add
When adding a new drug.
Note. The quantity text box is a calculator. So if you type 21*6 it will total 126


Adding a drug to your formulary
From within either the Acute or Repeat therapy Add screens;
      F3 or double click in the Drug text box to open the “Select Drug” screen
      Press the Mode button
      Select Maintain Formulary - OK
      Type/List your drug
      Double click or click the Change button to display an “f” next to the drug
      Press the Mode button again
      Click “Select Drug”


Adding drugs given by the hospital
In the Acute Therapy – Add entity under “Source of drug” choose By Hospital and change date
accordingly. You should record medication given by the hospital so that drug checks i.e.
Interactions, will be picked up by the computer and the GP advised.


Check Action Groups when prescribing
Some drugs can belong to multiple action groups, make sure to all check this before prescribing
the drug. Otherwise when drugs are search by Action groups, the counts maybe wrong.

Print the therapy Re-order only
      Press F5 or the Repeat therapy button (as you must be in the Repeat therapy screen)
      Click on the Repeat menu at the top of the screen
      Select “Print re-order form”


How to print a another script when “Unprinted therapy” exists
      Add or Issue your new script by pressing F9 or the printer button once
      Double click on the drugs you don’t want to print from the list, this will remove the arrow
      Now press F9 again or the printer button


Changing the daily signing GP on printing repeat scripts
Press F9 once and select the GP to sign the scripts from the drop down menu called “Doctor to
sign prescription”


How to edit a repeat script once it has been issued
Re-authorise the repeat drug by itself. This will allow you to edit the repeat script and
automatically inactivate the old one.


How to add or change the messages on the repeat scripts
From the Consultation menu, scroll down to Options and across to Repeat Therapy Reorder
Form…


Switching on the Prodigy and Leaflet buttons


If some of the buttons above are missing from the Consultation Manager view, you may need to
switch them on.
      Consultation - Options – Setup
      Management tab
      Put a tick in the boxes below;




Note: If some of the buttons are greyed out, it means that you have not run the Prodigy update,
found on the Drug and Read update CD sent out to the practices periodically.

Printing Leaflets

      Click the Leaflet information button
      Double click on the leaflet
      Double click again anywhere on the text of the leaflet
      You may now add your own text to the leaflet if you want
      Press OK to print


How can you display the Patients Age & DOB in the title bar
      Consultation - Options – Setup
      General tab
      Choose the option below




Switch on the preferred read codes for a Prodigy guideline
When you select a Prodigy guideline from the list it will automatically open a preferred read
code list.
      Consultation - Options – Setup
      Management tab
      Put a tick in the box below;




Setting up default referrals
Add the referral as normal, but once you have made all your choices, click on the Default
button, and type in a name for the referral, using hospital name and department, this way if 2
hospitals are recorded under the same read code you will know which one to choose.

How to edit or delete a default referral
      Click on the List menu
      Default Referrals/Requests
      Right mouse click on your chosen referral


Swapping from Consultation Manager to Registration quickly
While in a patients record
      Consultation menu > Patient Registration


Viewing deleted records
From the Consultation menu, scroll down to Options and across to “Show Deleted Records”
Click on list menu, which will display if there are any records. Greyed out denotes no entries.


Registration Module
Swapping from Registration to Consultation Manager quickly
While in a patients record
      Action menu > Consultation Manager


Registration Links
Run weekly the Incomplete Registration report in Registration
This report will list any patients’ new registration form that has not been filled in correctly.
It will never be processed through the links. (i.e. sent to the HA).
   1. Open Registration
   2. Open the Report menu and select “Incomplete Patient records…”
   3. Choose Active patients
   4. Incomplete Registration Links
   5. Detailed
   6. Click OK

Pathology
How administrators can print Pathology Results
GP Mailbox’s hold all the pathology results, they are the only staff member who can search by
date, find and print a pathology result, once the action has been completed.
However, to enable Mail Administrators to print these results follow the steps below.
   1. Add a new Action called “Re-actioned for printing”
   2. Open up the patients record in Consultation Manager
   3. View the pathology mail for the patient (i.e. letterbox)
   4. Note the Date of the result you want to print
   5. Click “View result” and click “Add Action”
   6. Choose your new action “Re-actioned for printing”
   7. Now open the Mail Administrator and click the Swap button to view all the actions
   8. If you cannot see “Re-actioned for printing” perform a date search
   9. Once the action appears you can highlight the result and print it
   10. Then completed the action
If you have concerns as to resetting the previous action, you can change the action back to the
original GPs choice in Consultation Manager. However, the audit trail will also detail this
information.


How to confirm all pathology results have been actioned
Receptionists should inform a GP, if in the patient’s pathology Mail viewer (letterbox) they see
the READ statement with no action. This may mean that the GP has now missed the result, as
it is automatically filed in the READ MAIL, regardless of whether a GP has actioned it or not.

To overcome this problem, every GP should click the swap button          before closing the
mailbox. This will show all the read mail, and ever result should have an “A” next to it, to denote
that it has been Actioned.
This way a result will never be missed.


Weekly check to confirm you have received all pathology results
From GP Communicator click the Find button. Leave the “Find by Interchange” option on All >
Change the “Refining the Search” options
      To/From = Pathology Lab address found in address book i.e. PATH1
      Direction = Incoming
Click the Find button, sort the Interchange numbers and there should be no gaps. If there are
ask the lab to resend the missing interchange number.

How to view the actual pathology result from the test SDA
Right mouse click on the test result (i.e. in Journal or Test tab) and choose Source. If
“Additional Entity Information - Display” appears the result did not come (via the links) from the
lab it was entered manually.


Keep an eye on Microbiology results
These results do not turn red if abnormal, because they don’t have a range field to qualifier by,
so you may have to change these manually to abnormal, by editing the result in the
Consultation Manager.
