               Guidelines for Release and Use of Alumni Information

Alumni information, including names and contact data, is confidential material and is
provided only to members of the RISD community. This information may not be made
public, used for commercial purposes, stored in another medium or shared with anyone
outside of the RISD community.

All inquiries and requests for information about alumni will be referred to an appropriate
staff person who will evaluate the disposition of the request.

It is the policy of the office to provide mailing labels, e-mail addresses or other
information under the following guidelines:
     • That the request is from a member of the RISD community;
     • That the request is for a group of alumni defined by specific characteristics (such
         as year of graduation, geographical location or other class parameter);
     • That the purpose is non-commercial, or related to an art and design event,
         activity or program or is of benefit to the RISD community, as determined by this
         office;
     • That the provision of information, in any form, is for a one-time use, and only for
         the specifically approved event or activity;
     • That the information contained may not be converted for any other purpose nor
         retained in any other form for future use;
     • That the office may require prior review of material being sent and reject any
         usage not within these guidelines.

Use of labels must conform to the Guidelines for Use of Alumni Labels.

Use of e-mails must conform to the Guidelines for Use of Alumni E-mails.

Use of Alumni Network Information must conform to the Guidelines for Use of Alumni
Network Information.

Alumni wishing to restrict the dissemination of their information, or to limit access to
specific types of communication, should contact this office to discuss their preferences.

Exceptions to this policy are to be made only by the Director.

                      Guidelines for Alumni Contact Information

Inquiries concerning personalized alumni information will be handled in a manner
designed to protect the privacy and rights of the individual.

Information about an individual alumnus may only be released with the direct permission
of that person.

It is the policy of the office not to provide personalized information about individual
alumni, but to refer inquiries to the person in question, providing them with the needed
information to contact the inquiring party. Exceptions to this policy are to be made only
by the Director or in emergency situations.

It is the policy of the office to provide contact information concerning groups of alumni
(by specific characteristics) in those cases where the purpose is for an appropriate use
and in response to a request from a member of the RISD community, and where the use
of that information conforms to this policy.

Examples of appropriate group alumni information sharing include: career searches
(where alumni will be used an informational resource, but not targeted for solicitation for
employment); research projects (where individual alumni will not be identified);
communication to segments of the alumni body (to inform, invite or educate, as in the
case of an art and design related event). In all cases recipients of the information are
required to follow the guidelines set forth in this statement and are responsible for the
protection of the information.

                         Guidelines for Use of Alumni Labels

             By accepting these labels you agree to the above stipulations.

If you have any questions about the use of these labels, event approval or other matter,
please contact the Alumni Relations Office unless the program is career or job related
and then the Career Services Office.

                         Guidelines for Use of Alumni E-Mails

It is the policy of the office to provide access to information about alumni e-mail
addresses, or to provide group e-mail addresses under the following guidelines:
     • That the names and contact information provided is confidential;
     • That the request is from a member of the RISD community;
     • That the request is for a group of alumni defined by specific characteristics (such
         as year of graduation, geographical location or other class parameter);
     • That the purpose is non-commercial, or related to an art and design event,
         activity or program or is of benefit to the RISD community, as determined by this
         office;
     • That the provision of information, in any form, is for a one-time use only, and for
         the specifically approved event or activity;
     • That the information contained may not be converted for any other purpose nor
         retained in any other form for future use;
     • That the office may require prior review of material being sent and reject any
         usage not within these guidelines.

In addition, the following stipulations apply to e-mail mailings to alumni:
    • That the e-mail clearly state the office and origination of the e-mail in the “subject
        line” (generic subject line content such as” News from Providence” or
        “Information from RISD” is not permitted);
    • That the “from line” contain the actual return email address of the originator of the
        message, or of an office or link that has agreed to handle replies and returned
        messages;
    • That the e-mail mailing be for a single contact, with no repeat e-mails;
    • That the e-mail address information not be entered into any list-serve, online
        database or other entity which would retain that information, or result in additional
        e-mails being sent to the alumni;
    • That no unrelated or commercial third-party links or attachments be embedded in
        the mailing;
    • That all e-mails returned to the originator for faulty addresses be forwarded for
        collection and repair;
    • That this office will determine the appropriate frequency and volume of e-mail
        sent to alumni, and retains the right to limit the number, frequency or length of e-
        mail communication, and to combine mailings as appropriate or necessary.
