Denmark State Bank Travel Club Guidelines and Concerns Thank you for your interest in the Denmark State Bank Advantage Club Travel Program. The following guidelines will explain the policies and procedures for our tours. RESERVATIONS: Reservations will be accepted by phone, in person or by email at email@example.com. Reservations are accepted on a first-come, first-serve basis. If requesting a reservation while on a current tour please give us a written note or be sure we have made a written record of your request. Reservations will be accepted once a tour has been announced. If details are not complete, you may reserve a space and upon availability of itinerary and pricing you will need to confirm your reservation with a deposit or cancel. Full Payment at time of reservation will be requested for all tours involving theatre tickets or other non-refundable costs and will be noted with the trip information. PAYMENTS: Deposits/Payments vary according to each trip and will be detailed in brochures and newsletters. Payments need to be received by date listed to guarantee your reservation. Make Checks Payable To: Denmark State Bank Advantage Club and indicate trip destination in the MEMO area of check. Mail to: Denmark State Bank Advantage Club, P.O. Box 130, Denmark, WI 54208-0130. Credit Card Payments: Credit card payments will be accepted on select tours. Forms of payment accepted will be noted in the newsletter. MasterCard, Visa and Discover are accepted. CANCELLATION: Cancellation policies vary by tour. We will always do our best to obtain a full refund for you, but penalties exist more than ever before. Refunds will always be given less any non-refundable charges. A full refund will also be given if you are able to find a replacement or if we have a waiting list and can confirm a reservation. Refunds that involve airline tickets, theatre tickets or other restricted reservations will be subject to the terms and conditions as listed for that tour. Trip cancellation/interruption insurance fees are always non-refundable. Please call as soon as possible if you must cancel your reservation. Simply not returning payment after receiving your letter does not cancel your reservation. You must call please. DENMARK STATE BANK CANCELLATION POLICY: A minimum number of participants are required to operate specific tours. If this applies, the information will be included with the tour information. Some tours, despite our best efforts, do not attract enough interest to operate the tour, resulting in a cancellation. If Denmark State Bank should have to cancel a tour prior to departure, a full refund will be given to each traveler. EXTENDED TOURS AND AIRLINE POLICY: Cancellation policies vary and will be listed for that tour. If you must leave a tour, all miscellaneous expenses (such as transportation, hotels, etc.) are assumed by you. Passengers needing medical attention requiring hospital transportation cannot be guaranteed a Denmark State Bank escort. We will always do our best to assist to the best of our ability. Should a trip be delayed due to circumstances beyond Denmark State Bank’s control, the traveler will assume all individual costs related to the delay. PERSONS WITH DISABILITIES: Please contact Donna Emmer or Julie Lemmens for any special needs requests. GUESTS: Persons who are not Advantage Club members may travel when accompanied by a club member. Non-member fees will apply. Non-Members are also welcome when space permits. WAITING LIST: Anyone placing their name on a waitlist will be called in the order their request was received. INSURANCE: Trip Cancellation/Interruption insurance for medical reasons is included on all extended tours. A copy of the policy terms and conditions will be provided. Trip insurance premium payments are non-refundable. DEPARTURE POINTS AND TIMES: Pick up locations and routings are based on the best interest of all travelers. GRATUITIES: We include gratuities for motorcoach drivers, local tour and step-on guides, as well as any other included services. When a meal or attraction is on your own, gratuities are at your discretion. Denmark State Bank Escorts do not accept gratuities. SEAT ROTATIONS: In order for all passengers to enjoy the motorcoach equally, seat rotation will be practiced on multi- day tours. The bank escort will explain the procedure to you on the first day of the tour. BAGGAGE: Luggage handling for one suitcase is included on all multi-day tours unless stated otherwise. In addition to one suitcase, each traveler is allowed one carry-on piece of luggage. Denmark State Bank reserves the right to change the routing, hotel and/or sightseeing services of any itinerary or tour outlined, should conditions warrant.
