1   Introduction
    Hotel Reservation System (HRS) is an online booking engine which allows travelers
    across the globe to plan their travel; in fact this site acts as a one-stop process for the
    travelers to do the following:
       Search for the hotels based on country.
       Book the hotels as per availability.
       Registration Form for Traveler.
       Book Cars for Rentals.
       Book Tours at different proposed sites.
       Online Payment System via credit cards to book hotels, cars and tours.
    Hotel Reservation System has two other types of users, firstly agents and secondly
    site administrators. The Travel Agents can book the itineraries based on available
    hotels and packages. The agents after making reservations and making online
    payment can raise invoice to the third parties for billing. System Administrator is
    responsible for maintaining the Hotel Reservation System. We will discuss the
    details of the site in the coming sections.

2   Document Overview
    This document describes the System Functional Specification. The following people
    will utilize this document:
       Client Stakeholders- require this document to assess that their needs have been
        fully documented.
       Client Technical Department- requires this document to assess baseline against
        which to manage and assess the system that is delivered to them from a third
        party.
       Technical Architect, World Connect- will provide a technical response to this
        document in form of Low Level Design (LLD)
       Software Developers, World Connect- will use this document and the LLD to
        build the system.
       Testers (World Connect and Client) - all testers will use this document to baseline
        requirements and produce test scripts.

3   System Overview
    A user or an agent, in a non-collaborative environment, operates this system through
    a web browser window. The system provides the user or agents with a collection of
    tools. These tools provide specific discrete pieces of functionality to aid in areas of
    Hotel Reservation System.
    The tools/ functionalities are inspired by the commonly used sites that provide online
    capabilities to make reservations for hotel rooms, tour packages, car rentals etc. The
    tools/ functionalities are as below:

       New User Registration Process.
       Pre-Existing User Login Process
       Search Panel, to search available Hotel Rooms and Tour Packages.
       Selection of Hotels and Tours based on requirement of users.
       Online Payment System for the users and the agents.
       Billing/ Invoicing system for the users and the agents.
       Check the history of itineraries of the user and the agents.
       Cancellation process of the booked Hotel Rooms and Tour Packages.
       System Administrator panel to do the following:
        o Add Hotels and Tour Packages.
        o Allocate pricing to the Hotel Rooms, Tour Packages and Car rentals etc.
        o Upload details of the Hotel, Rooms and Tours along with images wherever
          required.
        o Commission handling for the retailers.
        o User and agent management.
        o FAQ Forum.
        o Manage Database, export data in Excel format as required.
        o Manage Advertisements.
    The Hotel Reservation System should be highly intuitive and user friendly, the user
    or agents should be able to understand the process very easily though being a layman
    user.
    Each tool/ functionality is described in detail in the sections below.

5     Registration Process
5.1       Benefits Case
       A user or an agent can register to the HRS by invoking the Registration Form
       online. The data will be centrally stored and can be accessed from anywhere across
       the globe.
5.2       Use Case
       Registration form consists of two sections:
           Personal Details
           o Title*
           o Family Name*
           o Given Name*
           o Urgent Phone Number*
           o Contact Phone Number*
           o Address *
           o City
           o Postal Code*
           o Country*
           Account Details
           o Email Address*
           o Confirmation of Email Address*
           o Password*
           o Confirmation of Password*
       * Mandatory Fields
       Only one registration per-email is possible, hence the email address remains unique
       in nature.
       After successful registration the user or agent is sent a welcome mail on the email
       address registered with HRS.
       HRS engine will confirm the email-address and the password provided by the user
       or the agent at the time of registration itself.

6     Login/ Logout Process
6.1    Benefits Case
      The user or the agent has to login in a protected and managed way to use HRS. To
      login to HRS engine, user or the agent has to provide a valid combination of email
      address and password. The HRS engine stores password in database in an encrypted
      format to ensure there does not exist any breach of security.
6.2    Use Case
      User or agent provides a valid combination of email address and the password to
      HRS engine. HRS engine validates the combination provided with email address
      and password stored in the database. If the combination matches with the database
      then user or agent will be termed as a valid user and will be directed to main page of
      the site, else, if combination does not match with the database then user or agent
      will be termed as an in-valid user and will be served an error message.
      While logging out of the HRS engine, the sessions created for the user or the agent
      will be cleared and all data if needed to commit will be committed in the database or
      if needed to clear will be cleared from system.

7     Forgot Password
7.1    Benefits Case
      There is a possibility for the user to forget his password as registered with HRS
      engine. Instead of creating a new account, HRS engine provides facility to user and
      agent to recover their password based on the email address as registered with the
      HRS.
7.2    Use Case
      User or Agent enters his email address as registered with HRS engine in the Forgot
      Password Screen.
      The HRS engine recovers the password against the email address stored in database.
      The password recovered is sent in mail to the user on the email address as registered
      with the HRS, on the user screen, user is given a message indicating that the
      password has been sent to his email account registered with HRS.
      To view the password, user or agent needs to log-in to his email account which is
      globally unique in nature and highly secured.
      In case email address given is not found in the database, an error message will be
      flashed to the user indicating that the email address provided by user is not
      registered with HRS and user should provide a valid email address as registered
      with HRS.

8     Search Hotels and Tours
8.1       Benefits Case
       User or agent will be able to search for Hotel Rooms or Tour Packages using the
       Search Panel. This panel allows user to plan his travel depending on the availability
       of rooms and tour package.
8.2       Use Case
       The user or agent comes to HRS web-site and they can plan their tour by searching
       the available hotels and tour packages. To search for availability user or agents need
       to do the following:
           Select the country to visit from a drop down list.
           Based on the country selected by user or agent, list of states will appear in second
            drop down. User needs to select the state he would like to visit.
           User or Agent needs to select the check in date and the check out date.
           Finally the number of adults or children needs to be selected from another drop
            down list.
           Adults are travelers greater than 12 years of age while children will be considered
            in the age group of 3 to 12 years.
      Based on the search criteria set by the user or agent, HRS engine checks for the
      available hotel rooms and tour packages and displays it to the user. The user can then
      book the hotel rooms or the tour packages as per their requirements.

9     Search Hotel Results
9.1       Benefits Case
      The search results would be a generic html content correlated from the database
      queries based on the user input. The search result will consist of hotel rooms, tour
      packages, rates, description, images regarding the rooms and tours. Users or Agents
      can then choose the type of rooms or tour packages they wish to avail.
9.2       Use Case
      Based on the user input, a database search is made and the result is displayed in a
      tabular format grouped by ‘Hotel Name’. The result can be sorted by the following:
           Availability of Rooms or Tour Packages.
           Hotel Name
           Price (Including Taxes)
           Star Rating
      The tabular format consists of:
           Hotel Name with star rating.
           Location of the hotel.
           Average daily rate of the room (inclusive of Taxes).

       Day wise rates of the room depending upon the number of days for which the
        room has been booked.
       Every hotel name should have a button ‘Select’, so that the user or agent can
        select the hotel he wishes to stay in.
       The selection of hotel brings up another web page where the user or agent can
        select the type of rooms, number of rooms he would like to avail. The user is also
        shown the total price for the rooms which he has selected.
       HRS engine should have an intelligent algorithm which would check for the
        number of adults and children(s) been selected by the user or agent and then
        check whether enough number of rooms or beds has been booked so that every
        visitor gets properly accommodated. In case the allocation of number of visitors
        and beds are not proper then there is displayed and error message indicating the
        improper allocation.
       Any room if unavailable or closed should be properly displayed to the user or
        agent and should be termed as ‘Close’. All the itineraries which are closed will
        not allow the user to make choice upon.
       At the end there should be a total of number of room(s) booked and the total price
        for which the room(s) has been booked.
       Once the room(s) is/ are selected user or the agent is directed to the page for
        confirmation and payment. On the payment screen, user can do the following:
        o Check the shopping cart for the quantity and the costing of the hotel rooms
          and the tour packages.
        o Write any specific instructions or messages to the Tour Organizers or Hotel
          Owners. Messages could be like ‘Flight Details’, ‘Meal Preferences’, ‘Arrival
          Time’, ‘Pickup Request’ etc.
        o User or Agent can enter traveler details. The traveler names should be same as
          that in Passport. The Traveler can be associated with rooms already booked.
        o Enter the card details which include Card Type, Name on Card, Card Number,
          Card Security Code and Expiry Date.
        o User or Agent has to accept the ‘Terms and Conditions’ and only then the
          actual payment process starts.
       The screen requires some validations which are as below:
        o No room can be allocated to traveler more than the occupation size. For
          example, if the room is a ‘Single’ then only one traveler can be accommodated
          and similarly in ‘Double’ two travelers can be accommodated.
        o There exist credit card validations which makes a check on ‘Card Number’,
          ‘Security Code’ and ‘Expiry Date’ of credit card.
        o Without accepting the ‘Terms and Conditions’ the user or agent is not allowed
          to move further.

10 Cancellation Process
10.1 Benefits Case
    User or Agent can cancel the bookings made. Cancellation is a manual process and
    the user or agent needs to observe the cancellation process either by telephone or in
    written to the concerned authorities. Written would mean the following:
       Mail to the concerned authorities.
       Fax to the concerned authorities.
       Letter by any means like normal post, courier or in person.
10.2 Use Case
    User or Agent can cancel the bookings made but will have to observe the following
    norms:
       There would be a cancellation fee of USD 10.
       Any Cancellation before 3 days of check-in date will have to bear charge of ‘One
        Room Night + Prevailing Taxes’.
       No show of traveler will mean 100% charge to be borne by the Traveler.
       Changes of name of traveler are not allowed neither the booking is transferable to
        others.
       PyoTravel.com does not entertain complaint or refund.

11 Advertisements Banners
11.1 Benefits Case
    Advertisements are revenue sources for the company; hence the organisation tends to
    display advertisements and generate revenue. Company receives banner
    advertisement and the place where the banners are to be displayed. The banners can
    be static or it could be dynamic.
11.2 Use Case
    The banners could be a static banner or a dynamic banner, the static banners would
    be those whose content and images would be fixed and hence there would be no
    changes in the content of the banner. On the other hand dynamic banners are those
    whose contents are not fixed but they change, though the changes are predefined. The
    changes could be in graphics or texts. In case it is a dynamic banner it should be
    controlled by DHTML or JavaScript.
    The banners found are as follows:
       Main Banner: - This banner appears on the main page. This is the largest banner
        and could be dynamic as well as static in content. This could be a hyperlink to
        some tour package.
       Left Side Banner: - This banner exists in the left panel below the ‘Search Panel’.
        This too could be static and dynamic in nature. The left banner appears on all

        those pages where the ‘Search Panel’ exists. This banner could be a hyperlink to
        a tour package.
       Deals Banner: - This is again another type of banner, which will be static in
        nature and would be hyperlinks to specific deals for a tour package.
       There could be other banners too in the site which could be static or dynamic and
        could have hyperlinks too.
       The banners could have following features:
        o Starting date and Ending date
        o Number of times a banner should be shown for a day/ week/ month.
        o Banners to be shown country wise and retailer wise.

12 Member’s Area
12.1 Benefits Case
    The authenticated member has an area from where he can view his previous
    transactions. The member’s area is helpful for those travel agents who work as
    brokers of HRS and they can maintain their billing process for the third party clients
    and can also check for the commissions.
    At the same time, a user is also benefited with the member area as he can view his
    previous bookings, cancellations, tour packages booked etc.
12.2 Use Case
    After login a traveller can do the following:
       View the itineraries previously booked.
       View the shopping cart details.
       View the itineraries previously cancelled.
       View the entire business done with the site.
    After login a travel agent can do the following:
       View the itineraries previously booked for third party clients
       View the itineraries previously cancelled.
       View the shopping cart details.
       View the commission to be receivable.
       View the service charges to be paid to HRS.
       View the invoices generated and billed to the third party client.
    After login a System Administrator can do the following:
       View the total business done by HRS web-site.
       View the total service charge received/ receivable by the travel agents.
       View the total commission paid/ payable to the travel agents.
       View any traveler and check its history details.

       Create Rooms, rates of rooms and maintain its availability.

13 Type of Rooms
13.1 Benefit Cases
    Rooms are the basic form of itineraries present with the hotel which is available to
    the travellers. There could be many types of rooms. In HRS there are 6 types of
    rooms and 5 rooms of each type should be present on daily basis. Hence a user or an
    agent gets 30 rooms available every day. These rooms can be booked by the user
    directly or it can be booked by the travel agent for his clients.
13.2 Use Case
    There are six types of rooms available as below:
       Single
       Twin
       Double
       Triple
       Standard Rooms
       King Suite
    A room could be either available or booked. In case it is available then the average
    price of one day is shown along with the check-in date and check-out date. The rate
    of the first day would be the rate for the other live-in days till the check-out date.
    The status of rooms could be one of the following:
       Instant Confirmation – These rooms can be booked on the internet directly after
        making online payment.
       On-Request – These rooms can be booked only on request. To request such
        rooms different other modes needs to be placed.
       Not Available – These rooms are not available for booking and have already been
        booked.
    Legends to such rooms should be properly embarked.


14 Site Header
14.1 Benefits Case
    There will be a common header to all the web pages of the site. Being a common
    header it can be re-used on all pages.
14.2 Use Case
    The header will have two sections as below:
       Site Branding on the left.
       Member Links as below:
        o New Member Registration link.

15 Site Footer
15.1 Benefits Case
    Similar to the header content they too are common controls and hence can be re-used
    in all the web-pages.
15.2 Use Case
    The footer section will have following links:
       Home – This link directs the user to the home page of the site.
       About Us – This link directs to the ‘About Us’ page where the user or agent can
        read about the company providing services of HRS.
       Contact Us – This link directs user and the agent to contact us page where the
        address of the company is given.
       Privacy Policy – This link directs the user and the agent to the Privacy Policy
        page. The privacy policy could be either printed out or it can be downloaded in
        Word format.
       Terms and Conditions – This link directs user and agents to read the terms and
        conditions of the HRS. The user can either print it or can download in the Word
        Format.
       FAQ – Users or agents can ask questions from the system administrator of the
        site regarding the working of the site, payment, security of password, email id
        and the payments done online. It is a sort of read only forum where the users can
        post questions and view the responses made by the system administrator.
       Cancellation Policy – This link directs user or agents to read the cancellation
        policies and also download the cancellation form.
       Suppliers – This link provides details about the suppliers of the hotels, package
        tours etc.
       Jobs – This page provides job openings with the site.
       Blog – This link opens a blog section where the user or agents can write about
        their sections and publish them.

16 Deals
16.1 Benefits Cases
    There are certain deals for the users or agents provided by the suppliers of the hotel
    or packages. These deals are basically country defined for example: Thailand Deals,
    Australia Deals, Malaysia Deals, Indonesia Deals etc. They are all clickable links and
    take to a certain page.
16.2 Use Cases
    The deals are in form of static banner and hence are hyperlinks which direct the user
    or the agents to a web-page where they can do the following:
       Enter the check-in and the check-out date along with the number of adults and
        children’s.
       Book the suite as of interest.
       Check the average and total rates of the suite.
       The user or agent can view the hotel information and can also print the same as
        required.
       Booking page consists of the names of the travelers and the payment details of
        credit card.
       There are tours/ sites associated with the deals. The sites are the tourist places in
        the country which is provided by the hotels. The traveler can either wish to go for
        the hotel deals to view these sites or he can choose to go on his own.
       The sites are displayed to user with the following details
        o Image of the site.
        o Detailed description of the site
        o Distance of the site from the hotel.
        o Traveling arrangements from the hotel along with the choice to go for a shared
          vehicle and the private vehicle with rates.
        o Pick-up and drop facilities as per the user request.
       The user can also book the different tours/ sites available with the deal. User has
        facility to choose a shared vehicle or private vehicle for the sites. The fare rates
        are different for both of them.
       User can also give in the details for pick and drop from/ to airport.
       The booked suite is mailed to the user along with details of the itineraries and
        sites booked.

17 Facilities
17.1 Benefits Cases
    These are the facilities which are provided to the traveller from the hotels. It is not
    necessary that all the hotels would give every facility, so it is for good of the
    traveller, to read the facility section while booking the hotel rooms.
17.2 Use Cases
    The facilities provided by the hotels, to be mapped in the database also, are as below:

18 Recommendation of Hotels
18.1 Benefits Cases
    The HRS system can also recommend hotels in case all the rooms are booked on
    which the user or the agent is searching.
18.2 Use Cases
    There should be an intelligent logic which will recommend some other hotels to user
    or agents in case all the rooms are booked in the hotel. The logic would act in the
    following way:
    All the list of the hotels and it’s room status will be in the centralized database and
    hence all rooms booked or available can be viewed from any part of the globe. In
    case the hotel being searched has all rooms booked then a definitive logic brings the
    list of all those hotels having the number of rooms available being searched for from
    the database along with the type of rooms. These data will be presented to the user or
    the agent as recommendation.

19 Down Payment Costing
19.1 Benefits Cases
    Down payment costing is actually deposit money in lieu of the services rendered by
    HRS.
19.2 Use Cases
    Hoteliers and the agents need to deposit some money in lieu of the services provided
    by HRS. Hoteliers need to deposit 15% of total cost while agents need to deposit 5%
    of the total cost.

20 Newsletter
20.1 Benefits Cases
    HRS will send newsletters to some special type of users to enhance the trade.
    Newsletters can be published online and can be printed too.
20.2 Use Cases
    The development team will provide a template which will allow the HRS engine to

21 Merchant Account Integration
21.1 Benefits Case
    For online payment mechanism there should be a merchant account which will
    handle the verification of the credit card and then charge the credit card for the
    itinerary booked. The online payment system should be highly secure and should
    state a verification security agency like Verisign etc.
21.2 Use Case
    Regarding the merchant account integration client should either ask proposal from
    World Connect or provide complete details of the merchant account as follows:
       Account Id and Password of merchant account.
       Developer section manual of merchant account.
       Sandbox of the merchant account for testing and developing applications.
       Fake credit card to keep checking.
       Fake itinerary to keep testing.
    World connect in both cases will integrate site with merchant account for the
    following tasks:
       Verification of the credit card using:
        o Credit Card holder’s name
        o Security Code
        o Expiry Date
       Specified Balance on the credit card.
