Academic Administration Office of the Faculty of Humanities, for appointment as soon as possible.

The main purpose of this position is to provide operational and well as high level support to the Faculty
Manager by dealing with routine as well as complex tasks and projects. The post will also offer support in more
general terms to other areas of the Faculty academic administration, to the Deputy Dean (Undergraduate
Affairs), and to the Dean in the absence of the Dean’s assistant.

Responsibilities include:

   Providing of front line reception and enquiry service to the Faculty Manager’s office.
   Responding in a professional manner to all incoming queries in person, telephonically and by email, and
    preparing correspondence for Faculty Manager’s signature.
   Assistance with undergraduate faculty administration.
   Specialised annual projects, such as preparation of Faculty handbooks for publication.
   General office administration, including HR and Account administration.
   Maintenance of Faculty contact and distribution lists.
   Liaising with relevant offices and departments within the University.

Requirements include:

   Matric plus at least five years experience in an administrative position (with at least two years in a higher
    education institution). A degree would be a recommendation.
   Excellent written and verbal communication skills.
   High level of computer literacy (Advanced MS Word, Excel, Internet). A working knowledge of Peoplesoft
    would be an advantage.
   Good time management and organisational skills.
   The ability to work independently, as a team member and interact with a wide range of people.
   A strong customer service ethic.
   The ability to work under pressure, meet deadlines and pay meticulous attention to detail.
   Knowledge of UCT academic and administrative procedures would be an advantage.

This role is key to the effective functioning of the Faculty Office. We are particularly busy over the period from
November to March due to the processing of examination results, graduation, admissions and registrations.
Over this period members of the team are not permitted to take leave and overtime will be required, which may
include weekends. Therefore, we require candidates who have the ability and flexibility to work such overtime.

The annual remuneration package, including benefits, is negotiable between R173 622 and R214 049.
