RT 20-12-09 TEWIN TENNIS CLUB AGM MINUTES OF 39th AGM 20-11-09 Present: Committee: Roger Toms, Ruth Thomas, Phil Raine, Val Winfield. Club members: J. Raine, W. Shirvell, T. Shirvell, M. St Pier Apologies: Jane Lockwood-Taylor, Joanne Allen, Jane Room (committee) and M Brady, D Bradley, M Gouldstone (members) 1.Previous Minutes from 21 November 2008 were approved. 2.Matters Arising Covered elsewhere in agenda. 3.Chairman’s Report Social events 1. Open Day could not be held due to delays with resurfacing of courts. 2. Bike ride, ever popular event, held 13 June. Thanks once again to the Allens for an excellent, well organised event. 3. Thai night took place 11 July. 4. Dance night (“Strictly”!) 24 Oct. A great evening, thanks especially to Val & Ruth for organising this and all others who helped. We made a profit and were also able to donate £100 to charity. Leagues and tournaments 1. 2008 Datchworth Autumn League: only 1 team, captained ably by Steve Evans, came 4th in div 2 (8 divisions in total). 2. Datchworth Summer League: 1st team: 4th in div 1 2nd team: 3rd in div 4B 3rd team 7th in div 4A 4th team 6th in div 5B Captained by Jo Goode, Roger Toms, Warren Shirvell, and Alan Grimmond. 3. Ladies Orchard League: came 1st in div 1. WELL DONE! We put in a 2nd team this year which came 1st in div 7! Captains are Judy Errington and Viv Campbell. 4. East Herts Mixed Winter League- playing against the “big boys” (well big clubs) Playing in div 3b. Captained by Dave Boon. 5. Club tournament - format was changed back to 2006 format for this year as a result of many comments; however just as many issues arose about timings for tournament rounds. Junior members had their own club tournament this year organised by Bert. Club development Court surfacing was done in the spring - last done in 2000. Thanks to Bert for overseeing this. Pavilion project: Parish Council have taken this on now and we hope to have some news about timescales soon. Parishioners are being consulted about whether they are prepared to contribute to this community project in their local tax. RT 20-12-09 4.Treasurer’s Report Last year was a good year for membership numbers, this year numbers are down a little. Fortunately our court resurfacing (though a large sum of money) was put through the Parish Council thereby avoiding VAT. It takes approximately 8 years to raise enough money for resurfacing the courts but this should last about 10 years. Thanks to Tony Haggar once again for the auditing of the accounts. 5.Election of Officers Roger, Ruth & Phil are happy to remain chairman, secretary and treasurer for another year. Roger intends to step down at next year’s AGM after 20 years service and is offering others a chance to succeed him in this prestigious role! Proposed and seconded and declared re-elected en block. 6.Election of Committee Bert, Joanne and Jane Lockwood-Taylor have tendered their resignation from the committee. We thank them for all their invaluable contribution. The club owes a particular and special thanks to Bert for all his many years on the committee. Re-election of remainder of committee en block: Jane Room, Val and John Purchase. Proposed and seconded. 7.Election of Auditor Tony Haggar is willing to continue in his role of honorary auditor and was duly re- elected. 8. Any Other Business - In view of the resignation of three committee members, we need to recruit some new members. Marie St Pier and Tracey Shirvell agreed to join the committee and were accordingly elected. Welcome and thanks to them. -The role of a match or team captain was discussed. A few candidates for the role to be approached by Roger. Last year, issues arose because various team captains did not attend the key start of season meeting. Also there were difficulties of getting enough players in teams. Action: have a meeting earlier in the year. -Also, could we have an Open Day/ “Selection day” where all players keen to participate in matches turn up and team captains make their selection? Squad system will still operate but match players who play more than three times in a higher team may not then play in a lower team. -In response to a question for clarification, Bert intends to continue with his coaching. It is likely that we will go ahead and get help from other coaches for the more experienced players. This would be supplemented by training sessions to get team players together. - British Tennis Memberships: LTA has proposed that affiliation fees to clubs will not negatively impact smaller clubs with less BTM members. (This is a change.) -Wimbledon draw: in the past, members attending the AGM were eligible for the Wimbledon draw and we often had a good turn out. It was suggested by Ruth that we need a “carrot” (perhaps 2 free tickets) to get members to attend future AGMs. The chairman declared the meeting closed.
