Accounts Payable (Controller) Position Description

OVERALL OBJECTIVE OF JOB: To perform a variety of routine accounts payable and clerical duties required by Supervisor, including calculating, posting, and recordkeeping duties. ESSENTIAL FUNCTIONS OF JOB: 1. Audits invoices and purchases for designated County funds and maintains related Accounts payable contracts. 2. Prepares and maintains spreadsheets for special projects and assigned contracts to monitor estimates and bid amounts. 3. Maintains payment records 4. Maintains databases 5. Determines 1099 status and prepares 1099 forms. 6. Maintains files, statistics, manuals, lists or other department documents as requested and as necessary. 7. Types letters, reports, memos and other documents required by the department staff. 8. Sorts, copies, processes mails and/or files documents, correspondence within the department. 9. Answers telephone and takes messages or transfers calls to proper individuals. 10. Assists general public, pensioners, department representatives and vendors by receiving or providing information, receiving payments or directing them as appropriate. OTHER DUTIES OF JOB: 1. Attends meetings and training as required. 2. Assists department staff with special projects, reports or assignments as requested 3. Performs other job related duties as required. SUPERVISION RECEIVED: Receives occasional instruction and some supervision from Supervisor in regard to daily work duties. SUPERVISION GIVEN: None. WORKING CONDITIONS: 1. Works indoors in limited office space, with adequate lighting, temperatures and ventilation. 2. Normal exposure to noise and stress, but subject to frequent disruptions. 3. Normal indoor exposure to dust/dirt.

Must be able to sit for long periods throughout the work day with intermittent periods of standing, walking and occasional bending, twisting, stooping and reaching. 3. Dexterity requirements range from simple to coordinated movements of fingers/hands, feet/legs, and torso as necessary to carry out job duties. 4. Sedentary work, with occasional lifting/carrying of objects with a maximum weight of ten pounds. 5. Must be able to pay close attention to details and concentrate on work. QUALIFICATIONS: To do this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION/TRAINING: High school diploma or GED equivalent with one (1) year certificate from community college, technical school or a secretarial/business school. B. WORK EXPERIENCE: 1-2 years working experience required in bookkeeping, accounting, or computer data entry. KNOWLEDGE, SKILLS AND ABILITIES REQUIRED: 1. Must possess knowledge of and the ability to practice generally accepted accounting procedures and principles. 2. Must possess the technical knowledge of operating personal computers and other office equipment with accuracy and reasonable speed. 3. Must possess the ability to provide sound direction and advice to others in regard to financial practices, procedures and operations. 4. Must possess the ability to prepare and financial statements/reports. . 5. Must be able to speak and understand the English language in an understandable manner in order to carry out essential functions of job. 6. Must possess ability to maintain strict confidentiality. 7. Must possess good communication and interpersonal skills. 8. Must possess initiative and problem solving skills. 9. Must possess ability to function independently, have flexibility and the ability to work effectively with public, co-workers and others. 10. Must possess excellent organizational skills and ability to coordinate several schedules and details or projects with accuracy and efficiency.
