EXECUTIVE COMMITTEE MEETING MINUTES 89TH ANNUAL ESA PACIFIC BRANCH MEETING Asilomar Conference Grounds, Pacific Grove, CA February 27, 2005, 4:00 PM-6:00 PM, Hearth Room President: Victoria Y. C. W. Woodworth Sponsor Report: Mr. Brian Holden, Great grandson of CW Woodworth, who with his wife, Joanne Wilfert, has contributed $1,000 to the recipient of the CW Woodworth Award. The Pacific Branch archives are housed at UC Davis, which lists the CW Woodworth recipients. President Yokoyama read a letter from Mr. Holden expressing his gratitude to ESA Pacific Branch for sponsoring the award, his pleasure with this year‟s recipient John Stark, and his commitment to funding the award for 10 years. Mr. Holden would like to have a list of all past recipients to add to his web page, http://en.wikipedia.org/wiki/Charles_W._Woodworth . IV. Two-Minute Committee Reports: A. Program: Victoria Yokoyama for Lisa Neven Over 100 rooms rented at Asilomar. Original contract for 68 rooms. We had decreased to 60 rooms due to concerns about having to stay Minimum 3 nights. Over 170 presentations and posters distributed as follows: Submitted & invited presentations Posters Symposia presentations Total Student 16 13 10 39 Other 30 20 82 132 Total 46 33 92 171 Suggestions for future program chairs:  Each submission should be 1 file – abstract and submission form.  Files must have consistent naming “firstinitiallastname.doc”.  Symposia hosts should collect all submission forms and abstracts and submit to Program Chair.  Forms need to be revised for 2005 meeting, still archaic. 2005 ESA Pac Branch Minutes -1- B. Registration: Lucia Varela Ca. 180 pre-registrations; 8 walk-in registrations Sunday 2/27. $10,760 to date, plus the 8 walk-ins.  17 non-members  81 members  4 emeritus  6 invited  53 students  12 guests C. Local Arrangements: Bill Chaney Location of meeting rooms can be found on property maps. All meals will be in the Crocker Dining Hall. Meal tickets for attendees not staying at Asilomar can be purchased at Registration Desk. D. Operations: Vicki Yokoyama for Charlie Summers (absent due to family illness) Computer projectors provided by UC and Parlier. Needed to rent microphones, added expense. Needed to rent lights for exhibitors in Hearth Room. $1,400 to rent lights for posters in Afterglow Room. E. Awards Canvassing: Douglas Walsh, (absent) Solicited nomination packages for each of the 13 national ESA awards. Each nominee will be honored will be honored with a plaque at the Awards Luncheon on Tuesday. Nomination packages due to Natl. ESA in June.  C.W. Woodworth Award– John Stark  John Comstock Award – Dierdre Prishman After 5 years, Doug will relinquish his roll. Pacific Branch will need to fill this position for 2006. F. Nominations: Keith Pike, (enroute) Helmut Riedl was nominated for President-Elect, to serve as president for 2007 meeting in Portland, OR. Executive Committee terms expire in 2005 for Lisa Nevens and John Brown (serving on behalf of Richard Zack who is on sabbatical.) Sue Blodgett and Arnold Hara were nominated for Executive Committee to serve 2005-2008. Additional nominations will also be accepted from the floor. G. Membership: Frank Zalom As of Jan 2005 - 1,306 members in Pacific Branch (including 331 student members and 912 active members). Tied for 2nd highest branch in the ESA. Membership Committee Meeting was held at ESA National meeting in Salt Lake City. ESA membership has turned around and is stabilizing and increasing. One reason for not renewing is cost. ESA considering an affiliate membership category. Suggestions for branches:  Do survey for non-renewed members as to why not renewing.  Get list of institutions to stimulate local interest.  Contact new members to welcome (via email) 2005 ESA Pac Branch Minutes -2- New ESA membership website. Can now join electronically and renew electronically. Comments from Mike Ivie, National ESA President: Membership of branch needs to pay particular attention to young members. Branches must retain student members as they graduate. Suggest taking membership list, sort by zip code, and having membership committee follow up with members who let their dues lapse. H. Graduate Student Symposium: Hannah Burrack Tuesday afternoon. 2 sessions: Student Symposium of those nominated by each department plus a Systematics Symposium organized by Cory Unrah. Also, 2 cottages were set aside for student housing. Both filled quickly. This was greatly appreciated by students and encouraged attendance. I. Linnaean Games: Sue Blodgett Tuesday evening in the chapel. Moderators will be Sue Blodgett and Will Lanier. 4 teams – California Polytechnic State University, San Luis Obispo; Montana State University, University of California, Davis; Washington State University. J. Student Paper/Poster Competitions: Diane Alston 13 posters and 14 papers. One concern was getting emails for submissions, thus getting all their talks on her computer was difficult. First and Second place winners to be announced during Tuesday Luncheon in Crocker Dining Hall. K. ESA Student Affairs:: There will be a Symposium at the November national meeting to honor emeritus members, with a conference call prior to the meeting. Committee members are:  Rodrigo Krugner (2003-2005) Natl Chair  Tim Waters (2004-2006)  Hannah Burrack (2005-2007) Pac Br. Student representative. L. Exhibitor Arrangements: Curtis Sandberg 2 exhibitors. Shorter time between 2004 meeting (June) and 2005 (March), thus there was less time to identify and solicit exhibitors. M. Photo Salon: Richard Coviello Sunday evening in Chapel. Received 72 photos from 17 individuals. Suggests clarifying format the next time. Some were in high definition and thus very large file sizes. Limit file size. Specify tif, jpg, bmp, ppt, etc. First place winner will receive $50, 2nd place $30, and 3rd place $20. N. Employment Opportunities: Patrick Weddle Has not received anything from anyone to date. A table will be available in Hearth Room with a binder. Gina Miller downloaded all the job openings in USDA and universities and will have them in binders in Hearth Room. O. Auditing: Victoria Yokoyama for Tad Gantenbein (absent) 2005 ESA Pac Branch Minutes -3- Audit committee has reviewed the Branch‟s finances and all income and expenses are properly accounted. Commended Brian Bret, Treasurer, for job well done. P. Resolutions: James Barbour Resolutions will be proposed at the final business meeting. Q. Plaques: Vicki Yokoyama for Kurt Volker Kurt Volker continues to do a great job for the branch by having all the award plaques made. Doug Walsh is bringing the plaques for Awards Luncheon. $800 for all. This year, only 1 plaque for IPM Team Award since over a dozen members. R. Pacific Branch Website: Vicki Yokoyama for David Allison Many thanks to David Allison for his efforts to keep the website current. Website is maintained at WSU Prosser. Abstracts are not published but will be posted on the website. S. Site Selection: Brian Bret John Stark and Brian Bret made site visits to 6 locations in Portland for the 2007 meeting. Final two choices were Embassy Suites and Marriott Downtown Waterfront. Marriott was selected as having best combination of facilities, rates, service, ambience, and location. Marriott is across the street from Portland‟s Waterfront Park and walking distance from several restaurants of varying price ranges. Corporate rates are $159/night but Marriott is guaranteeing $125/night rates for 2007 (not incl. taxes). Branch must commit to minimum 200 room nights. V. Approval of 2004 Pacific Branch Executive Committee Meeting Minutes Minutes were distributed electronically to the board. A hard copy is provided at the registration desk. Minutes were approved. VI. ESA President Report: Mike Ivie ESA has turned the corner and is improving financially after struggling for past few years. Need branches to increase memberships. Mike made a push for the national meeting in Ft. Lauderdale. 1. Pac Branch needs to have nomination for vice-president elect. Two recent past Executive Board members are Rick Reed and John Stark. 2. Need Pac Branch poster to address theme of national meeting of Sex, Bugs, and Rock n‟ Roll. Highlight 1 historic and 1 recent cutting-edge activity. Will be part of a press kit to highlight value of entomology to human health, agriculture, and the environment. VII. Pacific Branch Governing Board Report: Steve Clement Steve will give a brief presentation at 8:30 PM after the Photo Salon on current ESA reorganization efforts. He encouraged Pacific Branch members to nominate people for ESA Fellows. No more than 10 Fellows are awarded per year. 2005 ESA Pac Branch Minutes -4- Steve Clement – Pacific Branch Representative to ESA Governing Board “I am pleased to be your new representative to the Governing Board and I will do my best to represent the Pacific Branch (PB) for the next three years, just as John Stark did so admirably for the past three years. I want to personally thank John for representing our Branch and for setting a very high standard of service, which I hope to emulate. The minutes for the 2004 meeting in Bozeman, Montana were posted on the PB website (www.pbesa.prosser.wsu.edu) for several weeks before our 2005 meeting and I hope members had a chance to read and review them. In the 04 minutes, John Stark detailed the many changes in ESA‟s functions and services over the past 3-4 years and I am not repeating them here. Your Governing Board (GB) has worked hard to balance ESA‟s budget. In Salt Lake City last November the GB passed a balanced budget for 2005 ($2,401,813).” New Developments, Changes, and Challenges: 1. Membership dues increasing by 1.7%. 2. New editorial page charges increasing to $52 for ESA members and $81 for nonmembers. Papers submitted in 2004 will be charged the old rates even if the paper is published in 2005. 3. Fewer participants in the Board Certified Entomologist program. 4. Registration fee for national meeting is increasing $5.00. 5. Institutional and nonmember journal subscription rates increasing by 3%. 6. Passwords. Too many are required and ESA staff and GB are aware of this and are working to simplify the process. 7. Strategic planning to assess the need to re-shape the future organization of ESA. ESA Membership: “As you can see from the table below, our 2004 membership is up from 2003. While this is good news, it is too early to say if this is the start of a new trend. We now budget for „low‟ attendance and hope for „higher attendance.‟ Registration fees are responsible for approximately 20% of ESA‟s income. Please notice that our PB attendance has been pretty low for several years. It is clear that dues by members is the largest source of income, hence Governing Board and headquarter staff interest in carefully tracking membership rates and trends. Contract services and staff compensation are the largest expenses, and these are carefully tracked. I am particularly interested in exploring the possibility of increasing the amount of Program Enhancement Funds for branch and national meetings. Program Enhancement Funds Program Enhancement Funds from the ESA national office are based on the number of ESA members in the Pacific Branch and the number of paying attendees at the prior year‟s Branch meeting. This years‟ enhancement fund was $2,210. The Pacific Branch extends its gratitude to the National office for its continued support. 2005 ESA Pac Branch Minutes -8- E. Financial Policies for 2005 Branch Mtg - Asilomar Financial policies for 2005 meeting were reviewed. Revised policies were circulated via email and voted upon by Executive Committee via email prior to the meeting. Registration is complimentary to:  ESA President  Local dignitaries  Woodworth Sponsor (Brian Holden)  Hardship cases (if needed, upon request and review by Pres. and Treas.) Room and tax are complimentary to:  ESA President  Branch President (if needed),  Branch Secretary/Treasurer (if needed) Travel Expenses are supported for:  Hardship cases (if needed, upon request and review by President, Program Chair, & Treasurer) Resolution passed by ESA Pac Branch Executive Committee, June 20, 2004. “Complimentary registrations and/or travel assistance will not be automatically provided to invited speakers. Program Enhancement Funds from National Office will be provided to Program Chair to spend as deemed necessary for development of a quality program and recruitment of distinguished speakers.” Resolution passed by ESA Pac Branch Executive Committee, October 20, 2004. Motion made “… to charge graduate students a nominal registration fee of $35 with no increase in late fees to register for the 2005 Pacific Branch Meeting.” F. Resolutions – Jim Barbour (see attached) Addition of “Whereas: Betty Forbes and Min-Yao Chen of the Asilomar Conference Grounds enhanced our annual meeting through their gracious service; Be it resolved: that the Secretary be instructed to write a letter of appreciation to the management of the Asilomar Conference Grounds. 2. Change of Officers President, Victoria Y. Yokoyama, expressed appreciation to 2005 Pacific Branch Officers and Committee Members; Meeting Moderators and Symposia Organizers; Brian Holden, Sustaining Sponsors, Exhibitors, and all Registered Attendees for support for the 2005 Annual Meeting. Victoria relinquished the office of President of the Pacific Branch of the Entomological Society of America to John Stark. President John Stark accepted the office of president and adjourned the 89th Annual Meeting of the Pacific Branch ESA. Adjourn at 8:30 AM. 2005 ESA Pac Branch Minutes - 13 - RESOLUTIONS: 89th Annual Meeting Pacific Branch of the Entomological Society of America Asilomar Conference Grounds, Pacific Grove, California February 27-March 2, 2005 1. Whereas: the Pacific Branch of the Entomological Society of America lost through death 12 of its steadfast members since our last annual meeting in 2004; Be it resolved: that the Secretary be instructed to communicate the heartfelt condolences of the Pacific Branch to the families of our twelve deceased members. 2. Whereas: the committees of the Pacific Branch admirably carried out their work by organizing an annual meeting that was intellectually stimulating, professionally productive and enjoyable; Be it resolved: that the Pacific Branch express its thanks to each of the Chairs and all of the members of the 21 committees listed in the 89th Annual Meeting program, and further, that the Pacific Branch especially recognize Local Arrangements Committee Chair, William Chaney, the Program Committee Chair, Lisa Neven, the Registration Committee Chair, Lucia Varela, Awards Canvassing Committee Chair, Doug Walsh, the Operations Committee Chair, Charles Summer, and Secretary-Treasurer, Brian Bret, who tirelessly worked together and organized a most superior annual meeting. 3. Whereas: Washington State University at Prosser hosted and managed the Pacific Branch ESA Website, which provided at no cost to our society a user-friendly site with readily downloadable program abstracts and other important details about our annual meeting; Be it resolved: that the Pacific Branch express its gratitude to Website and Abstracts Chair, David Allison, for a job done with excellence. 4. Whereas: the management and personnel of the Asilomar Conference Grounds enhanced our annual meeting through their superior facilities, gracious service and other assistance to our members; Be it resolved: that the Secretary be instructed to write a letter of thanks to the management of the Asilomar Conference Grounds in Pacific Grove, California. 5. Whereas: the generous funding and other support provided by the Sustaining sponsors of the Pacific Branch of the Entomological Society of America contributed to the success of our 89th annual meeting; Be it resolved: that the Secretary be instructed to communicate the sincerest gratitude of the Pacific Branch, especially in this time of economic uncertainty, to our 2004-2005 Gold Sustaining Sponsors, Arvesta, BASF Corporation, and Syngenta, our Silver Sustaining Sponsors, Dow AgroSciences, DuPont, and FMC, and to our 2004-2005 Bronze Sustaining Sponsors, Agraquest, Inc., Bayer CropScience, Crompton Uniroyal, Gowan Company, Gustafson LLC, Makhteshim-Agan, and Target Specialty Products. 6. Whereas: The President of the Pacific Branch of the Entomological Society of America, Victoria Y. Yokoyama, dutifully and commendably participated in and facilitated the 89th Annual Meeting of the Pacific Branch; Be it resolved: that the Pacific Branch conveys its appreciation to President Yokoyama for the informative reports and other helpful contributions she made at our Executive Committee meeting, business meeting and general program meeting. 2005 ESA Pac Branch Minutes - 14 - 7. Whereas: Brian Holden, the great grandson of C. W. Woodworth and his wife, Joann Wilfert have generously provided financial support for the C.W. Woodworth Award; Be it resolved: that the Pacific Branch conveys its appreciation to Brian Holden and Joann Wilfert for their generous gift. 8. Whereas: Michael Ivie, National ESA President attended and participated in the 89th annual Pacific Branch meeting; Be it resolved: that the Pacific Branch conveys its appreciation to Michael Ivie for his participation at the 89th Annual Pacific Branch meeting 9.
