1. Background
      These instructions are only relevant to PCs operating Outlook 2007

2. Instructions
   2.1. Logon to the computer using the target end-user’s workstation account details; or Unikey ID if
        the workstation has been migrated to the MCS Windows 2003 Active Directory Domain.
   2.2. From the Start menu, select Control Panel, and then Mail.
        Note: You may need to switch to Classic View from the Category View to easily identify the Mail
        icon. Otherwise, it may be located under the User Accounts category. The Mail Setup window
        will appear (see below).

   2.3. From the Mail Setup window, select Show Profiles…




   2.4. From the Mail window, select Add. The New Profile window will appear.

   2.5. On the New Profile window, under the Profile Name, enter MCS Exchange. Then click OK.




   2.6. From the Add New E-mail Account page, tick the checkbox marked Manually configure server
        settings or additional server types. Then click Next.

   2.7. In the Add New E-mail Account window, at the Microsoft Exchange Server: field, enter
        MAIL.mcs.usyd.edu.au. Make sure the Use Cached Exchanged Mode box is not ticked.
        In the User Name: field, enter the user’s Unikey login, and click Check Name.

       2.7.1.   IF the computer IS NOT a member of the MCS Domain, the Connect to
                MAIL.mcs.usyd.edu.au window will appear (see below).
                In the User Name: field, enter mcs\<Unikey> followed by the user’s password in the
                appropriated fields. Click OK.




       2.7.2.   IF the computer is a member of the MCS Domain, the Add New E-mail Account setup
                wizard will continue.

   2.8. If the mailbox name has been resolved by the server successfully, the Add New E-mail Account
        setup wizard will appear with the details in the Microsoft Exchange Server: and User Name:
        fields underlined (see below). Click Next to continue.

   2.9. From the Add New E-mail Account Congratulations! window, click Finish and you will be
        returned to the Mail window.

 2.10. At the Mail window, ensure that the Always use this profile option is selected and set to MCS
        Exchange. Then click OK. Your MCS Exchange server’s profile has been successfully
        configured.
        Note: IF the user will be accessing other mail profiles from the Show Profiles screen, select the
        Prompt for a profile to be used instead.

3. Configurations for Outlook
   3.1. Click on File at the top menu and click on Options from the drop-down menu. Then click on
        Calendar Options…

       3.1.1.   Click on the Free/Busy Options… at the bottom left of the screen.

       3.1.2.   The Free/Busy information is used by people sending meeting requests to determine
                when someone is available for a meeting. The example below shows that it has been set
                to “Publish 6 month(s) of Calendar free/busy information on the server”.

   3.2. In the Options window, click on the Mail Format tab at the top of the window. Select HTML in
        the “Compose in this message format:” field. Ensure that if the user has a signature, it is
        configured to be used with Outlook as per the Migration Procedure Document. Also ensure the
        Send immediately when connected check box is ticked.

   3.3. Click on the Other tab at the top of the Options window. Ensure that the Make Outlook the
        default program for E-mail, Contacts, and Calendar. checkbox is ticked.

   3.4. While still on the Other tab, click on the AutoArchive… button. Make sure the settings are set
        to what is shown below. Then click on the Apply these settings to all folders now button.

        NOTE: It is vital at this point that you actually set the Run AutoArchive every 1 days
        to OFF.

       Click on OK.
