					         VISA Schedule
          Flow Charts
     The Flow Charts contained in this document are taken directly from the
                     VISA Schedule Operations Manual,
                             which is located at
         www.tafesa.edu.au/vetinschools then go to VISA Documents.


The Flow Charts contained in this document should be read in conjunction with the
                      VISA Schedule Operations Manual.
Process for Establishing a VISA Schedule

               School identifies training area in which to establish
                        a VISA Schedule with TAFE SA.




             School establishes contact with a YP&P representative.

   Youth Pathways & Partnerships Administration Centre Contact Details
                           (refer to page 28).




  YP&P representative confirms school has VET in Schools Agreement (VISA) in
                         place, and advises school of:
         − VISA Schedule process
         − VISA Operations Manual
         − VISA Continuous Improvement Plan
         − Industry relevant qualifications / experience requirements
         − Training and Assessment qualification requirements (copies will be
            required at a later date)
         − Delivery and Assessment requirements




 YP&P representative facilitates initial contact between school staff and TAFE SA
   Program Specialist to determine what is possible, particularly considering:
         − Specific industry relevant qualifications / experience requirements
            (copies may be required at a later date)
         − Delivery and Assessment strategy and materials (copies will be
            required at a later date)
         − Quality Assurance Compliance section (Part D) of the VISA
            Schedule document in the specific training area

              Where specific equipment and facilities are required,
                 the Program Specialist may visit the school.

                             School to supply YP&P representative with:
                − Delivery and Assessment strategy and copies of any materials required
                  by Program Specialist
                − Completed and signed Delivery and Assessment Staff Details form (Part
                  F) from VISA Schedule for EACH TEACHER listed in the VISA Schedule
                  document.
                − Other evidence required by the Program Specialist to satisfy the Quality
                  Assurance Compliance section (Part D) of the VISA Schedule document.

                           YP&P representative to provide documentation to
                       TAFE SA Program Specialist for VISA Schedule verification.

TAFE SA Program Specialist to request                       YP&P Administration Centre to coordinate

                                             VISA Schedule finalised.

              YP&P Administration Centre to facilitate storage of original VISA Schedule
                                    and disseminate copies to:
                         − School VET Coordinator
                         − TAFE SA Program Specialist




             School may commence delivery and assessment of competencies / modules
                                   listed in VISA Schedule.

                         School may Register and Result students according to the
                             remaining processes detailed in this document.
Process for Registering Students with TAFE SA ID numbers

         School generates TAFE SA Registration Form from DATEX
                                   OR
              School obtains TAFE SA Registration Form from the TAFE
                    SA Website or YP&P Administration Centre .




                   Each student completes and signs a
                       TAFE SA Registration Form.




       School sends completed and signed Registration Forms to a
          YP&P Administration Centre before mid semester.




     YP&P Administration Centre generates TAFE ID numbers and returns
          Registration Forms with IDs to School VET Coordinator.




                          School is responsible for:
       − entering TAFE ID numbers on DATEX / EDSAS / DUX or other
         school reporting system
       − ensuring each student is aware of their TAFE ID number
 Process for Resulting Student Achievements against
their TAFE SA ID number

      School enters results into DATEX to generate VET by Result report.
                                       OR
      School obtains TAFE SA Result Sheet from the TAFE SA Website or
     YP&P Administration Centre and lists student details and their results.
    One Result Sheet must be completed for each competency / module to be
                                    resulted.




         School sends completed & signed DATEX VET by Result report
                                     OR
           School sends completed & signed TAFE SA Result Sheets

                            to YP&P Administration Centre.

        Results must be received by the YP&P Administration Centre
           AT LEAST 7 DAYS PRIOR to being submitted SSABSA.



          YP&P Administration Centre undertakes verification process.

      YP&P Administration Centre must notify School within 7 working
                    days if results cannot be verified.

    If Schools are not contacted within 7 days, Schools can assume that
        results have been verified, and can submit results to SSABSA.



               YP&P Administration Centre enters results on the
                TAFE SA Student Management System (SMS).



     YP&P Administration Centre prints Academic Records for each student
    and sends them to the School VET Coordinator with a copy of the original
                    Results Sheet submitted by the school.




    School is responsible for distributing and ensuring each student receives
                             their Academic Record.
Process for TAFE SA Parchments


        School ensures each student wishing to apply to TAFE SA for a
        Parchment fulfills the appropriate Training Package / Accredited
                          Curriculum Packaging Rules.




               School obtains YP&P Parchment Application Form
            from TAFE SA Website or YP&P Administration Centre.




          Each student wishing to apply to TAFE SA for a Parchment
            completes and signs a YP&P Award Application Form.




   School sends completed and signed YP&P Parchment Application Form
                      to YP&P Administration Centre.




       YP&P Administration Centre coordinates verification, approval and
      generation of parchment in accordance with the Training Package /
   Accredited Curriculum Packaging Rules and TAFE SA Parchment Policies.




               YP&P Administration Centre sends Parchment to
                        School VET Coordinator.




    School is responsible for distributing and ensuring each student receives
                                 their Parchment.
   Process for amending an existing VISA Schedule
  - for use only when there are changes to school staff

          School identifies staff to be deleted / added to the existing VISA Schedule.



                       School establishes contact with a YP&P representative

          Youth Pathways & Partnerships Administration Centre Contact Details
                                   (refer to page 28)



          YP&P representative confirms school has an existing VISA Schedule in that
                                       training area.



       YP&P representative facilitates completion of Delivery & Assessing Staff Details
       page (Part F of VISA Schedule) by the teacher to be added to the existing VISA
                                         Schedule.



      School to supply YP&P representative with completed Part F form and supporting
                                 copies of documentation.
       YP&P representative to provide documentation to TAFE SA Program Specialist
                                      for verification.



If VISA Schedule Part F – Amendment                   If new VISA Schedule Part F – verified:
            NOT verified:
                                                        TAFE SA Program Specialist to verify
TAFE SA Program Specialist to request                   VISA Schedule Part E – Amendment
     further details from School                      and return to YP&P Administration Centre
(in liaison with YP&P representative if required)

   School to supply further details for
              verification.
