BACKGROUND:
The University of Arizona invites you to bid on residence hall flooring as noted herein. These
items will be installed into a residence facility that may have other contractor work happening at
the same time. Coordination of trades’ people will be important to the success of this project. To
the degree possible, the aesthetic qualities of each building are considered in developing the
appropriate program style of flooring for each building. This programmatic direction makes
selection of products on style considerations, as well as appropriate construction methods very
important.

It will be the responsibility of the vendor to guarantee delivery so that all materials are
correctly installed and ready for occupancy no later than August 1, 2009. Work can begin
as early as June 29, 2009.

QUALIFICATION OF BIDDERS:

The University of Arizona may make such reasonable investigations as deemed proper and
necessary to determine the ability of the bidder to perform the work, and the bidder shall furnish to
The University of Arizona all such information and data for this purpose as may be requested.
The University of Arizona reserves the right to reject any bid if the evidence submitted by, or the
investigations of, such bidder fails to satisfy The University of Arizona that such bidder is properly
qualified to carry out the obligations of the contract and to complete the work contemplated
therein.

BRAND NAME OR EQUAL:
Unless otherwise provided in this invitation for bid, the name of a certain brand, make or
manufacturer does not restrict bidders to the specific brand, make or manufacturer names; it
conveys the general style, type, character, and quality of the article desired, and any article which
the public body in its sole discretion determines to be an acceptable substitution of that specified,
considering, quality, workmanship, economy of operation, and suitability for the purpose intended,
shall be accepted. The bidder is responsible to clearly and specifically indicate the product being
offered and to provide sufficient descriptive literature, catalogue cuts and specifications to enable
The University of Arizona to determine if the product offered meets the requirements of the bid.
Normally, only the information furnished with the bid will be considered in the evaluation. Failure
to furnish adequate data at time of bid for evaluation purposed may result in declaring your bid
nonresponsive. Unless the bidder clearly indicates in this bid that they are offering an alternate

product, the bid shall be considered as offering the brand name products referenced in the bid.
All bidders offering an alternate must complete the specification deviation sheets enclosed in

AND PORCELAIN TILE FOR THE UNIVERSITY OF ARIZONA, TUCSON, ARIZONA.
INSTALLATION TO BE DIRECT GLUE DOWN AND IN ACCORDANCE WITH
DETAILED SPECIFICATION, GENERAL TERMS AND CONDITIONS HERE IN AND
THE ATTACHED SPECIFICATIONS.

Products and Quality Assurance:
    Products shall comply with ANSI Standard A137.1, “American Standard
      Specifications for Ceramic Tile”.
    Setting materials, grouts and sealants shall be appropriate for the installation
      method.
    Installer Qualifications: company specializing in installation of ceramic tile
      pavers, trim units and thresholds with no less than five (5) years of documented
      experience with installations of similar scope, materials and design.
    Source Limitations for Porcelain Tile: Obtain tile from same production run and
      of consistent quality in appearance and physical properties for each contiguous
      area.
    Grout: Grout must include Opticolor stain free grout or Laticrete SpectraLock
          o Install grout in accordance with ANSI A 108.10 and manufacturer’s
             recommendations
          o Mix grout material in strict accordance with manufacturer’s directions
          o Apply grout to product full, smooth grout joints of uniform width, even with
             edge of tiles and free of voids and gaps
          o Cure all setting and grouting materials in accordance with manufacturers
             recommendations
          o Remove grout release and clean tile surfaces so they are free of grout
             residue and foreign matter, in accordance with manufacturer’s
             instructions. Flush surface with clean water before and after cleaning. Do
             not use acid or acid-based cleaners to clean glazed tiles or tile grouted
             with latex modified grout.
          o Leave finished installation clean and free of cracked, chipped, broken,
             unbonded and otherwise defective tile work.
    Deliver and store packaged materials in original containers with seals unbroken
      and labels intact until time of use. Comply with requirement in ANSI A 137.1 for
      labeling sealed tile packages.
    Bidders shall provide the following Vendor qualifications:
          o Shall be approved by the Manufacturer as an established commercial
             flooring company for not less than five (5) continual years.
          o Must be insured and Bondable
          o Guarantee full value of replacement and installation of porcelain tiles for
             two years
          o Trained installers in proper procedures of installation
          o Inspect and accept all surfaces to receive porcelain tile and recommended
             accessories, prior to beginning of work
Execution:
    Installation shall be in accordance with the Tile Council of America Standards
      (TCA).
    Tile surface shall be protected until acceptance.

         Vendor shall provide a maintenance materials list along with extra stock
          consisting of one (1) box of each color and type of tile used in the project.
     
ITEM #5 – VCT
Areas where there are drinking fountains in the corridors receiving carpet will have VCT
tile installed below the drinking fountain.

NOTE: It is the vendor’s responsibility to verify and field measure all areas receiving
new flooring.

INSPECTION:
All materials furnished and work done may be inspected by The University of Arizona and if not in
accordance with specifications, may be rejected and shall be immediately removed and other
replacement materials furnished and work done in accordance with contract specifications.

SIMILAR INSTALLATION PROJECTS:

Bidders shall submit with their bids the names and locations of at least 5 recent (within 2 years)
installation projects of comparable size, type and quality. Failure to submit will deem bid non-
responsive.

WARRANTY:
All materials and furnishings shall be fully guaranteed against defects in materials and
workmanship for a period of two (2) years from the date of final acceptance. The vendor agrees
to repair or replace defective materials and workmanship over a TWO year period.
     Delamination warranty: the backing will not delaminate for the life of the carpet
     Edge Ravel Warranty: the Manufacturer warrants that the carpet will not have continuous
        ends coming out at lengthwise seams for the life of the carpet
     Static Warranty: the Manufacturer warrants that the carpet will not give static discharges
        in excess of 3KV when tested under AATCC Test Method #134-1979 for the life of the
        carpet
     No zippering
     No more than 10% loss of pile by weight
     Chair pads must not be required to maintain the warranty

Carpet must comply with these general criteria:
    Flame Spread :                Class I
    Smoke Density:         Less than 450
    Static Resistance:     Minimum of 3.0 kv
    Tuft Bind:             Minimum of 20 lbs
    Dyed Fibers:           Only branded yarn dyed or solution dyed fibers shall be specified
    Adhesives and seam sealers must be furnished by or approved by the carpet
       manufacturer
    The installation is to be accomplished in accordance with manufacturer’s
       recommendations, including seam gluing

EXTRA CHARGES NOT ALLOWED:

The bid prices shall include all applicable freight charges. No extra charges will be allowed.

INSTALLATION:

A.        Installation shall be done under close and proper supervision of Residence Life or an
          authorized agent.

B.        Hours of Operation: The vendor may begin the work day as early as they would like but
          may work no later than 7:00 p.m. The vendor will be allowed to work on the weekend but
          must provide in writing which weekend days they will be in the building so UAPD can be
          notified.

C.        Keys: Card access into the building will be coordinated through Residence Life Lock Shop

D.        Parking Permit: The vendor is responsible for all parking. Parking permit information and
          costs can be provided by Parking and Transportation at (520) 626-7275 or on their website
          at http://parking.arizona.edu/

E.        Remove existing carpet and base where applicable. Any damage done to wall is to be
          patched and painted by the vendor. Residence Life will supply touch-up paint as needed
          for minor repairs.

F.        Clean and prepare area as required.

G.        Remove all crating and debris from project (includes old carpet and base). The removal of
          existing carpet is to be recycled. Planet Recycling has a drop off location in Tucson, for
          information on carpet recycling please contact them at 602-258-5600, or other recycling
          companies is acceptable.

H.        Leave premises in “Showroom” condition. Flooring to be vacuumed leaving no carpet
          pieces or yarns left in the room.

I.        Vendor responsible for all field verification of measurements.

J.        Vendor to supply 3% overage for attic stock to be delivered to Residence Life at the
          completion of the project. A minimum of 9 square yards or 3% of the total whichever is
          larger, with no individual piece smaller than 3’-0” and 9 square yards, for each type and
          color of carpet in the project. It is unacceptable to consider this maintenance stock for
          standard installation overages. This is “attic stock” to arrive on site cleanly wrapped and
          labeled as “attic stock” for Residence Life to use in future repair and maintenance. It is not
          considered as waste stock or overages that the vendor bids for installation purposes.

K.        Coordination must be made through Residence Life Maintenance for Fire Safety regarding fire alarm
          shut off required during demolition


PROTECTION:

A.        Protect the building, as necessary, to prevent any damage.

B.        Any damage will be restored to original condition, and contractor shall be charged with the
          expense thereof.

OTHER CONDITIONS:
A.        The construction specification used is very similar to that used previously for The
          University of Arizona. Due to a program of standardization and successful use, adherence
          to the specifications is important.

B.        Residence Life will have several different carpet installations occurring in their residence
          halls over the summer. If a vendor is awarded more than one job, Residence Life is
          requesting a written confirmation from the vendor that they will be able to meet all
          deadlines listed in the specifications and will have adequate and qualified staffing to
          complete the installation as required and to the standard of the University of Arizona.
C.        A one time only mandatory on site inspection will be held on             at
          am/pm. Interested vendors to meet at Front Entrance to Pima Hall at 1340 E.
          First Street, Tucson, Arizona 85719.

PRODUCTION INFORMATION:
The bidder is responsible to clearly and specifically indicate the product being offered and to
provide sufficient descriptive literature, catalogue cuts and technical detail to enable The
University of Arizona to determine if the product offered meets the requirements of the invitation.
Failure to do so may cause the bid to be considered to be nonresponsive. This includes the
"Specification Deviation Sheets". Failure to list a deviation from the established specification
will require the bidder to supply exactly the specified feature, construction technique or
quality of material.

AWARD:
The University of Arizona reserves the right to award all items as a group due to requirement of
matching stain finishes, metal finishes, and consistent construction features. Award will be made
in the best interests of The University of Arizona.
