Creating a New Action Item Agenda
1. Open the Action Item Agenda Template
2. Select File>Save As and enter the name of the project as the project name and save to the appropriate place on the computer
3. In Row #2 enter the project name


Adding the Client Logo
1. If a client logo is available, right-click on the current logo and select "Change Picture"
2. Locate the correct logo on the computer and click on "Insert"
3. Once inserted, the logo can be resized by using the handles located around the logo
* The logo and AIA tab are pictures and will need to be moved if the size of the rows above are changed. They should both be
positioned just on top of the thick blue line

Adding/Editing Action Items
1. For each new action item:
   a. Enter the date of the meeting that the action item was created
   b. Enter the action item number as the meeting # and then two digit item number (1.01, 1.02..). If there are sub-items they are
entered letters (i.e. 1.01.a 1.01.b)
   c. Enter the action item in the What column
   d. Enter the name/acronym of the responsible organization in the Who column
   e. Enter the agreed to resolution date in the When column
   f. Enter any notes as required.*
   g. If the engineer entered a completion date, enter that date in the Completion column (see more below)

2. Increase the height of the row to allow for all text to show in addition to extra space for notes by moving the
cursor underneath the row number. A cross-hair will appear and you can drag the row height by holding down the
left mouse key and dragging the mouse.


* If you need to enter multiple lines within the notes cell (i.e. different notes for different meeting dates), go to the
end of the current text and hold the ALT key and press the ENTER key. This creates a new line within the cell
where additional notes can be entered.


Completed Action Items
1. When an action item is complete, the engineer should enter the date that the item was completed.
2. Enter the completion date and then select the entire row, righ-click and select "Format Cells"
3. In the Font tab - select "Stikethrough" and click OK
4. For action items that were completed at the previous meeting, right-click on the row and select "Hide"


Printing Action Item Agendas
1. When the AIA is ready for printing, hold down the left mouse button and highlight all rows that have action
items. Right click and select "Select Print Area".
2. Click on print preview and check that all rows with items are included and then print
3. To adjust margins/print size use PAGE SETUP within the PRINT PREVIEW SCREEN
Formatting
1. Project Name - Tahoma 16pt
2. Meeting Date - Tahoma 10 pt.
3. Action Item Text - Tahoma 9 pt.
