                               DonorNet® Data Entry Utility Quick Start Guide

                                                              Introduction

The DonorNet® Data Entry Utility is an offline application that enables OPOs to enter donor data when an
Internet connection is not available. It was designed to create a file in the proper format for uploading into
the online DonorNet system. It is intended to assist in the gathering and editing of donor information by
providing a means to both add and edit records and is not intended to be the full donor record. By using
the DonorNet Data Entry Utility, OPOs should have more flexibility in keeping their donor records
comprehensive and up to date. Any information that is added or changed within the DonorNet Data Entry
Utility should subsequently be uploaded into the actual online DonorNet system. This guide includes
instructions for getting started with the DonorNet Data Entry Utility and details the two most common
processes for using the DonorNet Data Entry Utility.

Step by Step Guide:

    1.        Add a new donor using the Data Entry Utility (a temporary Donor ID is assigned) and enter donor information.
    2.        Obtain a permanent donor ID from DonorNet online.
    3.        Edit the temporary ID with the permanent donor ID.
    4.        Upload files from the Data Entry Utility to DonorNet online.

Add New Donor/Create Temporary Donor ID Using DonorNet Data Entry
Utility

 1.   Open the Data Entry Utility.
 2.   The start up page displays.




 3.   Select Add New Donor Record from the Donor drop-down menu.




 4.   The Add New Donor page displays and a temporary Donor ID is assigned to the record.




 5.   Next, enter the relevant donor information. The amount of donor information entered will vary
      greatly depending on your use(s) for the Data Entry Utility.

6.   Update the record with the donor information and save the offline donor record by clicking on
     Save Locally.




7.   Click on the Edit Donor ID link.




8.   Enter the 6-character Donor ID number obtained when adding the donor record online. (See
     Appendix A: Adding a Donor in DonorNet Online for more information if needed).

 9.     The following Donor ID Change message displays.




Note: All files created using the Data Entry Utility will be saved in the default directory; however, this
directory can be changed by selecting Settings from the Donor drop-down menu.




 10.    Update the offline donor record with the donor information.
 11.    For more information about uploading the file after it has been updated, see Uploading Files
        from the Data Entry Utility to DonorNet Online.

Upload Files from the DonorNet Data Entry Utility to DonorNet Online

 1.     Click Launch DonorNet to upload the donor record.




 2.     A message will display informing you that Donor Data was saved successfully. Click OK to
        continue to the DonorNet online sign on screen.

Note: Error messages will display at this time if you need to enter any additional information in order to
upload the donor record. For example:




Correct all necessary errors and click the Upload button again to upload the donor record.

 3.       A message will display informing you that Donor Data was successfully validated and that there
          are no errors or necessary corrections. Click OK to continue the uploading process.



Note: The following two points are worth noting about how the Data Entry Utility works in conjunction with
DonorNet online:

      •   Information that is omitted or removed from a record within the Data Entry Utility will not delete
          information from the online donor record in DonorNet online when uploaded.
      •   Information that is changed in a donor record within the Data Entry Utility may overwrite (replace)
          information in DonorNet online when uploaded.



 4.       At this time, the Secure Enterprise log-in screen will display.




 5.       Log-in using your UNet User ID and Password.
 6.       The system will open the corresponding donor record within DonorNet for you.
 7.       Click on Browse to find your donor record file uploaded from the Data Entry Utility.




Note: Your default directory will display on the screen; however, you must select the actual file for
uploading by clicking on the Browse button.

8.    Select your donor record file from your default directory and click on Open.




9.    Your file name will now display in the Xml data file to upload field. Click on Upload to complete
      the uploading process.




10.   After successfully uploading, a message will display informing you that the upload process is
      complete and that DonorNet will be refreshed. Click OK.

   1.        Add a donor and verify a donor’s ABO in DonorNet online (See Appendix A).
   2.        Download files from DonorNet online to the Data Entry Utility.
   3.        Access downloaded donor information using the Data Entry Utility.
   4.        Upload files from the Data Entry Utility to DonorNet Online.

Download Files to DonorNet Data Entry Utility from DonorNet Online

  1.    Using DonorNet Online, access the donor record that you would like to download.

  2.    Click on the Download button.




  3.    Click on the following link: Click here to download serialized Donor information in XML
        format (displays beneath the XML Download section of the screen).

    4.      A screen will display prompting you to open or save the donor record. Click on Save.




Note: The Open button opens the actual XML file. The Save button saves the file so that it can be
retrieved later with the Data Entry Utility.

    5.      The Save As screen will display. Select your default directory and again click on Save.




Note: The file name will be identical to the Donor ID number.


Note: In order to retrieve files using the Data Entry Utility, the files must be saved in your default
directory. To find out or to verify the location of your default directory, go to Settings on the Donor
drop-down menu.

    6.      At this point, the donor information has been downloaded and can now be opened and
            modified using the Data Entry Utility.

Access Downloaded Donor Information in the DonorNet Data Entry Utility

 1.   Open the Data Entry Utility and your downloaded record(s) will display in the list of recently
      modified donors.




 2.   Double-click on the Donor ID that you would like to access and/or modify.
 3.   The downloaded donor information displays and can now be modified or reviewed within the
      Data Entry Utility.




 4.   Enter desired additional information to the donor record.
 5.   Upload files to DonorNet online. (See Uploading Files from the Data Entry Utility to DonorNet
      Online for more information).

Appendix A: Adding a Donor using DonorNet Online

Note: The following steps (1-6) are identical to entering a record and verifying a donor’s ABO in
DonorNet online. See the DonorNet online help documentation for more details.

To add a deceased donor:
 1.     Select Add from the Donors drop-down menu.
 2.     The Add a Donor page displays.
 3.     Fill in at least the following six (6) required fields:
          a. Select the OPO and Donor hospital from the drop-down lists.
          b. Select the Time Zone from the drop down menu.
          c.   Indicate if Daylight Savings Time is observed in the selected time zone.
          d. Enter the donor’s last name.
          e. Check the appropriate fields to indicate Ethnicity/Race.
 4.     When finished entering the data, click on Add.


Note: If any of the required fields were not completed correctly, a message will explain what errors
must be corrected in order to add the donor.


 5.     The Confirm donor page displays. Review the donor information for accuracy. If any of the
        information is incorrect, click on Previous to return to the donor’s record for correction. After
        verifying the information is correct, click on Finish to add the donor.
 6.     Obtain 6-character Donor ID.


Note: If the ABO was entered, the donor will be added to the Pending Donors module on the home
page. The donor is not eligible for match runs until the ABO type is verified by a different user. You
may add and edit additional information for this donor.

Appendix B: Verifying a Donor’s ABO using DonorNet Online

Note: The verifier cannot be the same user who added the donor to DonorNet and must have either
Full Access, Edit, Add or Verify ABO permission to Local Donors.


 1.     From the DonorNet home page, scroll to the Pending Donors section, which lists donors
        awaiting ABO blood-type verification. Select a pending donor’s record by clicking their Donor
        ID link.
 2.     The Verify ABO page displays. Referencing the donor’s ABO typing results, select the
        appropriate ABO for the donor.
 3.     Click on Save.
 4.     The donor’s record displays with a message indicating that the donor’s ABO has been verified
        and you may now edit donor information and run matches.


Note: If the ABO you have selected is different from the ABO entered by the previous user, an error
message displays. If you made a mistake, click on OK. Select the correct ABO and then click on Save.


If you need to gather more information before continuing, click the Return to search link in the Related
Links box to exit the ABO verification.


If you are sure the ABO you have selected is correct, you may click the Return to search link in the
Related Links box and contact the person who initially added the ABO before you verify the ABO.

Appendix C: Installation Instructions


Installation Tips (Network Administrators):

The following notes should be reviewed by your Network Administrator before installing the Data Entry
Utility:

Note: The Data Entry Utility package follows best practices for a controlled network installation/update.



Note: Deployment can occur either over the web or via a normal internal deployment strategy by the
host organization for new or updated programs.



Note: The account performing the installation must have sufficient privileges to execute a msi package
in order to install the application. The msi package is setup to overwrite previous versions at the time
of the installation. If you do not have the correct privileges for the installation, an error message similar
to the one below will appear. In most cases, the error message will provide the exact type of privilege
required to perform the installation.




An account that is a member of the Power Users or Administrators group (Windows 2000\XP
systems) will most often suffice for an installation and/or automatic updates. However, if your business
practices have set specific policies relating to access to the local hard drive, then an error message
similar to the one above will appear.

Installation Guide (General Users):

 1.   To install the Data Entry Utility application, access DonorNet from Secure Enterprise.
 2.   Within the DonorNet Data Entry Utility section, click on the link entitled Click here to
      download.




 3.   Read and acknowledge the following security disclaimer:




 4.   At this time, the following file will download: UnetEditorInstaller.msi.
 5.   Double click on this file (UnetEditorInstaller.msi) to install the Data Entry Utility.
 6.   The Data Entry Utility Setup Wizard will appear.

7.   Click Next and the license agreement will display.




8.   Read and acknowledge the license agree by selecting I Agree and clicking Next.
9.   At this time, a confirmation message will appear. Click Next to confirm the installation.

10.   The following message will display while the installation is in process.




11.   The following message will display when the installation is complete. At this time, click Close.




12.   The following icon will be placed on your desktop. Double click the icon to begin using the Data
      Entry Utility.

Appendix D: Troubleshooting Tips

Automatic Updates:

Note: You will be notified periodically that automatic updates are available for the Data Entry Utility.
After receiving notification of an automatic update, you have the choice of proceeding with the update or
contacting your Site Administrator depending on your personal privileges, permissions, and the
business practices of your organization.

 To perform an automatic update:

     1. After receiving the message that an update is available, select Yes to proceed with the update.




     2. Follow the update instructions that appear on the screen.

Note: If you select Yes and do not have the correct privileges or permissions to perform an update, a
second popup message similar to the one below will appear. If this occurs, you should contact your
Network Administrator who should determine who has the ability to perform the update according to
your organization’s business practices.
