FIFE CONSTABULARY JOB PROFILE Post: Support Assistant (18 hours per week) Department: Criminal Justice Department Responsible to: Manager, Case Management Unit Grade: GS3/AP1 Salary: £14,901 to £16,662 pro rata 1. Job Purpose To manage Accident File, SCRO Disclosure and provide an administrative support to the Case Management Unit. To input data in to Crimefile, regarding enquiries from the Procurator Fiscals and other partner agencies. To update Crimefile and other systems with information regarding requests for Full Statement submissions. 2. Major Tasks Computer Tasks 65% Management of Accident File 5% Clerical 20% Data Input 10% 3. Job Activities Management of Accident File • Check road accident reports to ensure quality, quantity and accuracy of information. • Highlight any substandard reports and refer them back to their source for amendment. • Update road accident information and statistics onto the Transport Research Laboratories Database. • Provide advice to Police Officers concerning poor and best practice in relation to road accident reports. • Ensure road accident statistics are submitted timeously to the relevant agency. • Ensure that Force Performance Indicators are met. Computer Tasks • Monitor accident reports within Accident File to assist with the management of workload within the Checking Unit. • Interrogate Command & Control to retrieve call cards that form the basis of road accident reports, to ensure accuracy of information. • Assist with the interrogation of PNC in respect of pending detected police reports and crime records. • Update Crime File with administrative information, including the addition of any case related documents. • Update Accident File with road accident information and statistics. • Conduct checks on Accident File to ensure timeous submission of documents and statistics to the intended source. • Assist with the receipt and transmission of e-mails in case related matters. • Process email requests from partner agencies requesting enquiries. • Process requests for Full Statements from the Procurator Fiscal service. • Interrogate SCRO in order to retrieve criminal Histories. • Update Crimefile with reminder tasks in order to meet the National Statutory Performance Indicators regarding report submission. • Operate as first point of contact in relation to SCRO Disclosure issues. • Vet and update National Standard Statement submission in relation to SCRO numbers and SCRO Disclosure issues. • Operate as first point of contact in relation to requests for VIPER Identification parades. Clerical • Maintain appropriate filing systems • Prepare and submit statistical information • Answer telephone enquiries and offer appropriate advice or assistance. • Collect and distribute mail accordingly. Data Input • Process and update the National Standard Statement system submissions and associated spreadsheets / tasks with Statement requests particularly in relation to SCRO Disclosure. Education, Experience and Abilities Essential Criteria : • Minimum educational requirement is to standard grade level or equivalent. • The post holder should have previous experience in an office environment. • The post holder must be computer literate with experience of word processing and database systems. • The post holder must have experience of audio typing and dictation. • Good verbal and written communication skills are essential. • The ability to work under pressure is essential. • Attention to detail is essential Desirable Criteria : • Previous experience in a law enforcement environment is desirable A period of approximately 18 months - 2 years in post would be required to become competent with the duties of the post. Hours of Work 18 hours per week, arranged as follows: Wednesday 0848 to 1224 hours; Thursday and Friday 0848 to 1700 hours. There may be a requirement to occasionally work on a Public Holiday.
