Timesheet Xpress & Timesheet Collect FAQs Q. What are the minimum system requirements? A. We recommend:• Computer/processor, recommended: Pentium III 1GHz or higher • Memory: 64 MB or higher • Monitor: SVGA or higher resolution (1024x768 or greater) • Installation requirements: Minimum 30 MB of free hard disk drive space • Windows 95, 98, ME, NT 4.0, 2000, XP and Vista • Windows 95 Original Release requires the Winsock 2.0 Upgrade from Microsoft • Microsoft Internet Explorer 4.0 or greater • We recommend, 1024x768 resolution, 24-bit colour and Windows XP. Q. Does Timesheet Xpress run standalone or networked? A. Both, you can install and run it as you wish, if you work alone, you can keep all your data files locally on your PC or indeed you can network them by placing them on another PC, for example a server where you can access them over the network. If you are in a team or workgroup you can keep all your data files including Timesheet files on a shared location where your colleague can share information like Client, Projects and Tasks. Q. What and where is the PPN? A. PPN stands for the “Product Purchase Number”, it is a unique to each installation of the program and is in the Help, About window of the program. NOTE, when copying this number, please do not re-type it manually, simply use your mouse to copy and paste like normal text, this will ensure no errors. Your Purchase Keys (PKs) issued are based upon the PPN and are unique, if the PPN is wrong, the PK will be will be wrong and not be accepted by the program. Q. What and where is the PK? A. PK stands for the “Purchase Key”, it is a unique to each installation of the program and is issued to you when you purchase the product. The PK matches the PPN that you supplied to us when you bought. Q. What and where is the RK? A. RK stands for the “Registration Key”, it is a unique to each installation of the program and is issued to you when you register the ‘free version’ of the product online. The RK matches the PPN that you input to the website. Q. If I change my PC or for some reason have to install, do I need to purchase a new licence? A. No, simply re-install on the new PC and request a replacement Purchase Key from the Support Centre on www.TimesheetXpress.com, we will then issue a new Purchase Key (PK) free of charge. I have Timesheet Xpress on my desktop and I want to run it on my Laptop also, do I need to purchase another licence? A. Yes, the program is licensed on a per installation basis, contact us, we can give you 50% discount off the second licence providing both are licensed to the same user and company! Q. A. i) If a colleague leaves and a new employee starts, do we need to purchase a new licence or can we transfer the licence of the person that has left? We’ll simply transfer the licence (free of charge), see details below:If the new user is on the same PC as the previous user. Q. For version 8.5.0 and above. First record the present PPN and PK listed in the Help, About window of the program, then select the Tools Menu and then Options, within the ‘General’ list on the left there is an option to ‘Change Name/Company’ click this option and then input the new User Name and/or Company Name, now click the ‘Change Name and Company’ button. The PPN in the Help About window will change, request a replacement Purchase Key from the Support Centre on www.TimesheetXpress.com, we recommend you use the mouse to copy and paste the PPNs and PKs (like normal text). For version 8.4.0 and below. If you have changed PC (or hard drive) you will need to re-install the program. You will also need a new PK (Purchase Key), to get this, install the program then request a replacement Purchase Key from the Support Centre on www.TimesheetXpress.com, we recommend you use the mouse to copy and paste the PPNs and PKs (like normal text). We will then issue a new Key. If you wish to change the User Name within the program (perhaps due to an employee leaving), you will need to:a) Backup the previous users’ timesheets. b) Uninstall the program. c) Delete the installation folder, normally C:\Program Files\Timesheets Express d) Reinstall the program for the new user. Again, request a replacement Purchase Key from the Support Centre on www.TimesheetXpress.com ii) If the new user is on a new PC, simply install the program on that new PC and send us the PPN, we will issue a new key (PK). Please tell us whose licence you are transferring. I am trying the Free version, how can I try all the features of the full (paid-for) version? A. In the Help Menu there is an option “Try Timesheet Xpress”, click this, you will get 35 days of full functionality after which time the program will revert back to the free version. Q. How do we set the program up for team working,… we want to share the Client, Project and Task List and save all our timesheets together on a server? A. When you first install Timesheet Xpress all data is held locally on each users PC. If you have a user that has input ‘real’ data such as Clients, Projects and Tasks, then get that person to first run the Network and Sharing Wizard, in the Tools Menu of their program, they then choose the option to “I would like to move my settings to shared location”, then follow the instructions on each step. Then run the wizard for all other users, this time selecting the option “A colleague has already shared their settings and I would like to use them too”, then follow the various steps. YOU MUST ENSURE EACH USER HAS FILE READ/WRITE ACCESS/PRIVELAGES TO THE SHARED LOCATION. Q. When I run a report, some employees are missing off it? A. Ensure that all employees are saving their timesheets to the same shared folder, then also ensure that the program running the report is pointing to the same shared folder. Also ensure that the name the employee has input and is using in their installation of Timesheet Xpress (visible on the top left of their main Timesheet window) is the same as the name on your list of employees (in your Employee Manager). If you are unsure, you can run ‘Scan for Employees’ from within the Employee Manager. Q. What is the difference between Timesheet Collect and Timesheet Xpress? A. Timesheet Collect is very similar to Timesheet Xpress, the only difference being, Timesheet Collect allows several users to share a single installation of the program on a single PC (whereas Timesheet Xpress is a single installation on a PC and is dedicated to a single user). So if you have several users that share a PC or you have a single 'time keeper' that inputs time for several colleagues, then Timesheet Collect is perfect for you. Timesheet Collect is also ideal for ‘Hot-Desking’. Q. How is Timesheet Xpress and T Track Licensed? A. Timesheet Xpress and T Track are licensed per installation, the installation is dedicated to that one user. Should a member of staff leave, the user name can be reassigned to a new member of staff, in Tools Options. Q. How is Timesheet Collect Licensed? A. Timesheet Collect is licensed per installation, a secondary consideration is the number of employees for whom you which to input time data. For example a single TC-10 will allow you to have 10 concurrent employee names on the employee list and therefore input time for 10 employees at any point in time. Should an employee leave and be replaced, you can simply change the employee name on the employee list, (still having a maximum of 10 names on the list). Note that the program will still report on staff no longer with the company, so in the example above you may have timesheets from the past for 30 unique employees, the program will still report on their time. The only restriction is, you can only have a maximum of 10 names on the Employee List at any one time. Please ensure you choose a package sufficient for your needs. Should your company expand we can issue further licences in blocks of 10, so a TC-30 can become a TC-40. Q. Q. Can Timesheet Xpress or Timesheet Collect be run on a server? A. No, each is designed to be run on each users PC, they are not client/server applications. Timesheet Collect is really designed for users who share a PC or where you have a single person inputting time for colleagues via a single PC. Q. A. Can we have Timesheet Xpress and Timesheet Collect running on the same network, sharing data? Yes, the data is fully compatible, simply use the “Network and Sharing Wizard” to set them up. Q. What is upgrade protection and must I buy this every year? A. Firstly Upgrade Protection is not mandatory; you do not have to buy it if you don’t wish! When you first buy any product, you will automatically get upgrades for the first year after purchase, thereafter (after the first year of use) you can continue to use the product free of charge, the only problem is, you will no longer get free upgrades. If you wish to continue getting upgrades, then you can purchase Upgrade Protection. Q. I’m running Timesheet Xpress Free and want to try the paid-for features? A. In the Help Menu there is an option “Try Timesheet Xpress”, click this, you will get 35 days of full functionality after which time the program will revert back to the free version. When I record timesheets, I am generally recording two things - what I'm working on that day, and also any support calls that I take. Quite often, I would like to block out the morning to a particular project, but also put in a 10min support call during the period as well. A. There is no way to fill a cell with more than one client, project. What you can do is input a charge to the time cell and allocate the charge to another client. For example from 10:00 to 10:15 you allocate time to Project A; Design, but at 10:05 you deal with a call from Joe Bloggs, then in the 1000 1015 cell add a client charge and hange the client name to Joe Bloggs and Task to Support for the charge. Alternatively you could input notes to that effect, in the relevant time cell. One other option is to record the support calls in the notes fields and or charge time say in the evening, so although you deal with the call at 10:05, allocate the time at 20:05 and record note to that effect. Q. How does the stopwatch link to the time in the timesheets? A. The stopwatch is purely an aid at present, it does not link to the cells,.... yet, this should be implemented soon. Q.
