1. Introduction
The Collaboration Addin for Outlook was designed by JCS Technologies, Inc. (JCS) to be
extremely customizable. Customizations are encrypted and stored in an INI file that is included in
the distribution to the moderators. Your customizations are added to the file using the Outlook
Addin Customization Program.

Customization can also be performed during installation of the Addin on the moderator‟s
machine. The Addin can be customized with information that is unique for each moderator, such
as the passwords for audio and data conferencing. For information on installation customization
options see the Collaboration Addin Customization during Installation document.

This document assists you with the configuration of the default values for the Outlook Addin
parameters to reflect the services provided by your conference center. It details the purpose of
each parameter so you can decide the value to use.

2. Prerequisites
    1. Windows 98, 2000, 2003, or XP
    2. Your logo file, to be included in the distribution file to your customers. See the
       Important Considerations for Image Files section below before creating your logo file.
    3. An install program like Inno Setup, InstallShield or Wise (not required if you purchase
       the Customization Option). For a more manual setup you can use a Zip program.

3. Restriction
The JCSOAdIn.ini file must be less than 8,192 bytes .There is no restriction on the length of
individual text fields.

4. Installation of the Customization Program and Addin
Execute the CollabCustomization.msi file on your development machine. This will install the
Collaboration Addin for Outlook and the Customization Program.

5. New in Version 7

    1. A Location field has been added to button configuration. The contents of this field are
       added to the Location Field on the Appointment form and Invitation file when the button
       is pressed.
    2. Option to allow users edit access to the button Caption and Tooltip fields.
    3. Option to allow users to select the button type.

6. Customize Parameters
   6.1. Overview
   The Addin parameters have been divided into seven categories: Product License, Command
   Bar, Buttons, Logo, Message Link, Customization URL, and Separator Text. Selecting the
   Command Buttons within each category displays an edit window in which you can customize
   the Addin to meet your requirements. The Customization Worksheet section at the end of this
   document can assist in identifying all the information you need to customize your Addin.

   When you save your information you will be warned about changing the key, the logo file
   and the Corporate Name. Select the OK button to continue. The Corporate Name and the
   CRC of the logo file must be registered with JCS for your distribution file to install correctly.
   Instructions for registering are provided later in this document.

   If you change your logo or the Corporate Name after you have registered with JCS, you must
   register this change with JCS before your new installation files will work properly. After you
   register the change, the previously distributed installation files will need to be replaced.
   Current installations of the Collaboration Addin will continue to work properly, but will
   contain the previous logo and Corporate Name.

   JCS will provide you with a key. Once entered the key should never change.

   6.2. Customization Program
   Start the Customization Program by selecting Start/All Programs/Collaboration
   Addin/Customization Program.

   6.3. Product License
   This information will be used during the installation on a moderator‟s machine. You must
   enter the Product Key provided by JCS. Change the Corporation Name to your corporate
   name. You can change the Corporation Name until it is registered with JCS. Once you have
   registered your INI file with JCS, do not make changes to this information. Installation
   distributions of the Addin must contain the registered information or they will install in
   unregistered mode. If you need to change this information call your JCS Sales Representative
   first.

   Select „Change License Information…‟ to enter your Key and Corporate Name.




   Enter your Key and Corporate Name per your contract with JCS. The Corporate Name will
   be displayed on the Options/Tools/Collaboration tab. Select OK to save the values. Select OK
   on the warning message to return to the main window.

   6.4. Command Bar
   Outlook 2000 through Outlook 2003 uses command bars. You can define where the
   Collaboration Command Bar will be installed and whether it is a drop down control or
   individual buttons.

   Outlook 2007 uses a Ribbon control. You can define the Ribbon Tab label and the Group
   label

   Select „Change the Command Bar…‟ to customize the Collaboration Command Bar.

       6.4.1. 2000 through 2003 Location
       The Buttons can be placed on a new command bar or on an existing command bar. To
       create a new command bar enter a name in the Location drop down control that is not
       being used for any other command bar in the E-mail and Appointment forms of Outlook.
       The name you enter will be displayed in the View/Toolbars list on the forms.

       Place an „&‟ in the Dropdown Caption to create a hotkey of the character following the
       &. This can be used by end users to select the dropdown from the keyboard by entering
       Alt-hotkey. Be sure the letter you select is not already in use on the E-mail and
       Appointment forms.

       Two location fields are required because the Native Outlook E-mail Editor and the Word
       E-mail Editor present different toolbars as defaults. The Native Editor presents the
       “Menu Bar” and the “Standard” bar. The Word E-mail Editor presents the “Menu Bar”
       and the “E-mail” bar. To maintain a consistent look between both environments you
       should select one of the following combinations.
           1. “Menu Bar” for both
           2. “Standard” for the Native Editor and “E-mail” for the Word Editor
           3. Your own unique name for both (e.g. XYZ Collaboration)

       6.4.2. 2000 through 2003 Style
       The Buttons can be placed individually on the selected command bar or they can be
       placed on a dropdown control added to the selected command bar. If the buttons are to be
       added to a dropdown control then the Dropdown Caption must be entered.

       6.4.3. 2007 Ribbon Tab Label*
       The Ribbon presents a tabbed interface that expands to show the buttons when selected.
       You can define the label on the tab.

       6.4.4. 2007 Ribbon Group Label*
       A Ribbon tab can contain multiple groups. Only one group represents the Collaboration
       Addin Buttons. You can specify the label for the Group.

       * Note: Upgrades do not utilize the new configuration file. The existing
       configuration file is maintained and default values are added for the new fields. The
       default value “Collaboration” is used for Ribbon Tab Label, Ribbon Group Label,
       and the Tools Option Caption. You must customize these fields during installation
       to change the value.

   6.5. Buttons
   You can define up to five buttons to display in Outlook. There are three types of buttons.
   Each Text / Hyperlink button can place multiple lines of text and up to two hyperlinks on the
   Appointment and E-mail forms. A Schedule button will place Meeting Schedule information
   on an E-mail form. A WebDialogs button provides One Time Participant Code selection for
   Webconferencing utilizing the WebDialogs system.

   Check the “Users can select Type” check box to allow users to change the Button Type. This
   allows you to lock down the buttons you configure and allow users to configure buttons you
   do not use.

       6.5.1. Text / Hyperlink Button Type
       Selecting the Text / Hyperlink Button Type formats the button window as shown below.
       This button type is used to add text and up to two hyperlinks to the body of an E-mail or
       Appointment.

           6.5.1.1. Moderator Edit
           Check this box to give the moderator the ability to edit the Text / Hyperlink or
           Schedule Text entries for the buttons. This is a global value that applies to all buttons,
           you can set it while editing any button and it applies to all buttons. If this button is
           checked the moderator can edit the button information using the
           Tools/Options/Collaboration Addin menu item in Outlook. Note the Caption and
           Tooltip cannot be changed by the moderator.

           6.5.1.2. Button Appearance
           Check the „Show this button‟ checkbox if you want this button to be loaded on the
           Outlook forms.

           Enter the Caption and Tooltip for the Button. The Caption is required, the Tooltip is
           optional. Check the “Users can Edit Caption and Tooltip” check box if you want to
           let users change these fields.

           An „&‟ in the Button Caption creates a hotkey of the character following the &. This
           can be used by the end user to select the Button from the keyboard by entering Alt-
           hotkey. Be sure the letter you select is not already in use on the E-mail and
           Appointment forms.

           6.5.1.3. Location Text for Appointment Form
           The text from this field will be placed in the Location field when used in conjunction
           with the Appointment form. Phone numbers and URLs should be placed here. Note
           the Location field on the Appointment form is limited to 255 characters.

           6.5.1.4. Text / Hyperlink 1
           This is the first text added to the form if this button is pressed. The button will add
           the text below the logo if the Position Below the Logo checkbox is checked.
           Checking the Use Fine Print box will change the font size to small.

           To create a hyperlink within the text, highlight the hyperlink text and check the
           „Create a Hyperlink…‟ checkbox. You must enter a URL for the hyperlink in the
           format of http:// or https://.

           A hyperlink is only valid in HTML formatted E-mails. On Appointment Forms or
           Plain Text/RTF formatted E-mails, the hyperlink text is replaced with the hyperlink
           URL. Enter your text so it makes sense in both environments.

           6.5.1.5. Text / Hyperlink 2
           This is the second text added to the form if this button is pressed. Leave the text field
           empty if you do not need a second set.

           The instructions for Text / Hyperlink 1 also apply to this field.

           6.5.1.6. OK, Cancel
           Select „OK‟ to save the changes or „Cancel‟ to discard them.

       6.5.2. Schedule Button Type
       Selecting the Schedule Button Type formats the button window as shown below. This
       button type will present the Schedule form and add the schedule information to the body
       of an E-mail. It will also attach the invitation.ics iCalendar file to the email. This button
       type will not be loaded on Appointments.

           The text from this field will be placed in the Location field of the Schedule form and,
           subsequently, in the Location field in the Invitation.ics file. Meeting Room, Phone
           numbers and URLs should be placed here. Note the Location field on the Invitation
           form is limited to 255 characters.

           6.5.2.4. Schedule Text
           This text is added to the E-mail body after the Schedule form has been completed.
           The Date Time Variables are replaced with values from the schedule form as the
           text is added to the form

           6.5.2.5. OK, Cancel
           Select „OK‟ to save the changes or „Cancel‟ to discard them.

       6.5.3. WebDialogs Button Type
       Selecting the WebDialogs Button Type formats the button window as shown below. This
       button type will present the WebDialogs form and schedule a One Time Participant Code
       with WebDialogs.

           6.5.3.3. WebDialogs
           The Participant Code field is for the WebDialogs Permanent Participant Code for
           each moderator. Since this information is not known at the time of customization it
           should be left blank. It can be set by the moderator or by using the Customization
           During Download facilities.

           6.5.3.4. Location Text for Appointment Form
           The text from this field will be placed in the Location field when used in conjunction
           with the Appointment form. Phone numbers and URLs should be placed here. The
           variable #ParticipantCode# will be replaced with the Permanent or One Time
           Participant Code. Note the Location field on the Appointment form is limited to 255
           characters.

           6.5.3.5. Text / Hyperlink 1

           6.5.3.8. Advanced
           The Advanced Command Button displays the Customize WebDialogs Information
           form as shown below. This form is used to enter the information required for the
           Addin to communicate with the WebDialogs wip server. This information is
           available from WebDialogs. Select OK to save you changes or Cancel to return
           without saving the changes.




           This form is not available to moderators unless you have checked the “Users can
           select type” checkbox. If you want to allow your moderators the ability to use the
           WebDialogs Executive (individual license) then configure this form as follows;

   6.6. Logo
   Define the logo file name, hyperlink and Text here. You can also test the appearance of your
   Alternate Logos. Note you can only distribute the Alternate Logo File option if you have
   purchased the Multi-Logo License. Select „Change the Logo…‟ to set up your logo file.




   Note the „CAUTION!‟ message. Large image files will impact the performance and
   acceptance of this tool by your moderators.

       6.6.1. User Directory
       Your Logo File must be in the directory shown.

       6.6.2. Licensed Logo File
       Enter the file name of your logo, the link to be followed if the logo is clicked, and the text
       to appear on the Appointment Form and on Plain Text/RTF formatted E-mails.

       The name and CRC of the Licensed Logo File will be stored at the JCS Registration
       Website, along with the Key and Corporate Name. This information is validated with the
       JCS Registration Website when the Addin is installed by moderators. Thereafter,
       whenever Outlook is started the CRC of the logo file is checked against the locally stored
       and encrypted CRC. This prevents moderators from replacing your logo file.

       6.6.3. Alternate Logo File
       If you have purchased the Multi-Logo License, you can display an Alternate Logo instead
       of the Licensed Logo. The values for the parameters below the check box in this section
       are actually set during installation process on the moderator‟s machine. This section
       allows you to easily try your Alternate Logo configurations. See the Collaboration Addin
       Customization during Installation document for more information on customizing the
       Addin during installation.

       You only need to set up one distribution for Alternate Logos regardless of how many
       logos you are using because the specific logo customization occurs during the download
       to the moderator.

       For simplicity you can set up the Alternate Logo File with the name and information for
       your Licensed Logo and not customize it during the download. In this manner you only
       need a single distribution package for both the customers that display your Logo and the
       customers that display the Alternate Logo.

       You can create an Alternate Logo configuration for test purposes. By setting the
       parameters to the Alternate Logo and creating a distribution file, you can install the
       distribution file to see how your Alternate Logo looks.

       6.6.4. OK, Cancel
       Select „OK‟ to save the changes or „Cancel‟ to discard them.

   6.7. Message Link
   The Message is a link to an image page on your website or any website. You can change the
   URL, Hyperlink and Alternate Text for the Message. Select „Change the Message…‟ to set
   up your message.




       6.7.1. Message Link
       Enter the URL of the image file to be displayed on E-mails. This should be a generic file
       name so you can change the contents of the file with a different image at any time.

       Enter the link to the website the moderator should be sent to when they click on the
       message image. This should be a redirect page so the destination can be changed easily
       when the image is changed.

       A hyperlink is only valid in HTML formatted E-mails. The Message Text will be placed
       on Appointment Forms and Plain Text/RTF formatted E-mails. The Message Text will
       also be shown on E-mails if the link is broken.

       You may want the message link to point at a customer‟s logo file and link to provide
       them with added incentive to use the Addin. This requires implementing customization
       during download because you will have to load a different URL for moderators from
       different companies.

       6.7.2. OK, Cancel
       Select „OK‟ to save the changes or „Cancel‟ to discard them.

   6.8. Customization URL
   If you are going to customize the Collaboration Addin when it is installed on a moderator‟s
   machine, you must set the Cookie URL.




       6.8.1. Cookie URL
       The Collaboration Addin finds the Customization Cookie on the moderator‟s machine by
       referencing the URL of the source page of the cookie. Enter the URL of the page that
       created the cookie, do not include the web page file name unless you are using ASP.

       6.8.2. OK, Cancel
       Select „OK‟ to save the changes or „Cancel‟ to discard them.

   6.9. Separator Text and Option Tab Caption
   The Separator Text highlights the separation between the information entered by the
   customer and the information entered by the buttons. Select Change the Separator… button to
   customize the separator line.




       6.9.1. Separator Text
       The Separator Text can be any text value.

       6.9.2. Option Tab Caption*
       The Outlook Option Tab Caption is displayed when a user selects Tools/Options. Any
       text value is acceptable.

       6.9.3. OK, Cancel
       Select „OK‟ to save the changes or „Cancel‟ to discard them.

7. Creating Your Release File
Use an install program like Inno Setup, InstallShield or Wise to build your install file for
distribution to your customers. The following files must be included in the install file
     1. From the Program Files\JCS Technologies\Collaboration Addin
             a. JCSOAdIn.dll
             b. JCSOPropPage.ocx
             c. Redemption.dll
     2. All files from the Program Files\pocketSoap directory
     3. From the Documents and Settings\USER LOGIN NAME\Application Data\Collaboration
         Addin directory
             a. Your logo file
             b. JCSOAdIn.jpg
             c. JCSOAdIn.ini
     4. Your version of the User Guide if you want to include one.

Do not include the CollabCustom.exe or CollabCustom.ini files. These are for your use only.

Most of these files can be installed to any directory you want on the target machine. However, the
files in the Documents and Settings\USER LOGIN NAME\Application Data\Collaboration Addin
directory must be installed in the user‟s Application Data\Collaboration Addin directory on the
target machine.

Important: The JCSOAdIn.ini file holds the configuration information and cannot be greater
than 8,192 bytes.


8. Register with JCS Technologies, Inc.
If you are on a trial program you do not have to register until the trial end date. You must register
by the trial end date or all installed Addins will begin to function in unregistered mode.

When you are satisfied with your setup files, you must register with JCS Technologies, Inc.
before your addin will install in registered mode. To register your file, send a copy of the
JCSOAdin.ini file to your sales rep at JCS Technologies, Inc.

Prior to registering, the Addin will install in unregistered mode. Unregistered installations are
nearly fully functional so they can be used as test installations prior to registering. You will
receive warning messages and requests to register the product as you use it. These can be ignored.
The Alternate Logo function does not work in unregistered mode.

IMPORTANT: If you change your CSP Name or your logo file you must re-register with JCS
Technologies, Inc. Current installations will continue to function, however, you will need to re-
distribute your new installation file. Installing the Addin with the old installation files will install
the Addin in unregistered mode.

9. Distributing the Release Files
You can distribute all the Addin release files shipped to you except the CollabCustom.exe file.
This file is for your use only.

The “Sample Collaboration Addin User Guide.doc” is provided to serve as a base for creating
your own User Guide. You can utilize the sample and make changes to it or you can develop your
own document. The document is in the Program Files\JCS Technologies directory.


10. Important Considerations for Image Files
The message and logo are image files that can become very large and impact the performance of
this addin. Efficient compression file types, such as jpeg and gif, should be used. Bmp files
should not be used.

In order to provide you with maximum control over the look and feel of the email resulting from
the use of this addin, there are no restrictions in the addin on the size of the images displayed in
the email body. Therefore, you must consider the size of the images for the addin when you
create them. If the Message image is large, the load time will be long and it may overpower the
rest of the email. Conversely if it is small, it may not be noticed. Similarly, the Logo needs to be
sized to fit the email. In addition, the Logo is sent with the email and may impact the delivery of
the email if the file size is large.

11. Customization Worksheet
This worksheet will assist you in gathering all the information you need to complete the
customization of your addin. This completed worksheet is provided to JCS if we are providing the
customization and/or web page scripts. Refer to the Customize Parameters section for
descriptions of parameters.

    11.1. Files, Links, Installation Web Page, and Customization Scripts
           Logo File - your logo file will be integrated into the email body when an Addin
            button is selected. Therefore it is included in the installation package. This file is
            provided to JCS if we are doing the install package build. See the section entitled
            Important Considerations for Image Files below for recommended file size and type.
           Message Link - this is a link to an image file on your web site. This link is added to
            the email body when an Addin button is selected. You can change the content of the
            image file on your web site at any time. See the section entitled Important
            Considerations for Image Files below for recommended file size and type.
           Installation Web Page - minimally you need one new web page on your web site.
            This page should contain some marketing dialogs explaining the benefits of the
            Addin, installation instructions (click the button, read the user guide, restart Outlook),
            fields to collect the moderator unique information (phone numbers, passcodes), an
            Install button, and an Update button (just updates parameters). This page should
            validate the input data to the extent possible. This could be broken into two pages,
            one with marketing info and one with instructions, data fields and buttons. If JCS is
            providing the scripts then if validation is successful call CreateAddinCookies() to
            continue.
           Customization Scripts - scripts are added to the web page and are invoked by the
            two buttons. The scripts will place cookies on the installed machine that will be used
            by the Addin to update its configuration file the first time it is started.
