Outlook Exchange email is available through web access. This means that you will need to use a web
browser (Internet Explorer) to send and receive email.

How do I access my email?

     1.    Open Internet Explorer and type in the following web address:

           http://webmail.uncfsu.edu/

     You can bookmark this web site in your browser for ease of use.

     2.    A screen will appear where you will be asked for your User Name and Password. In the
           username field (where username is normally the first letter of your first name followed by your last
           name). Then press the <TAB> key. Then, enter your network account password in the password
           field and click on OK.

     2.    This will display your email messages that reside in your Inbox. New messages will be displayed
           in boldface.

     3.    While you are in email, you can click on the Check for New Messages icon to check for new
           mail:

How do I read my email?

     1.    Double click on a sender's name to open that message.

How do I create folders for my email and how do I move messages into these folders?

In the web version of Outlook, you will notice that there is a long slender pane on the left side of the
screen. This pane can be viewed in two modes: Folder and Shortcuts. When you want to work with
folders, you will want to make sure that you have clicked on the long, thin button (may be at the bottom of
the pane) that says Folders. When you are finished working with folders and you want to access your
contacts, for example, then you should click on the long, thin button (will be at the top of the pane) that
says Shortcuts. For this exercise, make sure that you are in Folder mode.

    1.   First, create the folders you want to use. Do this by clicking on the down arrow next to the "New"
         icon and then selecting folder:

    2.   You will be prompted to name your folder. Type in the name and click on the existing folder under
         which you want to put this new folder (most likely Inbox). Then click on OK. Your new folder will
         appear in the pane at the left of the screen.


    3.   To move a message, read it or highlight it. Then, click on the Move Message icon:

    4.   Choose the destination folder by clicking on it; then, click OK to move the message.

How do I reply to an email message?

    1.   When you have the original message open, note that at the top of the screen there are
         several icons that allow you to do things with the message. The first icon in the list allows
         you to reply (see icon above).

    2.   When you click on the reply icon, Outlook will fill in the To: address and Subject: automatically. It
         will also display the original message. You can highlight and delete portions of the original
         message that you do not need to send with your message.


When you are ready to send your message, click on the send icon:

How do I send a new email message (without replying)?

    1.   Click on the new mail icon (see icon above). Fill in the To: field with the email address for the
         person to whom you want to send the message. For example, if you want to send email to your
         friend, Jane Smith, type jsmith (if she is at FSU) or type her full email address if she is off campus
         (i.e. jsmith@somewhere.com). If you want to send the message to more than one person, make
         sure you separate addresses with semicolons (not commas).

    2.   You can press the <Tab> key to move to the CC: and Subject: fields. <Tab> will also take you
         down to where you can start to compose your message.


    3.   When you're ready to send the message, click on the send icon:

How do I create an alias or nickname for someone I regularly email?

Make sure that you are in Shortcuts mode in the left pane of the screen (see
discussion under "Creating folders and moving messages" above).

    1.   You will need to create a "Contact" for the person for whom you wish to create an alias. Click on
         the Contact icon in the pane on the left side of the screen.

    2.   Click on the Create New Contact icon (the first one at the top of the screen that appears):

    3.   Enter the relevant information for this contact (at least name and email address).


    4.   You can then click on the Send Mail icon from this contact screen:

    5.   Don't forget to click on the disk icon to save the contacts you've added before you close this
         screen. By the way, your new contacts might not show up immediately after you create them. You
         may have to click on the Refresh button to view newly created ones.

    6.   In the future, you will need to open your Contacts if you want to send mail to one of them. You will
         click on the contact header to open it and then click on the Send Mail to Contact icon.

How do I send an attachment with an email message?

    1.   When you are composing a new message, replying to a message, or forwarding a message, you
         can click on the Attachments icon (looks like a paperclip).

    2.   When you click on the Attachments icon, a screen will appear where you can browse for the file
         you want to attach. Click on Browse.

    3.   Locate the file you wish to attach. Then click on the Open button and then the Attach button. This
         file will be attached to the email message you are sending.

    4.   Click on the Close button to return to your message.

How do I read an attachment that is sent to me?

Please note: Opening infected email attachments is one of the most common ways you can infect your
computer with a virus. Before opening an attachment, ask yourself, "Do I know this person and is it
reasonable to expect that he or she would be sending me a file?" "Is the file name legitimate or does it
sound too generic or like a prank?" If the attachment seems suspicious, delete the email message
without opening the attachment. If the attachments seem legitimate, we recommend that you save the
file to your desktop and then manually scan the file with your antivirus software before you open it.

    1.   If someone sends you an attachment, when you view your new messages, you will see a
         paperclip icon next to the name of the person who sent the message.

    2.   Open the message. You will see a document icon just below the subject line.

    3.   To open the attachment, click on it. When prompted, save the file to your desktop and then
         manually scan the file with your antivirus software. As long as the file is virus free, you can go
         ahead and open it like any other file on your desktop.

How do I forward a message?



    1.   Open the message that you want to forward.

    2.   Click on the forward icon (see icon above).

    3.   Type in the email address for the person to whom you wish to send the message at the To: field.

    4.   You can add a message if you like and you can select and delete portions of the contents of the
         original message.


    5.   When you're ready to send the message, click on the send icon:

How do I print a message?

    1.   Open the message that you want to print.

    2.   Click on the printer icon and click on OK when the print screen appears.

    3.   Your email will print to whatever printer is set as the default for the computer on which you are
         working.

How do I delete messages?

    1.   Click on the message you want to delete to highlight it.


    2.   Click on the black X icon:

    3.   Occasionally, you will want to click on the trash can icon so that you permanently remove
         everything in the deleted items folder. Otherwise, your deleted items will accumulate and may
         cause quota problems. You will also want to periodically delete items in the sent items
         folder.

    4.   If you need to restore a message that you deleted accidentally, select the folder mode in the pane
         on the left side of the screen, open the deleted items folder, and then move the message back
         into the Inbox (see instructions on moving messages above).

How do I change my password?

    1.   Click on the Options icon on the left hand side of the window. You may need to use the scroll bar
         at the right to move down the screen.

    2.   Click the Change Password button. If you get a security certificate message, click on OK to
         continue. Fill in the fields as follows:

                   Domain = uncfsu
                   Account = your username

    3.   Enter your current password, and then enter your new password twice.

    4.   Click OK.

The password change will take effect across all of the NT domain servers within a few minutes.
Remember that this one password lets you do a lot of things: read & send email; log in to NT machines
around campus; access file services from Mac or Windows; and publish web pages. The change will
affect all of those activities.
If your password is already expired, changing it through Outlook Web is a little trickier, but it should work if
you have a relatively new web browser (version 4 or higher). If you are on campus, it is simplest to go to
any one of the ITS labs and log on to a Windows computer; you will be prompted to change your
password automatically.

How do I log off email?

   1.   When you are finished working with your email and are ready to log off, you must quit the
        application by closing all open browser windows and using the Log Off icon in the Shortcuts
        panel.

   2.   If the Shortcuts option doesn't appear in the left panel, click the Shortcuts button.

   3.   Click on the Log Off icon.

   4.   Click the Close button.

   5.   You can continue to use the web browser, or you can quit the application. Until you actually quit
        the browser, you can access email again without re-entering your password. Therefore it is
        important to completely exit the browser before you leave the computer (just closing the window
        isn't enough). Choose File/Close to quit the application.
