Position Description

Primary Purpose

The Finance Officer will provide high-level payroll and finance administration support to the
Finance Manager. This position reports to the Finance Manager.

Key Tasks

Payroll

    Coordinate and input payroll data to the accounting system, which includes but isn’t
    exclusive to:
        - Consulting with Operations Manager regarding payroll data
        - Entering data into accounting system
        - Reviewing integrity of work before updating system
        - Preparing bank files for distribution along with employee pay slips
    Review and update employee and super fund data
    Prepare month superannuation payments to various funds, and act as the primary contact
    for any enquiries
    Send payments to ATO throughout the year and conduct Year End processes and
    procedures to generate Payment Summaries and Returns to the ATO
    Assist with Balance Sheet reconciliations relating to Payroll
    Miscellaneous project work and other related tasks

General Finance Administration

Provide administrative support to the Finance Manager in the following areas:

          Process incoming mail on behalf of the Finance Manager
          Collate, stamp and distribute invoices to appropriate staff for coding & approval
          Match purchase orders with invoices and liaise with members of the management and
          administrative team to ensure that outstanding purchase orders are created in a
          timely manner
          Process credit card statements and ensure appropriate coding
          Enter invoice data into the Finance records
          Process donations and friends membership fees
          Prepare and handle banking deposits
          Assist with end of month closure processes
              o Investigate and reconcile monthly accounting modules
              o Individual debtor and creditor investigations and reconciliations
              o Roll over modules
              o Update audit files throughout year to simplify year end process
              o Assist in presenting reconciliations to Managing Director and field questions
                  thereon
              o Assist Finance Manager in redesigning procedures to ensure reports are
                  issued in a timely manner
          Liaison for external creditors
          Coordinate bulk finance mail outs and distribute finance information to company
          members in a timely manner
          Maintain Finance and Human Resources filing as required
          General administration duties as required (possibly within the wider organisation)
Selection
Selection Criteria
           Demonstrated payroll and financial administration experience
           Well developed interpersonal skills and the ability to communicate effectively with a
           wide range of people, including orchestra members, members of the management
           team and service providers.
           Excellent planning, organisational, time management and attention to detail skills
           Sound understanding of document storage and electronic file management
           Proficiency in all MS Office applications
           Excellent written & oral communication skills
           Ability to work independently and exercise initiative
           Ability to maintain confidentiality
           Ability to anticipate, prioritise and resolve issues as they arise
           Experience with Arrow Financial Accounting package an advantage but not essential

     Hours/Days
Work Hours/Days & Remuneration

This part time position is 0.4 loading, consisting of two consecutive days per week, 9am –
5pm (Tuesday and Wednesday).

Remuneration is set at $49,400 pro rata ($25 per hour) plus 10% superannuation.

Feedback & Trial Review

Feedback from the Finance Manager throughout employment will be constructive and timely. The
Finance Officer will actively participate in the performance review procedure designed to monitor their
individual and team performance, drawing on feedback from peers, orchestra members and other
key internal and external relationships.
