POSITION DESCRIPTION



Position:                ACCOUNTS OFFICER



ORGANISATIONAL CONTEXT:


The Accounts Officer reports to the Assistant Business Manager and is a member of the wider Accounts team.
The role is responsible for the maintenance of the School’s debtor ledger, the preparation of the term fee
statements, and the accurate receipt and recording of all monies that come into the School.

POSITION OBJECTIVES:


The Accounts Officer is accountable for the accurate collection of monies and completeness of

    •    The accurate and timely allocation of debtor payments and carrying out monthly debtor reconciliation
    •    Compliance with legislative and other requirements
    •    Maintenance and protection and accuracy of data


The position maintains close communication with the Assistant Business Manager in relation to debtor receipting
to facilitate effective credit controls and collection procedures

While the primary responsibilities of the position are set out, it is expected that the incumbent will assist with
accounts tasks of a general nature and as requested from time to time in order to ensure that the Department’s
overall responsibilities and objectives are met and so as the department operates effectively.

KEY RESPONSIBILITIES AND DUTIES:

   •     Completion of accurate, appropriate and timely data entry
   •     Accurately process into Synergetic, all General Ledger and debtor credit card, cheque and cash
         receipts. Ensure all batched are balanced before being updated
   •     Adherence to timelines for reporting, entry of data and submissions of materials and information related
         to the activities of the role
   •     Report on late and / or incorrect payments and report findings through to the Assistant Business
         Manager
   •     Create and maintain effective customer relationships both internally and externally and respond
         effectively to customer account enquiries
   •     Prepare and run all month and debtor reports, ad-hoc reports as required and other monthly, quarterly,
         six monthly and annual reports
   •     Preparation and coordination of tuition invoices including miscellaneous items (camp fees, bus passes,
         chapel books etc) per term in a timely and accurate manner
   •     Balance overseas fees spreadsheet to overseas tuition fees ledger
   •     Assistance with Accounts payable process
   •     Assistance with other accounts related functions
   •     Preparation of queries and Crystal Reports
   •     Prepare and maintain Firbank concession spreadsheet for current year ensuring accuracy of information
   •     Relief Reception duties as required by the Assistant Business Manager / Business Manager

INHERENT REQUIREMENTS OF THE POSITION:

Technical

   •       Demonstrated proficiency and competence in Microsoft applications (advanced)
   •       Experience in software packages such as Excel, Word, Power Point, Synergetic and Access
           data bases
   •       Demonstrated competence and accuracy in the collection, maintenance and input of data into
           a range of systems and the ability to extract routine reports and information relating to the
           data
   •       Keystrokes with an accuracy level of 90-95%

Physical
   •       Able to work for extended periods in a seated position
   •       Able to view a computer screen for extended periods without visual distress
   •       Able to accurately discern, identify and transpose a range of characters and symbols without
           magnification

Capacity

       •   Able to effectively prioritise work, work autonomously where required and communicate
           progress or impediments in a timely manner
       •   Demonstrated capacity to contribute positively to achievement of team tasks
       •   Demonstrated understanding of principles of quality customer service, courtesy and
           professionalism
       •   Knowledge of basic OH&S principles and EEO guidelines

REPORTING RELATIONSHIPS:

This position reports to:                          Assistant Business Manager
Direct reports (in to this role):                  Nil
Internal Relationships:                            The occupant will primarily liaise with the Accounts
                                                   Payable Coordinator, Payroll Services Officer, Office
                                                   Manager, Teaching Staff and others as required

External Relationships:                            The occupant will liaise with external parties as
                                                   necessary to fulfill the objectives of the position.

ACCOUNTABILITY AND EXTENT OF AUTHORITY:

   •       Works under routine supervision by the Assistant Business Manager
   •       Performs tasks within the limits of operational policies and procedures
   •       No delegated authority to approve expenditure without authorisation of manager

JUDGEMENT AND DECISION MAKING:

   •    Solves day-to-day problems in accordance to operational directions, guidelines and
        procedures
   •    Seeks guidance and authorisation when undertaking tasks which are not routine to the role
        and when completing tasks which will be issued to parents or regulatory bodies.
   •    Refers all decisions which would be a change to standard practice to relevant individual in
        charge of the area for discussion before action

SPECIALIST SKILLS AND KNOWLEDGE:

   •    Microsoft Office (word, excel, outlook)
   •    Synergetic – maintenance of data base and Crystal reports
   •    MS Query
   •    Ability to create and adjust templates

MANAGEMENT SKILLS:

   •    Time management and prioritisation of own work
   •    Capable of liaising effectively with temporary staff engaged to support specific projects from time to time

INTERPERSONAL SKILLS:

   •    Well developed verbal and written communication skills.
   •    Capacity to liaise effectively with management, staff, students and external parties.
   •    Ability to relate in a positive and professional manner and display a customer service oriented
        approach to achievement of the objectives of the position
   •    Capacity to approach problems in a solution focused way
   •    Demonstrated ability to apply principles of courtesy and common sense.

QUALIFICATIONS AND/OR EXPERIENCE:

   •    Completed Year 12 or equivalent
   •    Relevant work experience in a Accounts Receivable role
   •    A Bachelor Degree in Business or equivalent would be highly regarded
   •    Must have sound working knowledge of Synergetic or similar School administration package
