This is a document sent by a landlord to tenants informing the tenants that they have a
legal responsibility to allow a gas inspector to access the property’s gas connections for
routine inspection. Specifically, this letter states that the inspector failed to contact the
tenants to set up an appointment after several attempts. By foregoing this obligation,
the tenants put the property and themselves at severe risk. This letter should be used
by landlords to notify tenants of their obligation to allow gas inspectors on the property
for regular inspection.

Re: _____ [Instruction: Insert property address.]

Dear _____ [Instruction: Insert name of person receiving letter.]

Please be informed that it is required by law to have the gas appliances located within the leased
premises rented by you tested periodically [Option: Insert the exact period of time, if known.].

It has been brought to my attention, however, that despite several attempts to contact you and
arrange a mutually agreeable appointment time, an appointment for a gas inspection has not
been set up with my contractor.

It is of the utmost importance and necessity, for your own safety and our property that you
telephone the contractor immediately. The contractor can be reached at the following telephone
number: _____ [Instruction: Insert contractor phone number.] so that necessary arrangements
can be made to ensure your gas appliances are safe.

[Option: If the lease or rental agreement is being breached, you may include the following
language: “Please note, your failure to respond to this letter, and make arrangements to
have the gas appliances properly inspected by our contractor shall be considered a breach
of your lease/rental agreement. As such, we may take all steps permitted pursuant to the
lease/rental agreement, including but not limited to, entry to your apartment without
further notice, at a time of our convenience, to have the gas appliances tested. In such case,
this letter shall serve as notice of our entry onto the premises.]

If you do not make arrangements for the above to take place, this letter shall serve as notice to
you that you are putting your safety, and our property, at risk. We will not be held liable for any
loss in the event of any emergency or unsafe situation as a result of your failure to make
appropriate arrangements to have the gas appliances inspected, and any such unsafe situation
shall not permit you to cancel your lease/rental agreement for reasons of unsafe or uninhabitable
premises. Further, I shall be left with no choice but to contact the concerned authorities
informing it of the situation.
