 POSITION                                                    UNIT RECEPTIONIST – FRONT RECEPTION

 CORPORATE FRAMEWORK                                   Peel Health Campus (“the Campus”) is a co-located site with
                                                       both public and private services, which are operated entirely by
                                                       Health Solutions (WA) Pty Ltd

                                                       Peel Health Campus is an acute care facility providing a full
                                                       range of hospital care, including an emergency department. The
                                                       Campus reports regularly to the Western Australian
                                                       Government and is required to meet recognised Australian
                                                       standards. To that end, the Campus has achieved maximum
                                                       accreditation through the Australian Council on Healthcare
                                                       Standards (ACHS)

 SELECTION CRITERIA
                                            Essential 1. Previous unit reception experience
                                                      2. Demonstrated computer skills & experience with data entry
                                                         & retrieval
                                                      3. Proficiency with Windows based office systems including
                                                         Word, Excel & Outlook
                                                      4. Strong communication and interpersonal skills
                                                      5. Ability to effectively prioritise daily work load and organise
                                                         office systems
                                                      6. Effective time management skills
                                                      7. A commitment to customer service and have a professional
                                                         attitude

                                           Desirable 1. Previous experience in a hospital or health environment
                                                     2. Knowledge of the ePAS computer system
                                                     3. Knowledge of Medical Records practises & medical
                                                        terminology

 POSITION RELATIONSHIP                                  Responsible to:        Administration Manager
                                                        Accountable to:        Director Corporate Services

 PERFORMANCE REVIEW                                     •   3 month review
                                                        •   Compulsory competencies
                                                        •   Performance appraisal – annually and/or as required

 SHIFTS                                                 Where applicable you are required to work shifts agreed to as
                                                        part of your employment. These shifts may include nights,
                                                        evenings, weekends and public holidays.

 KEY RESPONSIBILITIES                                   To provide administration support, including reception,
                                                        telephone and clerical services to the hospital, displaying
                                                        excellent customer service at all times.

 FUNCTIONS &                                            •   Attends to reception duties
 RESPONSIBILITIES                                       •   Attends to all telephone queries as necessary
                                                        •   Attends to all people who arrive at the Unit Reception area
                                                        •   Provides excellent customer service at all times

                                                        • Process admissions and discharges as required
                                                        • Fully admits patients to hospital using computer system as
                                                          required
                                                        • Enters pre-admissions into computer as required
                                                        • Maintains Medical Records as required
                                                        • Processes outpatient notes as required

                                                        • Maintain daily census of patients
                                                        • Balances daily census of patients in the department by 10am
                                                          each weekday morning & sends to Inpatient Billing
                                                        • Completes a patient diet list for patients as required
                                                        • Assist nursing staff as required to ensure the register of
                                                          patients is maintained

                                                        • General office duties
                                                        • General typing & data entry
                                                        • Filing, photocopying, faxing
                                                        • Completing stationery orders
                                                        • Maintains policy and procedure manual and quality
                                                          improvement file
                                                        • Minute taking as required

                                                        • Attends to all reception duties at Front Reception for all
                                                          wards & visitors to the Hospital
                                                        • Controls main switchboard (6 lines) & all incoming calls to
                                                          Peel Health Campus and Peel Private Hospital and calls
                                                          from staff within the Campus
                                                        • Attends to all personal & telephone queries
                                                        • Page staff using electronic paging system
                                                        • Take meal orders from staff daily, incl cash

                                                        • Accepts paper money on behalf of Friends of Hospital when
                                                          shop unattended
                                                        • Accepts TV monies & activates TV’s for all wards
                                                        • Operates Eftpos machines & cash register at Front
                                                          Reception for payments required/monies received
                                                        • Directs visitors, family members to wards, Executive,
                                                          private etc
                                                        • Call orderlies for patient wheelchair transport
                                                        • Provides excellent customer service at all times

   Communication and Liaison Skills •                       Listen to instructions and respond appropriately
                                    •                       Ensures appropriate liaison & communication with
                                                            stakeholders
                                                        •   Uses initiative - whilst ensuring referral when matter
                                                            outside level of expertise
                                                        •   Maintains professional manner of communication in all
                                                            areas of the hospital & externally

                                         Organisation •     Prioritises daily work load and organises individual work
                                                            practices
                                                        •   Liaises with appropriate departments ensuring minimum
                                                            disruption to clients/ staff
                                                        •   Able to work with limited supervision
                                                        •   Practice in accordance with the policies and procedures of
                                                            Peel Health Campus
                       Safe work environment •              Ensure safe practice in all environments
                                             •              Assist in maintaining safe and secure environment at the
                                                            Campus
                                                        •   Contributes to risk management by adopting safe practices
                                                            in accordance with Campus policies and procedures and by;
                                                            − Identifying and reporting hazards
                                                            − Reporting incidents and accidents
                                                            − Being aware of responsibilities under the OSH Act
                                                                1984
                                                        •   Participates in quality improvement activities

                                                        •   Maintains a professional work outlook with regards to
                                                            Campus matters, ensuring confidentiality in all areas, at all
                                                            times
